3 Dear Friend, Thank you for joining Team Spina Bifida, the Spina Bifida Association s (SBA) athletic program whereby individuals across the country choose to participate in a marathon, half-marathon, or other endurance event to help spread awareness about and raise vital funds for Spina Bifida education, advocacy, research, and support. Whether you are participating in an official Team Spina Bifida race or opting to Choose Your Own Event, this toolkit is packed with information to assist you with your fundraising journey, including tips, tools, and samples. We hope you find it helpful. Upon registration, you should have created a login and password. Keep that handy! That will give you access to your own personal webpage where you can share a story and photo; set a fundraising goal; create your own friendly url; accept online donations, and make edits. If you signed up for a race that uses Crowdrise as its fundraising platform, you will be sent instructions on how to set up your webpage on that site. In the coming weeks, you will receive a Team Spina Bifida racing shirt in the mail. You can wear it while training and/or on race day. Details about other benefits will be forthcoming. 4 Where Do I Start? You ve signed up for an endurance event. You know you need to start training, but how do you start fundraising? STEP 1. Find Your Inspiration Are you living with Spina Bifida? Is someone you know affected? Maybe it s your child, grandchild, another family member, neighbor, co-worker, or friend. Or maybe you ve never met anyone with Spina Bifida, but you want to somehow make a difference. Whatever your inspiration, you need to identify it and share it with others to be successful with your fundraising efforts. STEP 2. Set Up Your Webpage When you registered, you were asked to create a login and password. You can use both to set up a personal webpage where you can share your story (or the story of someone whom you are honoring or memorializing), post a photo, set a fundraising goal, collect online donations, and create a custom url. If at any point you find you cannot login, contact Liz Merck by at emerck@sbaa.org for a password reset link. STEP 3. Utilize This Toolkit Everything you need to make your fundraising campaign a success is right here at your fingertips, including sample social media posts; s/letters; event ideas; and donation tracking forms. Look through this toolkit to plan your fundraising activities and use it as a reference throughout your campaign. STEP 4. People Donate Because They re Asked Sounds obvious, right? In order to get a donation, you need to ask for one directly. Mass s and social media posts will only get you so far and could go unnoticed. Don t be afraid to send personal asks. You ll be surprised at how many donations you receive. And don t forget - every time a donor makes a gift to your campaign, you should thank them promptly and profusely. It shows you re grateful for their kindness, and they may just give again at a later date!
5 STEP 5. More People Donate Online The average online donation is 50% more than a donation by check. Of course, donors who feel more comfortable paying by check can do so. STEP 6. If at First They Don t Reply, Ask Again Remind people throughout your campaign that you are participating in Team Spina Bifida. Sometimes people want to donate, but they get sidetracked by other things or don t have funds at that time. Remind your contacts about your campaign, deadlines, and what you hope to achieve with their help.
6 STEP 7. Take Advantage of Matching Gifts Many companies will match their employees donations. This is an easy way to double or triple your fundraising. Be sure to have everyone ask their employer for the appropriate form. SBA will file the paperwork and credit your fundraising account. STEP 8. Consider Planning an Event This toolkit is full of ideas for special events. Whether it s a dinner party or bake sale, holding an event can be an easy way to boost your Team Spina Bifida fundraising totals.
7 STEP 9. Use Your Friendly URL You have the opportunity to create a friendly url when you set up your account. Utilizing this link is the ONLY way to ensure that contributions are properly credited to your campaign. Make sure you use this link! STEP 10. Update Your Donors People are going to want to know if you reach your goal. Keep your donors updated on your progress so they feel engaged in the campaign too. Team Spina Bifida is not just about raising money either. It s about raising awareness about Spina Bifida. Don t forget to ask your friends to help spread the word about your campaign to their friends and family.
8 fundraising timeline You may not have 3-6 months remaining prior to your race day, and that s ok. This is just a sample, so these steps can be followed in a much shorter timeframe, and some may not apply to you. 3-6 months before race Set a fundraising goal. Personalize your TSB webpage with your story, goal, and event. Compile a contact list. Personalize the sample letters included in this toolkit and send. Start telling everyone you know that you have joined Team Spina Bifida. As donations start coming in, be sure to thank your donors! 1-3 months before race Request a fundraising training session from SBA staff. Pay close attention to any marathon updates so you don t miss out on important information about race day. If you plan to host an event, start planning (see ideas in this kit). Recruit your friends to help you with fundraising. Host your fundraiser. Be sure to thank those who donated or helped! Post fundraising and training updates on your long runs, successes, or your inspiration (see samples in this kit). Track your progress against your fundraising goal and adjust as necessary. Mail any offline donations to SBA s office. Re-solicit folks who haven t responded to your initial asks.
