Agenda Preparing a submission The Peer Review Process Post-publication essentials Entre Pares 2017 Martes 05 de septiembre 5

Part 1. Preparing a submission Entre Pares 2017 Martes 05 de septiembre 6

Part 1. Preparing a submission Deciding where to publish 1) Consider the breadth of your study. 2) Think about the impact of your findings. 3) Read the aims and scope of potential journals. 4) Look at where related papers were published. 5) Speak with your coauthors. Entre Pares 2017 Martes 05 de septiembre 7

Part 1. Preparing a submission Writing the manuscript 1) A manuscript should ideally be written with a target journal in mind. 2) Structure your manuscript according to a journal s Author Guidelines; if in doubt: IMRaD. 3) Ensure key references are cited appropriately. Introduction Methods Results and Discussion 4) Editors and Reviewers are readers too! Entre Pares 2017 Martes 05 de septiembre 8

Each section of a paper has a clearly defined purpose there are best practices you can follow 1. Title - A good title is important to attract readers and should include keywords. 2. Authors - Make sure your author list is complete and ordered correctly (don t add or subtract names!). 3. Abstract - Needs to be well structured (this may be the only part an Editor looks at before making an initial decision!). 4. Main Body - Write in a clear concise scientific style. 5. References, Bibliography - Check carefully; use software and the required style of the journal. Entre Pares 2017 Martes 05 de septiembre 9

Part 1. Preparing a submission Three places to spend your time The Title. Be explicit (e.g., state a key finding, or frame a question) Put keywords up front (optimize for search engines think of how your paper will be found, once published) Keep it short typically up to 15 words Avoid Studies on., Characterization of.., etc. The Abstract. Maximum 250 words (PubMed truncates at 250 words) What are the significant results? Conclusions/implications/applicati ons? Important methodology Write in past tense Stand alone. No citations; avoid non-standard abbreviations Most important: First and last sentence The keywords. Choose keywords/phrases Test keywords using free tools. Use keywords in: Title (2-4) Abstract (3-4) Sub-headings Keyword fields (5-7) Let keywords flow naturally Avoid overuse Entre Pares 2017 Martes 05 de septiembre 10

Part 1. Preparing a submission References Cite the main scientific publications on which your work is based. Do not inflate the manuscript with too many references it doesn t make it a better manuscript! Avoid excessive self-citations. More mistakes are found in the references than any other part of the manuscript! Entre Pares 2017 Martes 05 de septiembre 11

Part 1. Preparing a submission Examples: ARRIVE Animal Research: Reporting of In Vivo Experiments Reporting standards Community driven Open standards Not journal specific Drive consistency of reporting and reproducibility Increasingly common in Author Guidelines MIBBI Minimum Information for Biological and Biomedical Investigations PRISMA Preferred Reporting Items for Systematic Reviews and Meta-Analyses CONSORT CONsolidated Standards of Reporting Trials STROBE STrengthening the Reporting of OBservational studies in Epidemiology Entre Pares 2017 Martes 05 de septiembre 12

Literature Integrity and Reproducibility Reproducibility is a known problem and is being addressed at every stage. The root causes of the problem are manifold ethical misconduct is only part of the equation. Chart taken from Nature Volume 533 Number 7604 pp Entre Pares 2017 Martes 05 de septiembre 13

The Resource Identification Initiative Community-led effort to introduce better reporting standards for research resources through Research Resource Identifiers (RRIDs), authentication tags for key biological resources. What is an RRID? Machine readable Uniform across publishers RRID database draws from existing community repositories using community accession numbers Use in publications allows readers to discover: What resources are used in this paper and which specific ones? What other information is known about these resources? What other papers use this resource? In use for antibodies, animals, cell lines and software tools Entre Pares 2017 Martes 05 de septiembre 14

Part 1. Preparing a submission Materials & Methods Characterize materials (antibodies, proteins, crystal structures, organic compounds etc.) fully and according to journal requirements. Provide all requested supporting materials (gel images, spectra, etc.). Be transparent with the Editor, Reviewer, and Reader. Impurities, missing data, problems encountered. An experimental section should be written so that someone could repeat the experiment exactly and get the same results. Entre Pares 2017 Martes 05 de septiembre 16

Title: Use core keywords / key phrases Abstract: Repeat core keywords / key phrases 2 3 times, and add other field-related ones Headings and body text: Consistent use of keywords Make sure the terms you use are consistent: dorsoventral dorso-ventral dorsal-ventral Which is more used in the literature? Entre Pares 2017 Martes 05 de septiembre 19

