1 2010 AREA 63 WINTER ASSEMBLY - March Pierre, SD Area Chair, Anne F. opened the meeting. 12 Traditions and 12 Concepts were read by Bridget and Larry. New GSR s and DCM s were introduced. GSC Agenda Items were introduced by Area 63 Delegate Dean C. AREA COMMITTEE BREAKOUT SESSIONS were held followed by working lunch hosted by District 9 DELEGATE S REPORT by Dean C. It is great to see a lot of new faces here in Pierre today. I am grateful to have the opportunity to serve as your Area 63 Delegate. The International Convention of AA will be held this year in San Antonio, TX July 1-4, Start saving now so you can make the trip. There will be a bus leaving from Sioux Falls on June 30 th returning on July5th at a cost of $140. The registration fee is $95; $110 after May 14 th ; motel for 3 nights will cost about $350 so for around $600 plus food you can make the trip. We have the opportunity to host a West Central Region Additional Forum November 12-14, 2010 at the Ramkota Convention Center in Rapid City. Dave D. is the chair of the host committee. The theme of the forum is Singleness of Purpose Carrying AA s Message to the Native American. I attended the West Central Regional Service Conference in Dubuque, IA March 5-7 where we discussed the GSC Agenda Items in great detail. They had a fantastic hospitality room there which sets the bar high for our Additional Forum. I will be attending the 60 th General Service Conference April 18-24, The Conference will be held in Rye, NY rather than Manhattan this year. As your Area 63 Delegate, I will be 1 of 131 voting members of the Conference. This year there will be 93 Area Delegates, 14 GSO Staff, 18 Trustees, and 6 Non-Trustee Directors. I have been appointed to the Conference Committee on the Grapevine. Our committee has been holding regular conference calls since January. Last year the Grapevine was $180,000 in the red. This year it is $250,000 in the red and had to borrow money from General Service Board reserves to meet payroll in March. We need to promote the Grapevine to our membership back home if we want to keep it solvent. Our subscriptions recently slipped below 100,000. I realize some people don t like the Alcoholism At Large pages but those are only two pages in an excellent magazine. Please go back and mention to your group the possibility of purchasing a Grapevine subscription. One year subscriptions are $27. Right now the General Service Board is looking for a Non-Trustee Appointed Committee member to work with the AA Videos for Young People Project. Requirements include a minimum of 5 years of sobriety and experience in AA service work. Apply by April 15, Thank you for trusting me to serve Area 63 as your Delegate. I promise to be the best Delegate I can be with God s help. AREA 63 DISTRICT REPORTS DIST 1: Northwest SD, including Bison, Lemmon, Cheyenne Eagle Butte, and Faith, no report. DIST 2: Anthony F, DCM; Located in western SD including the communities of Rapid City, Box Elder, Ellsworth AFB, Black Hawk, Wall, Philip with 27 registered groups, 15 active in the district and 7 votes at the assembly. District 2 continues to have an active committee system patterned after of Area 63 s committee structure. We have approximately 25+ in attendance at our monthly meetings which are held at the Alano Society in Rapid City, on the last Sunday each month. Recently District 2 along with District 13 sponsored a workshop on the Traditions and Concepts. Speakers were Dave H. and Gary K. from Parker, CO. 32 people registered for the event. Currently we are working on ideas of how groups can share on the traditions/concepts in their own way. District 2 is hosting the 2010 Fall Conference to be held Oct. 1-3 at the Rushmore Plaza Holiday Inn. We have a conference host committee which is meeting monthly. District 2 is working on how to get more involvement from individuals as well as groups in the District. We have some concerns about the procedure for bidding on future conferences. DIST 3: Corey H.S., DCM, Lloyd S. Alt DCM reporting; Located in the south central region of SD, including the communities of Kyle, Wanblee, Martin, St. Francis, Mission, White River, and Parmalee with 7 registered groups and 7 groups active in the district. Today we have 4 votes at the assembly. Recent events include the annual White River Out of Towner s Potluck Speaker Meeting in February. Martin held their annual potluck celebration in January with Amos and Seymore Y.D. celebrating birthdays. St. Francis also held a birthday celebration in January. All were well attended. Various AA Groups have summer BBQ s and potlucks