1 PROBUS ASSOCIATION OF WESTERN AUSTRALIA INC Vice President s Report Hi Fellow Probians Whilst Graeme and Olwyn are enjoying their holidays overseas, as the Vice-President, I have been elected to chair the Probus Association of WA (PAWA)n Committee Meetings for the next few months. In June there were three clubs celebrating their 30 th Birthday and they were Mundaring which Trish Floyd and her husband attended and has stated how enjoyable the day was and Trish and her husband have made many new friends Dianella Men s, which I attended and was given a very warm and friendly welcome by all members present. Claremont/Cottesloe Men s All three clubs were presented with a framed certificate to commemorate this wonderful milestone in the history of their club. In July I attended Mosman Park s 7 th Birthday celebration which was followed by a delightful morning tea and a glass of wine. The 30 th Birthday of PAWA is being planned and Fairley Watson is chairing this sub-committee. All clubs by now would have received a flyer requesting information about the number from each club attending. In this months News and Notes you will find information on the Role of PSPL, PAWA and PAWA s President, plus an outline of the roles of the PAWA Secretary and Treasurer. The impetus behind this is in preparation for the PAWA Committee. As we are now in the second half of this year it is important that all club members consider sitting as a Committee Member of PAWA in the year. The immediate need for is two Vice-Presidents, a Secretary and a Treasurer. If any Club Member wishes to join please don t hesitate to contact me ( ) or any Committee Member. I became involved because I believe in Probus Association of WA and that Probus Clubs are vital to all: Active Probians. WE NEED YOU! 3 Probus Association Western Australia * * * * INFORMATION * * * * Succession Planning As you are all aware succession planning is important for all Clubs and this in turn applies to the Probus Association of Western Australia. To help us in this endeavour we are including in this edition an overview of the roles of some of the Committee positions in the hope it will entice you to think seriously about joining the PAWA Committee next year. Firstly the role of: Probus South Pacific Limited ( PSPL ) Is recognised as a Community service activity of Rotary Clubs in the South Pacific region they are dedicated to promoting the development of friendship, fellowship and the advancement of intellectual interest for active retirees through Probus Clubs in the South Pacific area. To ensure the future growth, strength and stability of the Probus Organisation. Set and administer policies. To ensure the partnership between Rotary and Probus is upheld and strengthened. To promote the advancement of intellectual and cultural interests among men and women who have retired from their former activities. To promote the formation of Probus clubs by Rotary as a community service to retired persons and seniors in the community. To encourage existing Probus clubs in the advancement of their objectives. Fairley Watson The Role of the Probus Association of Western Australia (PAWA) The Probus Association of Western Australia is more commonly known as PAWA. This association was formed in 1984 when Probus Clubs in WA reached 19. so representatives from these clubs met to form PAWA. It became the first state association in Australia. From the onset PAWA was formed to co-ordinate, advice and supply information relative to the official Probus Policy. Under no circumstances would it dictate to Clubs or interfere in the day to day running of the member clubs. The annual goal is keeping in touch with Clubs to understand how best to support them. This is achieved by: the President visiting individual Clubs to talk to members especially on birthday celebrations. Clubs are invited to send representatives to the monthly PAWA Committee meetings Several functions are conducted each year to further ideals of fellowship through Information Days, Annual General Meetings, Past and New President s lunches and Friendship Days To provide further information and advice is achieved through the WA Club Directory, the Speakers, Entertainment and Outing Lists, along with the production of the News and Notes pamphlet and ProbusWest. Overall, PAWA is an umbrella of support for all WA Clubs. Elizabeth Hardy 3
4 Probus Association Western Australia * * * * INFORMATION * * * * Duties of the President of the Probus Association of WA Inc. ( PAWA ) These duties are entirely different to a president of a club, where they look after their members. The PAWA president looks after the clubs in many ways such as co-ordinating: Information days New and Past members lunches, Probus Fest (an annual event for clubs) Answers queries from clubs, which at present is restricted to only social matters. Much of the time is taken up visiting clubs which is always enjoyable but clubs must send an invitation to do so, they will not attend otherwise. Duties can be delegated to others on the committee if desired, but that remains with the individual. Fairley Watson Duties of the Secretary of PAWA The Secretary position for the Probus Association is very similar to that of the position in your Club taking and distributing minutes of the meetings, attending to correspond ence inwards and outwards, and preparing Agendas for the next meeting. But it has the additional pleasure of contact with so many Probians from all of the 100 and more Clubs in the State. It is always so interesting to hear from people from Clubs in Esperance to Kalgoorlie, and all points west! And on top of that, you have the opportunity