1 PHS Boys Soccer Booster Club Meeting Tuesday, July 17, 2018 at 7:30 pm Parkland High School, Room C200 Next meetings 8/22; 9/19 (tentative) Invitees: Coaches, BOD, Committee Chairpersons and Parents Attendees: 24 total plus Coach Birns (13 signed in) Meeting began at 7:34 Call to order Open Meeting & Review of activity since meeting in May (Craig Wilsterman/President) Chick Fil A Tiffany Ironside (Vice President) reported that we ate over $1100 in Chick Fil A during Spirit Week! Received a check for $ which was 10% of the total. Thank you to ALL who participated. I. New Business Finance review and end of year report to Parkland School (Frank Heston/Treasurer) Fiscal year runs 6/1-5/31. As of now all invoices have been paid and we are up to date with financials. Have a little over $6,000 in account. The yearly budget has been submitted to the new Athletic Director and as of now everything looks good. The new Athletic Director (Bill Dreisbach) has been invited to a meeting to talk briefly to the organization. Need to solidify a date in the future Season planning Fundraising efforts (Patrick McKeon) - Sponsors, ad sales for program Patrick reported that 2 groups have agreed to be sponsors this year (Kona Ice and Parkland Area Soccer Club) and presented the Treasurer with checks. We are ahead of where we were with sponsors at this same time last year. Patrick will work with Cindy Palmer on additional ideas. PJ Whelihan s was identified as a possible dine and donate location in the future as we receive a portion of the proceeds on both food and alcohol. Currently only August 17 is taken. Patrick would like to talk to all new parents in the future (later in the meeting it was identified that the 8/22 meeting

2 would be a good time) so they understand the fundraising efforts and how they can be involved. He will also be reaching out to other possible sponsors in the near future. Angie Morales who owns Captured Lehigh Valley Escape Room offered a possible fundraiser with them where the Booster Club would receive 20% of online tickets sold. It was mentioned that Texas Roadhouse and Outback also do dine and donate nights. Also later in the meeting St. Luke s was identified as a possible sponsor since they are now the organization who Parkland is using for health/trainers/etc. Coach Birns would like to buy winter jackets that would be handed in at the end of each year and perhaps St. Luke s would be a possible sponsor for those? o Applebee s Flapjack fundraiser is set for 1/19/19. Craig informed the group that this was the first available date at the Cedar Crest location. If it is successful we will book another. o WaWa hoagies, script gift cards Chris Berger/Ann Marko not present. Will discuss at next meeting but the Wawa fundraiser would be easy as we simply sell coupons and they can be used anytime. o Mums (Peter Burke) would like to do this earlier to get orders in earlier since many other teams/organizations are now selling mums too. Peter suggested he may be able to have the order forms at the picnic. Summer training dates (Coach) All set. 8/ Tryout dates (Coach) All set. After roster is finalized Coach will get it to Craig and Chris. 8/18 - Red/Gray game - (Sylvia Wenger will meet with LeAnn Weaver to discuss how it was done last year, # s, etc.) o Support will be needed for food donations, some basic staples will be purchased in advance 8/24 - Kick-off Picnic (Krista Mangahas/Chris Berger) (40 days) o confirmed for Coopeechan Grove on August 24 o What needs to be done (packets, food,?) o Support needed? Krista mentioned a few volunteers will be needed when it gets closer. Like last year JV families will bring a covered dish and Varsity a salad or dessert by last name. Craig will talk to Missy Schantz about having Spiritwear available at the picnic. Snack Stand Sandy Burke

3 Sandy asked about the Tri-Scrimmage and Coach Birns said right now there is 1 other team set. It will be both JV and Varisty. The date has already been set, just need to follow-up and confirm the date with Coach. Sandy said she is waiting for the date she can get into the Snack Stand. After the roster is finalized she will get a Sign-Up Genius out to all parents for volunteering. Spirit Wear order? Talk to Teri Fejes. Have an order form at the picnic? Website updates/transition (Venkat Balabhadra) Venkat has made updates to the website and is still exploring how to do more. Ordering equipment/gear Coach Key dates Practice tees, shorts and socks have been ordered. Waiting on pre-game tops. Hudl will be used again next year but will not cost as much as school will be contributing. o 9/5 - Red Card for Cancer Peter Burke volunteered to head up. Talk to AD about donating gate proceeds that night. Also will look into doing a basket/raffle to encourage larger donations (possibly $20 or more). Will need to get help with putting a basket together (possibly talk to An Marko?) Another idea is to find someone to make a matching donation. o 9/22 - Red Bulls/MLK games = Peter Burke will look into getting tickets (75 again) and shower facilities for after the MLK games. Bus set up? In prior years (except the last 2), players were asked to provide $10 toward the trip. It was agreed that this year each player will be asked to give a $10 donation toward the event if possible to help defray some of the costs. o 9/27 Youth night = Need owner o 10/1 - Senior Night (play against Central Catholic) Need someone to own (maybe a senior and junior parent), date set Craig mentioned he would like to try and get a senior and junior parent to head committees in general in order to foster continuity. o 10/20 - LV Futures tournament = date set and fields reserved Craig Craig will get name/# for insurance

4 o 11/4 - Year End banquet Date and Holiday Inn reserved, deposit has been made; Cindy Palmer has volunteered to manage. o 2/10-3v3 Indoor tournament = date set and high school reserved Tiffany Booster club key open positions o Game Day Organization (includes youth night) =? o Senior Night Chairperson =? Wil talk about when to put in the agenda Patrick will also address parents about fundraising New Parents meeting; decided to do before the red/gray game. Coordinate with Krista Mangahas to talk to Freshman parents. Facebook page picture, reminders, game results, fundraisers, etc. Amy Coleman and Sylvia Wenger agreed to oversee the development and coordination of this. Class Fundraiser competition for the class owners Would like to encourage a fundraising competition that the boys would come up with ideas for, organize and participate in. Perhaps a JV versus Varsity competition. Craig mentioned budgets have been all set for committees and he will review with each committee head.
