FMFC Committee meeting Wednesday 7pm 11 th October 2017 Green Park Centre Attendees : Chairman - Arty Fisher. Secretary - Derek Bradford. Treasurer - Tam Dodds. Committee Members; Alex Munro. Apologies - Safety Officer - Jamie Richards. Chair Updates : (Arty) Organisation of events : It was felt that to run an event there needs to be a number of helpers to ensure an event runs and all aspects are covered e.g. erecting fencing/taking down fencing, checking Insurances, safety of planes, counting of votes, awarding of prizes and for the Fly In s we may also need to erect shelters for planes, spectators and the BBQ/Refreshments. For the Scale day a minimum of 6 helpers are required and the Summer Fly In needs a minimum of 10 helpers. The committee will be asking for volunteer helpers closer to these events, if you wish to help and get involved please let the committee know. Next year s event dates will be the FMFC Scale Fly in 6 th May / FMFC Mid Summer Fly In 20 th June and FMFC Summer Fly In 5 th Aug 2018. Committee Member Numbers : Following on from the above it was also felt that we should try and increase the committee numbers to possibly 10 members by adding 3 additional members. This will greatly help at meetings or at times where people are busy or on holiday etc. If anyone wishes to join the committee please let us know. The increased numbers and re-electing of officials will take place at the AGM as usual. Dates for Your Diary : Dates have now been confirmed for the next two committee meetings (10 th Jan 2018, 11 th April 2018) and the winter meetings, 18 th October 2017, AGM 15 th Nov 2017, 13 th Dec 2017, 17 th Jan 2018, 21 st Feb 2018 and 21 st March 2018 (these can also be found on the FMFC web site). The topics are as follows (N.B. Meeting timings are 7pm-9pm), 18 th Oct - Bring and Buy/Giveaway Night. 15 th Nov - AGM 2017 (AGM Documents will be issued 1 week before). 13 th Dec - Air Cadets Talk. 17 th Jan - Simulator Night. 21 st Feb - Video Night. 21 st Mar - Winter Build Competition. 1

For the first meeting on 18 th Oct it s time to bring / buy or sell / or give away anything you wish, so feel free to fill your car up and sell all that model stuff planes/props/lipo s etc. that is taking up valuable room in your Garage or House. For the 17 th Jan meeting we are looking for people who wish to bring their Laptop with a simulator on it so members can try flying models and learning new skills. There will also be two projectors with simulators on them for a big screen feel. The Video night will be a collection of my (Arty s) videos filmed at the field since 2014 of members flying (and maybe crashing) these video clips are not edited so please don t be offended if there are a few sweary words or the odd heckler in the sound track or if you have a movie you think the members would be interested in watching let me know. Indoor Flying at Bonny Bridge : For some time now there has been indoor flying on a Thursday at Bonny Bridge. This has been mentioned as being related to FMFC, however no committee members oversee this and it was not on the FMFC Website. Jackie has sent me a photo so I have updated the web and I am waiting on more details and the fees and a contact to update the FMFC Web site. Derek (secretary) is going to pop in to see the guys on a Thursday and get some details (thanks Derek). AGM Business : The committee thought it would good to discuss arrangements for the AGM, spelling out a few points. The Constitution. (The full Club Constitution can be found on the FMFC Website) 8. Any proposed changes to the constitution must be notified to the committee in writing at least four weeks before the AGM The constitution shall not be altered without the approval of two thirds of those present and voting at an Annual or Special meeting. If there are any amendments to the Constitution these need to be sent to the Chairman by 16 th October 2017. If there are any general suggestions these also need to be sent to the Chairman by 16 th October 2017 to allow the Committee to discuss in advance. N.B. Changes/Suggestions raised on the day of the AGM or after the 16 th October 2017 may or may not be taken up for discussion at the AGM and may, therefore be held over for discussion at the next Committee meeting in Jan 2018. 6. The AGM will be held in November of each year at which time a statement of accounts will be made and, if required, fee adjustments be made. These will come into effect as from the following January. This means that at the 2017 AGM if fees are adjusted then they are set at the new rate immediately as we are paying for the following/coming year s fees at the November 2017 AGM. 2