to meet up with the other people who are happy to fill the different positions on the Committee at the monthly meetings. Betty Saw Role of PAWA Treasurer Although the Probus year is from 1 March to 28/29 February, the financial year is from 1 February to 31 January enabling financial records to be finalised and audited prior to the AGM held in March. The Treasurer is responsible for: The financial management of club funds under the direction o the Management Committee The Treasurer may delegate the collection of monies being paid by members/guests for club activities to the leaders of such programs. The banking of all collected monies within two working days for insurance purposes The Committee must approve all financial transactions made by the club and ensure that all payments are made by cheque or electronic transfer carrying two authorised signatures other than those from the imprest account. The Committee shall ensure that no payments re made without evidence of the debt by way of invoice, voucher or receipt. (continued on next page) 4
5 Probus Association Western Australia * * * * INFORMATION * * * * Succession Planning Role of PAWA Treasurer (continued) A budget, setting out the anticipated Income and Expenditure for the following twelve months, should be adopted annually. A monthly Financial Report be presented at monthly Committee Meetings. Any system of accurately recording Income and Expenditure may be used electronically or manual. Please note: The Treasurer position will become vacant 2015/16 and nomination forms will be available later in the year, so we urge you to please give taking on this position it some serious consideration NOW. Rhonda Johns Treasurer - PAWA 2014/15 We urge all clubs in the metro area to encourage their members to consider taking on a PAWA Committee role, next year or in the years ahead. As you are aware PAWA celebrates its 30th birthday in September, and with more dedicated Probians coming on board as we are confident you will, the future of PAWA and Probus in WA will be in safe hands for many more years to come. 6 * * * * * * SOUTH WEST REGION REPORT* * * * * * SOUTH WEST GET TOGETHER 2014 The date is Tuesday 14th October. As I mentioned last month, please continue to remind your members about the South West Get together hosted by South Bunbury Club this year. The club is putting a lot of effort into making it a special day and I encourage all clubs to get as many members as possible to attend. They are hoping for numbers over 300. The venue at Dardanup Heritage Centre is amazing and there is lots to do and see. They have a comprehensive website if you google Dardanup Heritage Centre. A number of generous sponsors have offered their support for the event and President Gerry Mallott is hoping to be able to drop the cost per head to $30 which includes a reduced entrance fee and all day tea and coffee, morning tea and a finger food lunch. Parking and facilities are excellent. If you only have one club outing in October make it this one.. This will be a special day with the chance to meet and mingle with Probians from all over the South West. More information and registration forms will be sent soon. SEE YOU THERE!! BRIDGETOWN- BLACKWOOD VALLEY PROBUS CLUB The Combined Probus Club of Bridgetown-Blackwood Valley is going well. Congratulations to the inaugural President Barbara Johnson and her committee who have the club running well and have 50 members to date. The club meets on the second Wednesday each month. 7 GREAT SOUTHERN REPORT A SECOND PROBUS CLUB IN DENMARK ARE YOU 55 OR OVER? RETIRED OR MAYBE SEMI-RETIRED? LOOKING FOR FUN, FREINDSHIP and FELLOWSHIP? Probus provides opportunities to stimulate the mind, while remaining physically active in a social environment. It is non-political, non-sectarian and non-racial and is not a fundraising group. Both couples and singles are welcome. In addition to a monthly daytime meeting, members enjoy the company of others with similar interests at a variety of social functions and interest groups organised to suit member's interests. Denmark already has one Probus Club which has reached its ceiling of 60 members with several people still wishing to join and with so many retirees in the district and new residents regularly arriving in town a second Probus Club in Denmark is inevitable. The Probus vision was created by Rotary and Rotary remains instrumental in the formation of all new Probus clubs. Probus Clubs are in 23 countries worldwide, whilst in Australia and New Zealand there are approximately 2260 clubs with 190,000 members. In the Great Southern District of WA, there are 12 Probus Clubs with approximately 700 members. The Rotary Club of Albany City would be proud to sponsor a second Probus Club in this area and with assistance from the Probus Club of Denmark will be arranging an interest meeting in Denmark on Wednesday 3 rd September 2014 at the Lion's Lair at l0am (near the River Mouth Caravan Park). Port of Albany Ladies has celebrated their 24 th birthday this month. This day not only celebrated the club s birthday but also that of Edna Vaux who was a founding member of this club. Edna was also presented with a Life Membership of the club during morning tea. Also in attendance was Edna s family who had travelled from afar for the occasion. Esperance Probus Clubs are organising the Past President Lunch for the Great Southern region this year. The event is planned for late September when the weather should be fine. Esperance is a wonderful tourist spot and home to the Skylab, which was America s first space station. Tours are being organised and details will be forwarded when available.
