36 USDA Food Resources Single Bank Roles & Responsibilities RA (Customer) Responsibilities Declare single bank status BEFORE a new school year begins Decide how much of their entitlement dollars to spend on Processed, Non-Processed, Produce/DoD Collectively determine single bank(s) type(s): Processed only Non-Processed only Processed and Non-Processed Verify PTV discounts on invoices Administrator/BOD Responsibilities Review co-op usage for forecasting/planning Pre-plan USDA Foods orders and review with Co-Op Place USDA Foods orders with USDA WBSCM Notify processors of entitlement allocations at the Co-Op level Send Allocation Files to GFS CMA Send shut-off file to CMA when customer s target usage has been met Distributor Responsibilities Systematically receive and upload daily allocations files Send Nightly customers invoices/credits Systematically receive and upload shut-off files Shut-offs will occur for any of the following reasons: Customer s target usage has been met The Co-op is out of pounds for a processor The Co-op is out of entitlement dollars

Specific product information may include: Company name, Brand name, Case markings Establishment number (for meat, poultry, or egg products) Product markings Can codes, Lot numbers, Product dating such as sell-by date or use-by date NOTE: The UPC code is not adequate for identification because it only gives the product name and not lot or code numbers