9 1 month before race Get excited because race day is fast approaching! Turn in any necessary paperwork such as your Credit Card Commitment Form (if you haven t yet met your fundraising goal) or your form to reserve pre-race dinner reservations. Make calls to family/friends who haven t yet donated let them know how excited you are about your upcoming race and how much you d appreciate their support. Continue to post training / fundraising updates on social media (Countdown to race day?). Track your progress against your fundraising goal and adjust as necessary. Mail any offline donations to SBA s office. Race week Be sure to let everyone know it s marathon week. Get prepped for race day! Pick up your race packet according to your race s schedule. Attend the pre-race dinner and meet your team members. After the race Write a race recap! Highs, lows, and everything between. It s a great way to remember the experience, and it lets your supporters know how you did. Feel free to share with SBA too! Send thank yous to everyone who supported your efforts. It is so important to say thanks (especially if you want to participate again in the future). If you have not yet reached your fundraising goal, be sure to let everyone know the deadline to make a donation (you can set this up yourself). 30 days after race All funds are due to SBA. 10 Fundraising Event Ideas Many Team Spina Bifida participants have hosted events to supplement their and social media outreach. See if any of these ideas inspire you, or create and host your own event! #1 Bake Sale Make some yummy treats and ask to set up a table at your school, office, church or local market. #2 Lemonade Stand A great way to involve kids in your neighborhood! #3 Garage Sale Hold a garage, yard, Craigslist, or Ebay sale with a portion of your proceeds being donated. #4 Car Wash Gather some supplies and get your friends together! You can charge per car or ask for donations. #5 House Party Turn a cocktail or dinner party into a fundraiser by asking guests for gifts. Share your story or invite a guest speaker. #6 Restaurant Night Partner with a local restaurant willing to donate a % of sales for the day/night.
11 #7 Bingo Partner with a local church or community center to sell Bingo cards. Instead of cash prizes, get local businesses to donate prizes. Advertise the event in your community. #8 Dress Down Day With permission from your boss or HR Department, employees pay a fee to wear jeans to work, with funds donated to SBA. #9 Raffle Folks pay for raffle tickets. Half of the money goes to the winner, half goes to SBA. #10 Auction Hold a potluck dinner auction, a silent auction, or a bachelor auction where people can bid on what they desire to win.
12 Other Fun Ideas Let Your Donors Sponsor One Mile of Your Race Choose an amount to charge for each mile (e. g. $100 per mile) and let your donors buy a mile. For example, Mom & Dad buy Mile #1, Suzie buys Mile #2, etc. Keep your online fundraising page up-to-date as to how many miles you have left to sell. 26 miles x $100 = $2600! As an incentive to the donor, offer to write their name on the back of your racing singlet! Sell a Body Part Tell potential donors that they can buy advertising space on an arm or leg or your forehead! Charge them $$ to write their name or message on race day. Not only is it a great way to encourage donations, but it makes your sponsors feel like they are crossing the finish line with you!
