4 What to do next Before the day, take these few steps to prepare for your programme. Step Step Book a room Read about the 'room requirements' on the next page Book a room for all vaccination days that you book, making sure it meets these requirements Promote your programme Spread the word to your workforce, using our employee engagement materials and example launch plan for help Your employee engagement materials include: a poster ready for you to fill in your specific vaccination dates, times and room details FAQs handout s and intranet copy for you to send out Step Step Let reception know Tell your reception team and/or security about your vaccination programme, so they know to expect the nurse on the day. Please remember to arrange a security pass in advance if needed On the day support There is everything you need for the day including a checklist, vaccination advice and an appointment schedule Bupa Occupational Health services are provided by Bupa Occupational Health Limited. 5 Room requirements checklist Please make sure the room you book has: two static chairs a small table a phone with dial out instructions a large waste paper bin curtains or blinds on all windows for privacy a sink, or one close by details of site arrangements for medical emergency and fire There must also be a waiting area outside with: chairs a table where relevant flu information can be placed Please note we'll need the room to be big enough to fit all of the above, plus space for employees to lie down if needed. The nurse should still be able to access the door in this situation.
6 Example launch plan Activity Use the we've included in this tool kit to let your employees know that their flu vaccination programme is on its way. Promote your flu programme on your company intranet site or newsletter. Intranet copy is included for you to use in this toolkit Put up the poster from this toolkit around work in places where they'll be seen such as the staff canteen, toilet doors, lifts and corridors. 7 We're protectingyou this winter Flu vaccination programme 2017 We want you to have the best chance of fighting the flu virus this winter, so a Bupa nurse will be coming here to vaccinate employees on at in Keep the date in your diary and visit bupa.co.uk/flu for more information. Handy tips to avoid catching flu: cover your mouth and nose when coughing or sneezing and use a tissue when you can bag and bin your dirty tissues straight away remember to wash your hands regularly clean your desk or work surface with cleaning wipes
8 Launch and intranet options We've written two and intranet options for you to send out to your employees, so it's easy to promote your flu programme at work. Simply copy and paste either option 1 or option 2, depending on which service you have chosen, and forward on to your workforce or use the wording for your company intranet. Option 1 - On-site vaccinations We're helping you fight flu with our upcoming vaccination programme As part of our employee wellness programme, we'll be running a flu vaccination programme from <insert date> where a Bupa nurse will administer the vaccination to help you avoid catching the virus. The programme is designed to help: reduce the spread of the virus amongst employees who wouldn't normally get the vaccine through their local GP protect those at increased risk of flu-related complications if they catch the virus keep the business running smoothly Book your vaccination online today You'll receive your vaccine at <insert location>. 9 Launch and intranet options Option 2 - Voucher scheme vaccinations We're helping you fight flu with our upcoming vaccination programme As part of our employee wellness programme, we'll be running a flu vaccination programme from <insert date> to help you avoid catching the virus. We'll give you a voucher which you can take to your local pharmacy and redeem for a flu vaccination, offering protection from the virus. The programme is designed to help: reduce the spread of the virus amongst employees who wouldn't normally get the vaccine through their local GP protect those at increased risk of flu-related complications if they catch the virus keep the business running smoothly Help finding your local participating pharmacy There are over 800 participating pharmacies nationwide*. You can find your local pharmacy using Bupa's handy online store locator at dontforgetaboutflu.co.uk We recommend that you book an appointment in advance.
