NEW MEMBER COMMITTEE PROCESS Every Rotarian shares the responsibility of seeking qualified individuals as new members of our club and for unfilled classifications. In this way, every club member can help the club achieve a full representation of the business and professional life of the community. The procedure for proposing a new member is as follows: 1. A club member wishing to propose a prospective member obtains and completes a MembershipProposal card from the website, the Club Secretary or anyone on the Membership Committee. 2. Submit completed membership proposal to a member of the Membership Committee. The committee will determine whether there is an open classification for this prospect and whether the proposed new member meets the club s standards as to character, integrity and reputation. Usually the word of the Rotarian sponsoring the prospective new member is sufficient at this point in the procedures. Upon approval by this Committee, the Club Secretary presents the proposal to the Board of Directors for approval within 3-5 days via email or special meeting. 3. Upon Board approval the Secretary refers the proposal back to the Membership Committee to arrange a pre-application orientation meeting with the proposed member. The sponsor is encouraged to attend this meeting. The purpose of this meeting is to review financial obligations, privileges, and responsibilities of membership. It is explained at this meeting that if the prospect wishes to make formal application his/her name will be published in the club newsletter for two weeks and the general membership has the right to raise any objections. 4. If there are objections, the membership committee reviews the objection and attempts to mitigate or resolve the stated issues. If the committee cannot resolve the issues the Board of Directors will review and make a final determination. 5. If there are no objections an invitation to join is issued to the applicant. 6. If the proposed new member then accepts our invitation, he/she pays the required fees.. 7. Induction is then arranged by the Club Secretary for the earliest possible time.

ROTARY MEMBER SPONSOR RESPONSIBILITIES Step 1 Step 2 Step 3 Step 4 Step 5 Step 6 Step 7 Bring the prospective member to as many as three meetings, give him/her information about Rotary and refer them to our Club web site and the RI web site to learn more. Introduce the prospective member to the president, board members and committee chairs as well as other members. You need to attend each meeting with them or notify a member of the Membership Committee to fill in for you. You can bring the prospective member as your guest up to 3 times so that they can learn more about our Rotary Club. At each meeting they should be introduced by name and type of work they do. DO NOT indicate the number of meetings they have attended. After the third visit, they need to be asked if they have interest in Rotary and invited to an informational meeting with the Membership Committee to learn more about our club. The sponsor is encouraged to attend this meeting. At the end of the informational meeting described above, the person will be asked if they want to pursue membership in our club. If the answer is yes, he/she will be asked to complete an application form. They will be given additional information regarding the next steps and how much time it can take to complete the membership process. They will be informed as to when dues are due and that the application fee is due upon acceptance. They will also be told that they are not invited to meetings while the application is in the final process. Board will be notified by email that the membership process has begun. The name of the prospective member will be published in the Rooter for two consecutive weeks and the President will be asked to announce the First Call and Second Call for the new member. Membership Committee members will be named to receive any feedback regarding the prospective member. Assuming there are no objections, the new member will be invited to a meeting as soon as possible and inducted into the club by a Past President.
