1 Old Saybrook Carriage Home and Townhome Annual Meeting October 26 th, 2013 Columbiana Public Library Officers Present: Jim Mineo, President Gary Bacon, Vice President Nancy Bacon, Secretary Bill Snyder, Treasurer Diane Raneri, Board Member Dave Smith, Board Member Townhome Officers: Lou Nudo Robert Struharik Richard Rorbaugh Jim Mineo opened the meeting with an introduction of the Officers and a greeting to all those in attendance. He introduced Erica Finley who is with the law firm of Kaman & Cusimano. They represent the Carriage Home Association with all legal matters. Erica was invited to the meeting to explain the services they provide our Association. Erica explained all the services provided by their Firm. She talked about the importance of having the Association incorporated with the State of Ohio. She also talked about the importance of having the Board bonded and explained the procedure required to change any of the by-laws. Erica stressed the importance communication not confrontation. Her presentation lasted approx. 15 minutes. Jim Mineo explained to the members the bid process for the services we provide. He also explained the reasons for the change in the insurance carrier. He gave a brief summary of the areas the different Board Members would be talking about. Gary Bacon gave a summary of the work that was completed in the past year. He reviewed the work done by DP Lawn Care and the work still to be completed. Numerous comments were made reference how pleased everyone was with DP. 7 units were power washed and painted this year. In the future power washing will be every 3 years and painting will be every 6 years. 27 shrubs were replaced by Town and Country this year. 5 units had bee problems that were handled by Plummer Diel. Lawn Ranger applied 4 applications of fertilizer plus grub control. 16 units had the driveways sealed and 43 exterior light bulbs were replaced. Per an ODNR permit, 9 goose eggs were drilled. Nancy Bacon stressed the importance of reading and understanding the Association rules and regulations. She reminded everyone that they were given a copy of the Carriage Home and Home Owners rules when they purchased their homes. In the past year, Dave Smith has set up a web site that also contains the regulations. Nancy read a letter sent to the Board by Patty McGee thanking everyone for the flowers and all the help she received during the loss of her husband. She also advised everyone that Ralph and Delores Gavini expressed thanks for flowers and help during the loss of Ralph s father. 1

2 Bill Snyder reviewed the 2013 budget and explained the projected 2014 budget. The dues for the year 2014 will be going up $10.00 per month. Bill explained the reason for the increase. Handouts were given to all members and reviewed by Bill. We have not had an increase in three years and hope to keep the increases to a minimum. Diane Raneri advised that she is responsible for the newsletters that are sent to all the members. She also assists Bill Snyder with the Treasures duties and making sure that the books are audited once every year. Diane gave special thanks to Dwight Dorwart for all the work he did setting up the community garden and to Theresa Ludiciani and the Saybrook Sisters for organizing the Saybrook picnic. Dwight took the floor and wanted to thank Lou and Diane for paying for the water that was used in the garden this year. Dave Smith advised the members that during the past year he has set up a web site to assist and inform members. The web site address is (saybrookchca.org); the site contains regulations and rules for both the Carriage Homes and the Townhomes. It also contains newsletters and a calendar for upcoming events. There is also a section of frequently asked questions and the ability for members to send questions or comments to the Board. Dave requested that everyone familiarize themselves with the site and feel free to make comments. Jim Mineo advised that we have had some new members to the development this year and requested that everyone stand and introduce themselves. Lou Nudo reviewed that work that was done at the Townhome Association in the past year and the work that is to be done in the next couple months. MP will be paving the roadways and driveway before Thanksgiving. Members will be advised of the dates in advance and the areas to park in. He also talked about the problem with people leaving their garbage cans on the street after pick up. He stated that he has been putting the cans by the garages for the past several weeks and if the members do not start to comply fines will initiated. He advised members that all garbage cans must be kept in the garages during the week. He discussed with members the removal and replacement of several trees in development. He reminded members that the regulations for the Townhome Association are on the Carriage Home web site. At the end of the Carriage Home and Townhome meeting MP Builders held the Homeowners annual meeting. Nancy L. Bacon Secretary 2

5 October 8, 2013 Dear Old Saybrook Carriage Home Owners: October 26 th has been set for the Annual Meeting of your Carriage Home Association. We are required by regulations, to conduct an annual meeting, your presence is requested. The Carriage Home Owners will meet in the Columbiana Library Salchow Room at 9:30 A.M. with the Townhouse owners in attendance for a joint meeting. The Homeowners Association is scheduled for 11:00 A.M for which you will receive separate notification. A representative from Kamon & Cusimano, our attorneys, will be present to discuss legal issues for the Carriage Home Association. An earlier mention of a Proxy vote will not be held at this time. The business meeting will include the annual financial report, proposed budget, increase of fees, officer s reports, and election of two board members. Have your nominations for election/re-election of the expiring two three year terms. Contemplate any comments, changes, etc that you may have and bring them written out so that the board may address your concerns for the future betterment of our community. You may always view our website, saybrookchca.org for the Carriage Association bylaws and post any questions there. Time permitting there will be self introduction of everyone in attendance, and open discussion. The board has worked hard this past year to maintain your property and interests to the highest standards possible within the constraints of time and budget.