planned with an annual retreat planned for October. DIST 4: Sarah S., DCM, Kim B. Alt DCM reporting; Located in southeastern SD, District 4 includes the communities of Yankton, Vermillion, Tyndall, Freeman, and Springfield with 9 registered and 3 groups active in the district. We have 4 votes at the assembly. Springfield, Tyndall and Freeman Groups currently have only three or four regular members. Freeman has a new location at the City Hall at 3 rd and Poplar St. Yankton and Vermillion Groups have strong attendance. District meetings are held the last Saturday of the month except for months with Area functions. Groups are getting involved taking meetings into correctional facilities and treatment centers. District 4 will be having a workshop on Saturday April 17 th. The topic will be the ABC s from Chapter 5 of the Big Book. DIST 5: Leslie H., DCM; Located in southeastern SD, including the communities of Sioux Falls, Chester, Brandon, Dell Rapids, Flandreau, Garretson, Lennox, Madison, and Coleman with 28 registered groups, 7 active at the district level, and 5 votes at the assembly. 2 District 5 is currently working on developing a budget, getting more groups and members informed and involved in the district and on formulating guidelines for our new committee chairs. DIST 6: No DCM, Katie M., Sixth Sense Group GSR reporting; located in northeast SD including the communities of Aberdeen, Redfield, Webster, Milbank, Big Stone, and Britton with 6 registered groups, 6 active and 2 votes today. Upcoming events include a ski trip to Alexandria, MN, Aberdeen AA United on April 10th and a Wednesday Night Group quarterly speaker meeting on July 10 th. Currently there is no organized district committee in District 6 but several people are showing interest in changing this. The fellowship is excited about an upcoming canoe trip, pancake breakfasts, a Sponsorship workshop, and the Sixth Sense 13 th Anniversary with dates TBA. DIST 7: Steve McA., DCM; located in north central SD, including the communities of Mobridge, Selby, Gettysburg, Pierre, Fort Thompson, Murdo, Draper, and Vivian with 6 registered groups. We have 2 votes today. We had a district meeting in Pierre in March. At the time, an alternate DCM was elected. The DCM will be traveling to the district meeting in Gettysburg in April. The biggest issue facing District 7 is participation. We are trying to promote enthusiasm in order to encourage participation. DIST 8: April J., DCM; located in east central SD including the communities of DeSmet (Kingsbury Group), Mitchell, Miller, Wessington Springs, Ethan, Parkston, Emery, and Huron with 8 registered groups with 6 groups active in the District, and 5 votes today. There is a new group at Mitchell named The Circle of Friends Group located at the Avera Queen of Peace Hospital, it s in a meeting room on the way to the cafeteria. The Woonsocket Lake Prior Group has disbanded. The District is looking at hosting extra meetings during the State Fair in Huron as we did last year and is talking about more meetings during Corn Palace Days in Mitchell. Huron continues to have issues regarding smoking and/or non-smoking meetings. We are also discussing holding a panel/workshop on sponsorship and a panel to discuss the differences between an Alano Board and an AA Group and how the respective entities make decisions. Huron continues to have issues regarding smoking and non-smoking meetings. DIST 9: Don F., DCM; located in eastern region of SD and includes the communities of Brookings, Clark, Clear Lake, Lake Preston, DeSmet, South Shore, Arlington, and Watertown with 13 registered groups, 8 active, and 6 votes today. We are hosting 2010 Spring Conference in Brookings on June 4, 5, and 6. Pre-registration, as always, is strongly suggested. Those who pre-register before May 1 st will be entered into an early-bird drawing for a set of Spring Conference CDs. Please pre-register. District 9 is working on ways to get new groups involved and on getting groups to increase their financially support of Area 63 and GSO. We are looking into having a district wide late night campfire meeting in a central location. We welcome two new groups in Arlington and South Shore who have not yet registered with GSO but are holding regular meetings. DIST 10: Pete M., DCM; located in the southwestern SD including the communities of Hill City, Custer, Hot Springs, Edgemont, Pringle, and Oelrichs with 9 registered groups and 6 groups active in the District. Currently we are looking for volunteers to attend meetings at the STAR Academy near Custer. We continue to be involved with