13 CREATE A CONTACT LIST Before launching your campaign, you might want to make a list of people you know and then keep track of them as they respond. Use this list to inspire you to compile your own list of personal contacts. 14 SAMPLE SOCIAL MEDIA POSTS ALWAYS include a link to your personal page! People need a link to donate! Create a shortened url (tiny url or bit.ly are good options) to use on Twitter. Use these hashtags when appropriate: #teamspinabifida, #spinabifida, #tsb. Facebook Ideas I just joined Team Spina Bifida and will be competing in the XX event in [month]. I am raising money for the Spina Bifida Association to help those affected with SB. My goal is to raise $XXXX, and I d love your support! 26 #6 What if I Don t Raise the Minimum? One month before your race you will be asked to sign a Credit Card Commitment Form, giving SBA permission to charge your credit card for any amount left unraised for your fundraising minimum thirty days after your race. Payment plans can be set up if you cannot charge the entire amount in one lump sum. #7 Will SBA Help Promote My Fundraising? While we cannot promote individual campaigns, we do like to feature participant stories on our Team Spina Bifida Facebook Page. 27 SPINA BIFIDA association fact sheet Every day in the United States, approximately eight babies are born with Spina Bifida or a similar birth defect of the brain and spine. Spina Bifida is the most commonly occurring, permanently disabling birth defect in the nation. Today, there are an estimated 166,000 individuals living with the condition. Spina Bifida occurs when a baby s spinal column fails to close properly during fetal development, leaving a gap or lesion behind. Those with the condition may live with challenges such as hydrocephalus (fluid on the brain), full or partial paralysis, bladder and bowel control difficulties, neurological complications, learning disabilities, depression, and deadly latex allergy, among other issues. There are 65 million women of childbearing age in this country and all are at risk of having a child born with Spina Bifida. However, if a woman takes 400 micrograms of folic acid daily prior to and during her pregnancy, she can reduce her risk of having a child born with the condition by up to 70%. 29 POLICIES & PROCEDURES FOR THIRD PARTY FUNDRAISERS The Spina Bifida Association (SBA) is recognized as a 501(c)(3) nonprofit, charitable organization by the Internal Revenue Service. This tax exempt status is critical for SBA to carry out its mission. Therefore, it is essential that you comply with IRS regulations described in this document pertaining to nonprofit fundraising activities. By participating in SBA s Team Spina Bifida program, you are agreeing to become a third party fundraiser. Third party is defined as anyone not employed by SBA and refers to fundraising activities where SBA has no fiduciary responsibility and little or no staff involvement in the execution. You must abide by the following policies: 1. All third party events must be publicized and conducted in a manner that makes it clear that SBA is the beneficiary of your fundraiser, not the sponsor or host of the event. As such, event names may not incorporate the term SBA (e.g. SBA s Boston Bowl-a-thon). We suggest proceeds will benefit the Spina Bifida Association. You may ask for permission to use SBA s logo. All materials that will incorporate the logo must be reviewed and approved prior to distribution. 2. All expenses are the responsibility of the event organizer. SBA is not responsible for any expenses incurred for the fundraising activity and will not advance funds or reimburse expenses. If you need assistance to cover expenses, we encourage you to find event sponsors or charge an event fee. The event organizer may not keep any portion of the proceeds (beyond real expenses) as profit or compensation. Expenses for the event should not exceed 50% of the income. Donors must be informed that the tax deductible amount of their donation is only the amount that is over and above the value or any goods or services received in exchange for the donation. For example, if a donor pays $100 to participate in your event, and the value of your event is $50, then their tax deductible amount would be $50.
30 If SBA will not receive 100% of the proceeds from your event, the exact percentage must be stated clearly for the donor. Similarly, if goods are sold to raise money for SBA, it must be made clear what percentage of the sale price will benefit SBA. 3. All check or money orders should be made payable to the Spina Bifida Association. Keep track of your offline donations using the Offline Donation Tracking Form in this toolkit. You also have the option of entering offline donations directly into your personal website. Send checks to SBA using the Donation Submission Form in this toolkit or another form that clearly states what event is to be credited. Please do not send cash in the mail. Convert cash to a check or money order made payable to SBA. Include the Cash Donation Form to ensure proper donor acknowledgement. SBA will provide receipts to your donors only if you provide their name, contact address, and amount given. SBA will mail receipts out within 3 weeks of receiving donations. 4. The event organizer is responsible for the planning and execution of the event, including adherence to applicable laws (e.g. obtaining permits or licenses) and ensuring the safety of event attendees. As the beneficiary of your fundraising event, SBA does not accept or assume any liability associated with the event, including, but not limited to, injuries sustained by volunteers or participants during the event. The event organizer will indemnify, defend, and hold harmless SBA, its directors, officers, and employees from any and all claims that may arise out of or relate to such event. 5. Events should complement the mission, vision, and image of SBA. Should SBA discover that your event is not in keeping with the policies outline in this document, SBA reserves the right to, at any time, through its Board of Directors, direct you to cancel the event. You must agree to cancel the fundraiser, and if so directed, further agree to release SBA from any and all liability and connection to any such action. 6. All donations must be received within 30 days of the end of your event. For ongoing campaigns or sales, all donations must be turned in within 30 days of check or money order date. Do not hold onto physical donations.
