1 Welcome / Call to Order o o o o Administrative Council Meeting Mooresville First UMC June 9, :00 PM to 8:30 PM (Parlor) The June 9, 2015 Administrative Council meeting was convened by Ad Council Chairperson Spencer DePoy at 7:09 p.m. in the Parlor of First UMC. Prayer was offered by Rev. Dennis Payton. Signature of Attendance Sheet was passed around for signage by attendees. (see Appendix A) Approval of minutes from the April 14, 2015 Ad Council with motion to pass by Signe Nicholson and seconded by Becky Underwood. Ministry Perspective o o o Pastor Dennis Payton asked Signe to share how she responded to the challenge shared in the planning session for our fall training event, which is to evangelize and disciple. Signe shared even though many of her friends maybe in church, God will provide other people to share God s Good News. Assistant Pastor Ben Bezy stated the first informational meeting for the Nicaragua Mission Trip 2016 will be held on June 28, Also, dates to serve at Wheeler Mission are being explored. Lay Leader Sue Klinger reported that she and Cathy Mosier shared with the Asbury Circle about the Stephen Ministry. Sue is visiting the shut-ins. (see Appendix B) Administrative Reports o Trustees Bill Boyd was absent but submitted a report. (see Appendix C) o Staff Parish Relations Greg Long was absent, but Dennis said they will meet June 18. They will be interviewing Anne Gatts for local pastor. They will be discussing the 2 job openings. o Lay Leadership Dennis Payton reported that the 2016 calendar already has many major chair people in place for Dennis asked permission to dissolve Will and Memorials and instead have a representative sit on the Finance Committee to represent Wills and Memorial. The reason for the request is because Wills and Memorial has been inactive and non-productive. We have $51,000 in the bank and it is not being invested to keep up with inflation. The motion will be made in October to dissolve Wills and Memorial committee. Announcing this motion in June will give the Ad Council time to think about this upcoming action. It was requested that the Wills and Memorial Policy be circulated by before the August Ad Council meeting for review. o Finance Signe Nicholson drew attention to her Finance Committee report which was handed out. She asked the Ad Council to especially pay attention to the paragraph beginning with, On our balance sheet, Bill Yeager noted that we. Signe also made the motion to ask permission from the Ad Council to create a long-term maintenance fund for technology. Cathy approved the motion and Signe seconded. Ad Council passed the motion. (see Appendix D) o Treasurer Bill Yeager was present and submitted a report. We are gaining in our offering with a positive balance. (see Appendix E) o Wills & Memorial John Ehrhart was absent and did not submit a report. Administrative Council Meeting June 9,
2 o Communications Kim Vedder presented her report. Kim is working with the Henderson Mission Team to update contact information for the membership. The report was passed around listing the activity with social media (see Appendix F) and website access (see Appendix G). o Technology Tammy Payton submitted a report. (see Appendix H) o Membership/ Attendance Kim Vedder submitted her report. (see Appendix I) Along with her report, she submitted an article by Bishop Coyner which states the Bishop s position on the Religious Freedom Act. (see Appendix J) o Lay Delegate to Annual Conf David Sease submitted his report on the Indiana Annual Conference activities. (see Appendix K) o Lay Delegate to Annual Conf Jeff Lawson was absent. o Member at Large Dale Wilson was present, but had no report. o Member at Large Phil Munzer commented that the long-term approach to longterm maintenance fund for technology is a good idea. o Member at Large Michael Cooper was absent and did not submit a report. Ministry & Missions Reports o Worship Committee Becky Underwood was present and submitted a report. (see Appendix L) o Prayer Committee Cathy Mosier reported on two areas: prayer report and Stephen Ministry report. She shared prayer works and the prayer team responded quickly to prayer request. Stephen Ministry was able to quickly respond to a need at the St. Thomas More Free Clinic. o Missions Shelly Wilson was absent and did not submit a report. o Children s Education Lydia Rychtarczyk was absent and had no report. o Youth Program Bryan Vickery reported that the Mission Trip begins June 14, with the youth going to Henderson Mission 22 are going. The youth attendance for Sunday night has declined from last year, but the focus has been on strengthening their commitment to Christ. Promotion Sunday will be June 28, which is the Sunday after Vacation Bible School. Communication with parents explaining the Sunday School promotion is a focus this year. (see Appendix M) o Adult Education Anne Gatts reported about the change from small groups to life groups. Life groups will be 6-10 people meeting 6-8 weeks long. Bible study, a social outing, and an outreach activity will be part of all the Life Groups. There will be training and vision casting for some people identified as potential leaders of a Life Group. o Family Ministries Kim Webster reported that VBS is ready to roll. Silly Safari will be coming on Wednesday night of VBS. Another outreach will be the Carnival Worker s Dinner, which is coming up on August 10. Another activity for families will be the pool party. Final activity is the Family and Friends night at Victory Field to watch the Indianapolis Indians take on the Durham Bulls. o Health & Welfare Cheryl Howard absent/ no report. o Evangelism/Outreach Steve Klinger shared about his passion for evangelism. The October will be an event training others how to share their faith. o Preschool Oversight Lydia Rychtarczyk absent/ no report. o United Methodist Women Mary Craig absent/ no report. o United Methodist Men John Crawford absent / no report. 