the VA Medical Center in Hot Springs, assisting with transportation to meetings and participation in recovery events such as the Rushmore Round up. District 10 is a small recovery community with a large geographic area. We actively use e mail to stay in contact, using Blind Carbon Copies (BCC) to protect anonymity. District 10 needs to work on financial support of our trusted servants to increase participation at Area 63 events. As District 10 becomes more organized, we expect participation will increase. We welcome you visit our AA meetings in District 10. DIST 11: Located in southeast SD includes communities of Beresford, Canton, Centerville, Irene, Elk Point, and Parker. No report. DIST 12: Located in the south central SD includes the communities of Chamberlain, Burke, Gregory, Winner, Lake Andes, Armour, Platte, Bonesteel, and Wagner. No report. DIST 13: Bob M., DCM; reporting; located in northwest SD including the communities of Buffalo, Belle Fourche, Camp Crook, Deadwood, Lead, Spearfish, Whitewood, and Sturgis. There are 9 registered groups with 8 active in the district and 4 votes today. The district committee meets monthly with district meetings rotating between groups. Groups carry speaker meetings weekly into the AFR Treatment Center and the Meade County Jail. Speaker meetings at the Timberline Treatment Center, New Dawn Halfway House, and Fort Meade VA Medical Center are held every other week. We continue to sponsor a district phone answering service. District 13 sponsored the annual New Year s Eve potluck dinner, AA meeting and dance. The Northern Hills Recovery Group is holding their 9 th anniversary celebration April 10 th and 11 th at the Spearfish Holiday Inn with speakers, a workshop and entertainment. District 13 will be hosting the 2011 Spring Conference. An ongoing issue in district is trying to get all groups to participate in district meetings and activities. Our CPC committee is cooperating with a youth diversion program in Spearfish and has also met with the BHSU student support services to find ways to carry AA s message to college students in need. DIST 14: Located in north central SD including the communities of Cresbard, Faulkton, Leola, and Ipswich. No report. DIST 15: Located in southwest SD including the community of Pine Ridge. No report. AREA 63 COMMITTEE REPORTS REPORT AND CHARTER: John T. chair, 4 members present. The committee reviewed area minutes and liked having AAWS report included. Committee reviewed and discussed GSC agenda items for Conference Committee on Report and Charter. Committee reviewed and discussed bid submitted by District 5 to host the 2011 Area 63 Fall Conference see attached bid proposal. ***Committee recommends approval of 2011 Fall Conference bid submitted by District 5 to be voted on at the Spring Conference. FINANCE: Shirlee H. chair, 5 members present. Committee reviewed and approved treasurer s report, reconciled bank statements for both general fund & conference fund, audited check books, prepared financial update letter for area and return envelopes for distribution to GSR s. Committee reviewed and discussed GSC Agenda items for Conference Committee on Finance. No recommendations at this time. POLICY/ADMISSIONS/AGENDA: Chris D. chair, with 4 members present. Committee reviewed and discussed GSC Agenda items for Conference Committees on Agenda and Policy/Admissions. No recommendations at this time. REMOTE COMMUNITIES: Lester W. chair, with 5 members present. Committee reviewed the Remote Communities flyer and is considering removal of phone numbers and lists of towns from flyer and adding them to the Area 63 website. The committee is considering listing the Area 63 web address on the Remote Communities flyer along with the Sioux Falls Intergroup and District 2 web addresses. Rapid City Nomads group has been traveling to meetings including: Phillip, Wall, CABH Unit in R.C., and will be traveling to Pine Ridge on Wednesday April 28 th. Remote Communities plans to work with Additional Forum Host Committee for the Native American Forum to be held in R.C. November Committee reviewed and discussed GSC Agenda items for the Conference Committee on Trustees. No recommendations at this time. WEB COMMITTEE: Todd T. chair, with 2 members present. Committee reviewed previous committee legacy items, new team member responsibilities, website updates, neighboring area s websites for potential improvements, and GSO website guidelines. Committee reviewed and discussed GSC Agenda items for Conference Committee on Public Information related to GSO website. Committee considered current Area 63 