1 WINCHESTER COLLEGE CONTROL AND ADMINISTRATION OF MEDICINES Implementatin Date 6 February 2011 Review Date 28 March 2017 Next Review Date 28 March 2018 Authr 2M Apprved SMC 26 April 2017 This prtcl describes the cntrl and administratin f medicines at Winchester Cllege Medical Centre (WCMC) and in the barding huses (fr the purpses f this dcument, the latter phrase includes Cllege). Cntrl f Medicines All medicines shuld be kept in their riginal cntainers, cmplete with infrmatin sheet, in a lcked cupbard within WCMC r the barding huses, under the care f the Schl s r Matrns respectively. Matrns, and Relief Matrns (in the Matrns absence), can administer medicines t Winchester Cllege bys nly. s can administer medicines t Winchester Cllege bys, members f staff and visitrs t Winchester Cllege. Staff accmpanying schl trips can administer medicines named n the Winchester Cllege Hmely remedies prtcl fr schl trip first aid kits nce it has been signed by the relevant persnnel. Specimen signatures shuld be kept f every persn wh is authrised t administer medicines. All recrds shuld be prperly cmpleted and legible, and they shuld prvide an audit trail fr all medicines. Over The Cunter (OTC) medicines shuld be administered accrding t the Hmely Remedy prtcl belw. These medicines will be purchased by WCMC. Prescribed medicines must be given nly t the by that they are prescribed fr. Medicines (ther than cmplementary, alternative, hmepathic medicines r thse already prescribed by the schl dctr) brught frm hme shuld be accmpanied by a letter frm a parent r dctr, addressed t Matrn. Cmplementary medicines, including hmepathic and alternative medicines, can nly be given if the apprpriate cnsent frm (see Appendix 1) has been cmpleted by a parent / guardian. Cntrlled drugs shuld always be checked by tw peple when pssible. It is accepted that when there is nly ne nurse n duty at WCMC, r ne matrn in the barding huses, this wuld be difficult t achieve and it wuld then be acceptable t ask the recipient f the cntrlled drug t be the secnd checker. Cntrlled drugs shuld be stred separately and separate recrds kept f their administratin. Only thse individuals with authrised access t the cntrlled drug cupbard shuld hld

2 a key. Fr dispsal, all cntrlled drugs shuld be returned t Pharmacy and the recrd cmpleted accrdingly. Bys wh are 16 r ver and cnsidered eligible t self-medicate, need t cmplete a risk assessment frm (see Appendix 2) prir t self-medicating. Only dermatlgy treatments (with the exceptin f Raccutane), rutine antibitics, anti-histamine therapy and asthma preventer inhalers can be self-administered. A maximum f ne week s supply can be given at any ne time. NB. Reliever inhalers, epipens and ther emergency medicines shuld be carried at all times, by all relevant bys. Bys carrying any f these emergency medicines still require a risk assessment t be cmpleted. Once the risk assessment has been apprved by Matrn, the by shuld then seek final apprval t self-medicate frm a WCMC nurse. Only prescribed medicines and OTC medicines included in the Hmely Remedy plicy can be given withut the prir cnsent f the schl dctr r parent, except in extreme emergency when certain drugs listed under Article 7 f the Prescriptin Only Medicines (Human use) Order 1997, such as Adrenaline and Hydrcrtisne, can be given by anyne fr the purpse f saving life. All medicines cming int, r ging hme frm, schl shuld be recrded fr each pupil. A recrd shuld be kept f any medicine that is returned t Pharmacy. The recrd shuld include date f returning the medicine, the name f the pupil fr whm it was prescribed, the name and dse f the medicine, the amunt f medicine being returned, the signature f the returning staff member and cnfirmatin f receipt f medicine btained frm pharmacy. A tally must be kept f the ttal number f Paracetaml tablets kept in WCMC and in each barding huse. Drug fridges must be kept lcked when in use, and a daily recrding kept f their temperature. If the temperature is utside the nrmal limits ie. 2-8 c it shuld be reprted t WCMC prmptly. Vaccines shuld be given in accrdance with WCMC vaccinatin prtcl. Recrds shuld be retained fr a minimum f 15 years. Administratin f Medicines Befre giving a medicine t a by, member f staff r visitr, the persn administering it must ascertain any knwn allergies and relevant past medical histry, as well as any medicines presently being taken and the time they were last taken. Cntraindicatins and side-effects shuld als be checked. A by / member f staff / visitr shuld be asked his name fr prf f identity. If there is any dubt as t a by s identity, he shuld be asked t cnfirm his date f birth. All medicine shuld be taken under the supervisin f the persn issuing it. Any medicines administered t a by / member f staff / visitr must be recrded in the apprpriate bk. The date, time, name f recipient, name f the medicine, dse, reasn fr giving (r nt giving) the medicine and a signature must be included. Initials can be used fr signatures in barding huses, but n ther abbreviatins shuld be used. When matrns administer any medicine they shuld immediately

3 the WCMC with the abve infrmatin t ensure that staff at WCMC are aware. Similarly when nurses at WCMC administer any medicine they immediately the pupil s matrn with a white slip giving all details. Any drug errr r suspected adverse drug reactin shuld be reprted t the Schl Dctr as sn as pssible. This plicy is reviewed annually. Cnfiscatin f Medicines in Barding Huses Fr the safety f all bys the Schl des nt allw any medicines, hmepathic, herbal r riental, in barding huses withut the prir permissin f the Husemaster, Matrn and WCMC. The fllwing must be bserved: Parents must cmplete a medical cnsent frm n the by s admissin t the Schl. Bys must nt under any circumstances share, swap r trade their medicatin with each ther. All medicatin must be in its riginal packaging, labelled with the by s name, dsage and frequency in English. Matrns are respnsible fr keeping medicatin safe and secure in the barding huses Medicatin fund unauthrised in a by s pssessin will be cnfiscated. In such cases the Husemaster will dcument the incident and send a cpy t WCMC. Cnfiscated medicatin will be sent t WCMC fr dispsal in accrdance with prtcl.
