1 NHASFAA Council Meeting Saint Anselm CollegeJoseph Hall Friday, December 13, :00 am Present: Suzy Allen, Jeff Bentley, Tori Berube, Anna Clifford, Sharon Eaton, Maureen Fagen, Crystal Finefrock, Sheri Gonthier, Jason Graves, Elizabeth Keuffel, Mike Levasseur, Debra McCann, Susan Proulx Absent: Leslie Bembridge, Ashley Coleman, Hilary DeAngelis, Robin Gagnon, Lizbeth Gonzalez, June Schlabach, Cindy Schofield Guests: Erin Hathaway, Jennifer Smith, Val Patnaude President s Report: Elizabeth presented the agenda in a new format. The first part of the meeting was executive council reports. The second part was a strategic planning update, followed by new business and a NHASFAA reorganization discussion. Elizabeth was happy to introduce our guests to our council meeting. She then gave a summary of the 2 day retreat, also known as the Concord Meeting. The focus being on the primary purpose of the organization and the 3 goals that were established at the retreat (see agenda). Elizabeth recently had a meeting at St. A s regarding the Unique program. Those that are involved are not engaged. Elizabeth, along with 68 directors, recently went to a roundtable meeting in Concord with Ed McKay, commissioner of the program. It was a helpful conversation; in that, we (financial aid professionals) are the people know the program vs. those that administer the program. Susan stated that as long as there is money from the fees, there will be money for the students. February is the next meeting where they will set up rules for the next year. It is hopeful a member of NHASFAA will be able to attend. Elizabeth will share the date with members, and it is an open meeting. Elizabeth s goal in attending was for them to see us, and to know who we areprofessional practioners in the state. Secretary s Report: The minutes to the 6/14/13 summer retreat were reviewed and Tori moved to approve minutes as presented and Mike 2 nd motion. So moved. They will be posted to website shortly.

2 Treasurer s Report: Jason reported that all payments have been received. He is still looking at moving money into 2 funds not CD s. Aggressive, but safe. He is concerned of being the one to make decisions as to where money should go. Jason will bring a proposal to executive council (current finance committee) who will then make final decision by mid January and it will be completed by next council meeting. Membership: Ashley will be reviewing those schools that are paying membership but not participating in NHASFAA events. *Suzy is willing to review that list and outreach to schools. *Sheri will do lock down and make conference materials only available to members Other discussion

5 *Hot training topic is tax workshops (i.e. Jim BriggsEASFAA) *EASFAA webinarstraining has improved and well attended. Maureen has offered to outreach to Kristi Novell (EASFAA Training Chair) to get some numbers Conference: Susan went over the conference surveys 46 attendees submitted a survey 41 answered good/excellent for the hotel and same for speakers. There were both positive and negative comments regarding the speakers. 98% said yes to a similar venue 76% said yes to other states participating (mixed responses) For 2014 conference at the North Conway Grand; Looking at Thursday and Friday, October 2324, On hold, but as of yet, no deposit has been made. There will be a similar cost structure. The hotel will improve the on line registration, and no changes to our AV needs. Maureen gave a summary and vendor comparisons from other states. She liked our set up. Jeff stated that Maine s conference will be changing as they lost their venue. They were not organized and are going through a tough time as an organization. Connie Smith, current Maine president, is working hard to improve, but Jeff stated not sure if he will continue to attend. MASFAA is looking to move from Foxboro to possibly the Framingham area, either in late October, early November. Susan will chair one more time and Sheri will cochair, as the transition to a new chairperson will begin. Suzy moved to put down a deposit for the 2014 conference at the North Conway Grand Hotel and to continue to subsidize the conference budget. Maureen 2 nd the motion. So moved. This next section of minutes was a discussion of SLRP *Government Relations will continue to review the Fact Sheet. Include all NH institutions (Number of institutions will need to be reviewed) The Fact Sheet should remain one page. Jason shared that we should begin to memorize an elevator speech; summarized from Fact Sheet. This would be available to all members and associate members *Ashley will continue to work on a possible new logo. Ashley has sent samples to Jason. *Sharon will review profile. Continue to review hot topics (gainful employment, loan repayment)

6 *Crystal will review contact system. Continue to work on branding (new logo). We should make our s more visible *Seal of ApprovalMember Institutions. Other suggestions if budget warrants, is the fact sheet with the seal in a frame? *Maureen will continue to work on a yearly calendar and distributed a sample handout to council *Training. We should have 2 members from each institution on committee. There will need to be outreach to the institutions to determine what their needs are *Financial LiteracyContinue to work on this *Revisit the structure of committees Do a little bit of something vs. doing all of it *Continue to work with advocacy and communication *RepresentativesEngage in new groups; Become more integrated New Business Suzy discussed the way the NASFAA board is set up. *s are formed and have chairpersons. (They are not present at council meetings) *A Commission Director is assigned by the committee. It is this person that attends the council meeting. Maureen suggested the events committee meet quarterly (or at least prior to council) We need involvement and we need recruitment Reformat Council Those involved are not taking on as much Not shutting out any people Get involved No need to always attend council meetings Next Steps BiLaws; Change to annual meeting date; this is a bilaw change; Need vote ASAP by the membership (June 6 th ) Jennifer suggested the business meeting become part of the annual conference PresidentChange of Gavel will happen at conference

Past president will count ballots.