Part 1. Preparing a submission 1 Use keywords - Choose relevant keywords and key phrases and use throughout article 2 Choose a smart title - Must be descriptive and incorporate key phrases related to your topic 3 Write a good abstract - Express key points and findings from your article in simple terms 4 Build links - Create a network of inbound links and citations to your article Entre Pares 2017 Martes 05 de septiembre 20

Part 2. The Peer-Review Process Entre Pares 2017 Martes 05 de septiembre 22

Part 2. The Peer-Review Process A quick look at the peerreview process Key players: Key steps: Key value: Authors Editors Reviewers Submission Evaluation Revision Reproducibility Quality Control Improvement Entre Pares 2017 Martes 05 de septiembre 23

Part 2. The Peer-Review Process Why is peer review important? Improves the quality of papers published Helps assess the importance of findings Determines the originality of a paper Can potentially detect plagiarism and fraud 84% of researchers believe that without peer review there would be no control in scientific communication. 90% of researchers feel that peer review improves the quality of their published paper. Entre Pares 2017 Martes 05 de septiembre 24

Entre Pares 2017 Martes 05 de septiembre 25

Part 2. The Peer-Review Process The technicalities of submission... Submissions typically made via a journal s online submission system (e.g., ScholarOne, Editorial Manager) Authors are typically required to respond to submission questions, recommend reviewers, declare any conflict of interest, etc. Manuscripts typically go through an initial checklist to make sure they are complete and Author Guidelines have been followed (format, length, language, etc.) Manuscripts are typically checked for plagiarism using special software (e.g., ithenticate) Entre Pares 2017 Martes 05 de septiembre 26

Part 2. The Peer-Review Process A typical approach to editorial review Most journals have an editorial review / triage step. Editors look for: Is your article within scope for the journal? Is the topic addressed by the research relevant and interesting? What does it add to the subject area? Is it of sufficient quality e.g. Does it give a clear statement of aims and achievements? Are the methods used appropriate? Does the paper meet ethical guidelines? Were any human, or animal, participants properly protected? Was any portion fabricated, falsified, or plagiarized? Is the manuscript well written and prepared with due diligence? Entre Pares 2017 Martes 05 de septiembre 27

Part 2. The Peer-Review Process What reviewers want Well conducted - are the methods used appropriate, findings well reported, is the work reproducible? Conclusions supported are the stated conclusions supported by the data/findings? Advancing the field do the reported findings sufficiently advance the field? Entre Pares 2017 Martes 05 de septiembre 28

Part 2. The Peer-Review Process What does the Editor base their decision on? Editors base their decisions on: The journal s Aims/Scope and readership. The state of knowledge in the field. The level of competition for acceptance. Reviewer comments, but remember a referee s recommendation is not a vote it is advice! Entre Pares 2017 Martes 05 de septiembre 29

Part 2. The Peer-Review Process Responding to reviewers remarks 1. Handle all minor edits (spelling mistakes, grammatical errors, and points of house style) first. 2. Address substantial (in terms of size) and substantive (in terms of your analysis and arguments) points next. 3. Don t get angry answer politely. 4. Answer completely. 5. Answer with evidence. 6. Don t ignore comments remember reviewers volunteer their time to assess your paper. 7. Be optimistic! Proceed with the belief that if you address the points adequately, you are very likely to be accepted and published. Entre Pares 2017 Martes 05 de septiembre 30

Part 2. The Peer-Review Process Rebuttals - when and why Are any of the statements/arguments presented by the reviewers or Editors in support of their decision factually incorrect? If yes, rebuttal might be appropriate: Be professional and objective Avoid personal attacks, attempts to identify reviewers, and emotional appeals Provide data to refute reviewers concerns Highlight the novelty of and/or the broad interest of the work Entre Pares 2017 Martes 05 de septiembre 31

Part 2. The Peer-Review Process Referrals and transfers Manuscript preparation and submission is time consuming for authors. IF: Peer review takes time, with valuable input from Editors and Reviewers. Referrals/transfers optimize the peer-review process and save authors valuable time. IF: Entre Pares 2017 Martes 05 de septiembre 32

Wiley Transferable Peer Review Entre Pares 2017 Martes 05 de septiembre 33

Part 2. The Peer-Review Process Other models of peer review Single-blind identity of reviewers is blinded to authors.* Double-blind identities of reviewers and authors are blinded to one another.* Open identities of reviewers and authors are known to all parties; reports are typically published alongside article. Post-publication evaluation after publication, where anyone can remark on the quality of the article, and comments are online alongside article. * Some journals experimenting with transparent peer review, where reports are published alongside article (but remain anonymous); services such as Publons allows reviewers to take credit for peer review for a journal without compromising anonymity of the evaluation process.