Treasurer Update: (Tam) Fees for 2018 : The club is approx. 300 over in spending for the year 2017 and it has also been agreed to increase the field fees we pay to Geordie by 50.00 for next year s rent. Tam has advised that there will be no need to increase club membership fees for the 2018 membership period, however if club funds are spent in 2018 e.g. on improvements, we may need to consider club funding at the 2018 AGM (N.B. if there are to be any changes to fees in the future, the details will be clearly laid out for agreement prior to any alteration or implementation). Printing and Postage : The printing cost of issuing of the Committee Quarterly Newsletter/brief is adding up, since the amount of cascaded information has significantly increased in 2017. It has been agreed that postal newsletters (usually two pages) will be posted out, however the quarterly Committee brief will be issued as a separate document from the Newsletter and will not be posted out due to its size and printing cost. Members who have no email address should be encouraged to provide an email address for them to be emailed the Quarterly Committee brief otherwise they will need to view this on the FMFC Website. Secretary Updates: (Derek) Approx. 42 emails are now held by the club allowing the issue of correspondence, the Website continues to develop, 120 visitors in August, 90 visitors in September, 45 visitors in October. This year since its creation in June 2017 we have had 338 visitors and 3,463 views. The Facebook site is also assisting to highlight the profile of the club, there are now 67 people following the FB page. At the AGM we will be giving out flyers to encourage more members to provide email addresses. There has been one ATC Cadet (Daniel) down at the field and he has flown well, it is envisaged that between 4-6 cadets will be joining at the AGM, therefore look out for some new members next year. Safety Updates: (Jamie) In the absence of Jamie there was a brief discussion over safety, with the introduction of the start-up bench and the general improvement in awareness of the clubs guidance there have been no incidents raised in the last quarter and the committee would like to thank all the members in their efforts to promote good safety. If you do see anyone doing anything unsafe please assist in reminding them of the clubs guidelines and good practices. Field Updates : Future Projects : Rushes Spraying and the new Gate are still planned for delivery by the end of the year, Garry will be keeping us up to date with any developments and we still have half a bag of Soil left. After speaking to Geordie and Gary recently, the plan is to cut the rushes down as soon as its sensible to do so, then spray them to kill them off. 3

New Shed : The shed we currently have does not allow for the storing of anything apart from the grass cutter and some fencing. It is planned to buy a new longer shed to allow storage of such items as grass cutters, strimmers, fencing and Event tents/gazebo s. The funding for a new shed still needs to be agreed/discussed or maybe someone has a shed we can use. The new shed depends on checking with Geordie and funding in 2018. There is to be a motion (proposed by the committee) at the 2017 AGM this year where the members will be asked to show their support for the spending of club funds for these types of improvements in 2018. Event Tents for 2018 : If we are to hold an event then we need to erect appropriate shelter for spectators, planes and the BBQ. Once we have a place to store tents e.g. a new shed we can use the club Transmitter tent and a Gazebo (Originally Dave MacLeod s / thanks Dave), allowing a good amount of protection from the weather if we hold an event, Alex also has a tent he uses for the BBQ. We can also consider buying further event tents in future if required, once we have somewhere to store things. 4

Cross Strip and Field Landing Area 2018 : Due to the increasing crosswind and changing weather we have had in 2017 it is planned to cut back in to the rushes area. Since Geordie is keen to cut and kill the rushes already we do not envisage any issues regarding cutting a bigger landing area and I have already mentioned this to him and he seems fine. Please see the plan below to let you see what is being planned. To implement this change we will need to cut and roll this area, also we will try to cut the rushes low following the spraying and topping in 2017/2018. This will involve a bit of work and a taskforce of helpers may be required to cut roll and fill holes. This improvement will be subject to helpers, cutting equipment, the weather, and will progress as quick as reasonably sensible to do so. Regards, The Committee FMFC. 5
