1 QCPC Board Meeting November 14, 2016 CALL TO ORDER: David Rash, Vice President, called the Board Meeting to order at 6:07pm at Pizza Ranch in Bettendorf. Geneseo Open House is 11/15 from 9-11am. 250 sheets of club stationery has been printed and received. 6 new members joined our club in October making our total head count likes or followers on Facebook views and 800 visitors to our Website. 259 people on MeetUp but RIFAC is the venue that uses this app the most. As we get in to the winter months and with so many places to play indoors, we encourage all members to use MeetUp. This is not only to know who and how many people are going to a certain facility but it is also out of courtesy for the organizers that open the facility and sets up the nets. Frank, who sets up for North Scott High School, would especially appreciate knowing who and how many players are coming. Please start using MeetUp. If you have any questions, please Vicki Todd at Vicki.todd28@gmail.com. Ruth made a list of all the Club events and projects for the past year. We should be proud of the accomplishments of our growing and all volunteer club. The list is available on our website. Ambassadors: Dave Stover reported that 73 people played in the Backpack Blessings tournament. The Club netted over $2000 from the tournament. A Big Thank You to Dave and Nancy Stover. Barb Shinbori went to the Nationals tournament in Palm Creek as an Ambassador of our club. She got to meet some of the PB pros and received some training from them. Old Business: A vote was taken on the nomination of Barb Cline and David Hoogheem to be At Large members for the IA side. It passed unanimously.

2 A By-Laws Review Committee was formed to review our current By-Laws. Members include David Rash, Terri Cone, Janette Harrington, Carolyn Hingst and Dave Hoogheem. Terri Cone presented the plan for future membership renewal fees. Motion to accept the plan by Gary DeMoss and seconded by Tom Biehl. Motion carried. An amendment to the plan was made by Sharon Walters that all new members will be charged $1.25 per month until September of each year and then the membership fee will be $15 per year. Second by Leslie Swords. Motion carried. The original submission of the plan is on our website. New Business: IPTPA Skills Clinic will be held in Arlington Heights on 12/2-3 and about 20 of our club members will attend. This is the organization that is taking responsibility for certifying PB instructors for the USAPA. Two of our club members are, or in the process, of getting certified. We are looking for sponsors and donors from the community for our club PB needs. Sharon Walters is planning a tournament to be held at RIFAC on May 5 and 6, Our Pickleball Patti Goetsch donated $70 to our club from sales of her paddles this year. Thank you for your continued club support, Patti. Terri Cone reported that a club survey was put out 2 months ago with very little response. We will put this survey out again and we appreciate your comments. This is your chance to voice your opinions, constructively, to help us grow our club to fit our many needs. 3 PR Report to the Board Nov 14, 2016 The Public Relations Team consists of Dennis Boehme, Tom Brooks, Marcie Fosdick, Sue Normoyle, Del Ladehoff, Barbi Schwartz, Vicki Todd, Anna Edwards, Ruth Senneff, Sharon Walters, Scott Stocker, David Stover, Barb Shinbori We welcome Marcie Fosdick to our group. Marcie comes from the DeWitt area. Vicki Todd and Anna Edwards are also officially joining our group. Vicki and Anna have already been active with PR throughout last year through technology as well as their participation in PR activities. Barb Shinbori has taken on new responsibilities with Senior Olympics Board, and will step back. Thanks to Barb for her valued participation in PR activities and meetings last year; and we will keep her in the loop as we do the other ambassadors. PR will have a QCPC table at the Geneseo Community Center Open House on Nov 15, 9:00-11:00, where our banner will be displayed and we will offer brochures, a handout, membership applications, etc. Ruth and Marcie will set up and staff the table. 250 sheets of stationery with our club logo as letterhead have been ordered and received. This letterhead was ordered in anticipation of making sponsor contacts for the May clinic, as well as for any other club business. Report from Dennis: Dennis Boehme, Barb Shinbori and Patty Goettsch made a presentation to the Bendex/Cobham Industries Retirees group on November 2nd. It was at Rhythm City Casino. The group was asked at an earlier meeting what they wanted for programs and Pickleball was high on the list. They contacted the Davenport Parks Department and they contacted me. It was a great group of about 36 people. Lots of questions. We left the club flyer for everyone. I prepared an agenda and went over it with Barb and Patty beforehand. Report from Annie: There were 6 new members in October and we have a total of 456 members on our roster. This number still includes some members that are not current who may be removed for next month s report. Will be calling them and if no response will remove all non-current members, this will be their 4th notification in some cases. Report from Vicki: Facebook likes or followers, post reach is about people. We haven't had as many posts lately and that's probably the reason for this. Website - Last month we had about 3000 views and 800 visitors to the site. Meetup - there are 259 people on Meetup. RIFAC is about the only place that is really using it. I think it would be very beneficial for those going to the tennis club or Eldridge. Frank from Eldridge is going to start pushing it there so that he knows when to have the facility open. 6 FOR QCPB BOARD APPROVAL Membership renewal fees will be on a fiscal basis and will occur in September of each year, with an effective date of October 1. The renewal sign-up will coincide with the Club s mid-september Annual Picnic. In addition, multi-year memberships will be offered. The following is proposed to be effective as soon as possible after Board approval. To get current members on this fiscal program, their renewal fees will be prorated for 2017 at the fee of $1.25 per month. Between now and the Annual Picnic, renewing members will be contacted to pay their prorated rate, and offered the multi-year rates. (September members will be forgiven their $1.25 prorated fee to avoid confusion at the Annual Picnic.) One, three, five and lifetime memberships will be modeled after the USAPA s membership structure. The QCPC fees will be: $15 one year, $40 three years ($5 savings), $65 five years ($10 savings) and $180 lifetime (12-year breakeven) The USAPA fees are $25, $68, $110 and $300, respectively. As a public relations effort, new members will be given a complimentary membership expiring September 30 of each year. Consequently, new members will not receive a free pickleball. Past members who decide to return to the club must join in September, or pay a prorated fee based on the number of months remaining in the year. Members renewing at the three and five-year levels will receive a ticket for a free pickleball. Members opting for the lifetime membership will receive their choice of a free QCPC shirt or 3-pack of pickleballs. Tournament and lesson fee discounts will only be given to members in good standing. Event coordinators will need to ensure this happens. Pay Pal may be a good option for bill payment. Costs to the QCPC as a 501 (c) (7) will be 2.9% plus $.30 per transaction. For a $15 payment, the cost to the club will be $.735, far less than the cost of a pickleball. Another option is Click2Sell.