3 Unfinished Business o None New Business o o Spencer asked us to pray for two little boys: Drew and Isaiah from two different families that have recently lost their fathers. Please pray for them. Rev. Dennis shared the Six Marks of Discipleship. He is asking the church to change from being a membership church to a discipleship church. 8 FUMC Finance Committee Meeting Minutes 7:00 pm. May 19, 2015 Attendees: Dale DePoy, Jean Ash, Signe Nicholson, Dennis Payton, Bill Boyd, Sue Klinger, Bill Yeager and guest Tammy Payton. Welcome and Business Preparation: Signe welcomed everyone to the meeting and opened the meeting with Scripture from 2 Peter 3:17-18 and devotion on remaining focused on Christ and being on guard against the devil s temptations. An opening prayer was provided. Minutes: Signe volunteered to scribe for the current meeting. Financial statements: Bill Y. presented April YTD financial reports. There is favorable cash flow in the general fund account, with giving slightly more than budgeted (despite attendance being somewhat down) and spending slightly less than budgeted. Committee decided to reconsider the amount of apportionments we are paying at the end of the summer to hopefully increase towards paying 100% again. There was discussion about the consistent deficit in the coffee fund. Ideas included encouraging people to bring their own coffee cups; to go green and switch to non- styrofoam cups; to encourage different groups to sponsor a month of coffee fund expenses, since this is a good fellowship and outreach activity for our congregation. Dale volunteered Stewardship to sponsor the coffee fund expenses in June. On our balance sheet, Bill Y. noted that we have $51,000 that is not invested in an interest bearing account, so it earns 0%. Wills & Memorials has $164,000 invested in a brokered CD earning about 1.8%. We also have $75,000 invested with the IN UM Loan & Savings earning 1.2%. With inflation at about 3%, our stewardship of financial resources was called into question. We reviewed the background of the church s reluctance to invest in anything other than guaranteed return instruments despite proposals from Dale over the years to move towards a mixed portfolio. Bill B. commented that investing solely in no- risk instruments was a way to go broke safely and suggested investing for dividend yield to at least keep pace with inflation. Signe will meet with Bill B. to discuss investment options for the committee to consider. Technology: Tammy presented an analysis of immediate technology needs. We hired a firm to repair our server and three of our laptops are failing and need to be replaced. Committee approved Tech going over budget this year by $10,000. Committee also requests that Ad Council approve a long term maintenance fund for technology similar to what Trustees uses so that a cyclical replacement plan can be put in place for technology. Meeting Dates: Since the planning meetings for the fall conference are scheduled for the second Tuesday evening of each month, the committee decided to move Finance to the third Tuesday at 7pm. 12 Technology Report Ad Council June 9, Three computers were purchased for Ben Bezy, Bryan Vickery, and Lydia Rychtarczyk. These computers are replacing laptops that were purchased July Our file server crashed in May. We contracted with Telemagen to repair our file server and to do ongoing maintenance for our computers. They are a local IT company. 3. AT&T installed a second Internet drop in the youth room on June 10, who is our current Internet and phone providers. This will help with streaming video and audio youth are needing during their meetings, which has been difficult to do in the past. 4. We renewed a 12 month contract with AT&T. With the renewal, our phone bill still includes 5 phone lines with the ability to transfer calls, long distance and two Internet drops. Even with the second Internet drop, our billing has been slightly reduced. 5. Our data is being backed- up on a drive stored locally and it is being backed off- site in the cloud which is being managed by Telemagen. 6. Long- term maintenance fund is needed to offset costs for upcoming expenses including a new printer, replacement computers, video editing equipment and a digital sound board. In 2015, the youth ministry team will make a concerted effort to increase retention rate and commitment level of students who attend by improved communication, leadership opportunities, and follow- up. 1. Communication We ll be using Instagram and Twitter more to promote events and activities We re making a parent newsletter available provided by CPYU (The Center for Parent/Youth Understanding) Promotion Sunday is June 28. Parents will receive information about the group they re being promoted into. 2. Leadership We finished our High School Ignite curriculum. This fall we ll begin using Leadership Launch, a curriculum that is used in training students in Christian High Schools and colleges. Students will continue to lead one youth service each month. Students will be planning a back- to- school bash to take place late July Adult leadership team will be meeting at the Vickery home on Friday, July 3, 6-9pm for our semi- annual vision and planning meeting. PRAISE: Parker Webster completed a full year of the Truth Challenge! He was rewarded with a trip to an Indy Eleven game with the youth pastor. PRAISE: We are beginning to see high school students challenge one another about their commitment to Christ and ministry! 3.