website challenges such as group interface needs to be more user friendly and will continue to explore improvements, establishing roles and responsibilities for new committee members and re-establishing communication with DCM s for meeting/group updates. Committee reviewed PI Kit and Workbook. Committee reviewed and discussed GSC Agenda Items for Conference Committee on Public Information at length. Committee considered asking district committees to please check with your local library to see if they have copies of the Big Book, Twelve Steps and Twelve Traditions, and Living Sober. Committee discussed importance of not having everyone s e mail show up in the area/district minutes. No recommendations at this time. ARCHIVES: Jodi J. chair, with 6 members present. Committee reviewed and discussed GSC Agenda items for the Conference Committee on Archives. Committee considered the need for permanent archivist position for Area 63. This person would maintain the archive, have a long standing familiarity with inventory and an understanding of archival quality needs of collection. Committee and other volunteers will conduct an inventory of the Area 63 archives starting at 10 am on Friday August 27 th at the Kings Inn. If you are interested participating in the inventory, contact our committee secretary, Leslie D. No recommendations at this time. CORRECTIONS AND TREATMENT: Matt M. chair, with 9 members present. Committee reviewed and discussed the GSC Agenda items for the Conference Committees on Corrections and Treatment Facilities. Committee reviewed contents of Corrections and Treatment Workbooks but did not review Special Needs Workbook. 4 are confined to hear AA s message. 90% of those incarcerated are due to choices they made under the influence of alcohol and drugs. Committee discussed the need for additional subscriptions to the Grapevine for correction and treatment facilities. Committee has prepared Pink Cans for distribution and group and district level. Former Area Treasurer Tammy F. clarified that Pink Can money should be used at the district level for corrections literature or forwarded to the Area Treasurer who will designate it to be used for corrections literature. Committee discussed Bridging the Gap program and considered two locally created forms: one for treatment clients and one for A.A. members willing to serve as temporary contacts for corrections and suggests using locally created forms. No recommendations at this time. COOPERATION WITH PROFESSIONAL COMMUNITIES: Jessica N. chair, with 8 members present. Committee reviewed and discussed GSC Agenda items for the Conference Committee on Cooperation with the Professional Community. Committee reviewed the video A.A. Cooperation with the Professional Community and reviewed the CPC kit & workbook. Committee compiled a list from the CPC News Exchange of CPC ideas from other areas in the US. We hope to form a local CPC Exchange Group within Area 63. The committee chair will communicate to district volunteers to develop a coordinated CPC effort in Area 63. Committee is working with the 2010 Spring Conference on organizing a CPC Luncheon for Friday June 4 th based on room availability. The committee members are excited & willing to participate in the luncheon. No recommendations at this time. LITERATURE AND GRAPEVINE: David K-S chair, with 4 members present. Committee reviewed GSC Agenda items for Conference Committees on Literature and Grapevine, including several proposed literature changes. Committee needs to acquire Grapevine Workbook & the video Your General Service Office to review in the future. Committee disagreed with pamphlet on atheist & agnostics who are successfully sober in A.A. as it contradicts Tradition 2. No recommendations at this time. ADDITIONAL FORUM HOST COMMITTEE: Dave D. chair, with 3 members present. Committee reviewed the theme for the additional forum which is Singleness of Purpose - Carrying A.A. s Message to the Native American, location which is the Ramkota Hotel and Convention Center, Rapid City, dates which are November 12 14, Committee discussed host committee duties and tentative agenda. Committee considered ways of getting members involved; there are plenty of ways to be of service. The committee suggests having General Sharing Session topics that coordinate with our theme. Our chairperson Dave D. will coordinate with our Delegate Dean C., Regional Trustee Ken B., and GSO Staff Coordinator, Eva S. We will have monthly committee meeting the last Sunday of each month at 2 pm at the Alano Club in Rapid City. The first meeting will be April 25 th at 2pm.
