This Festival is one-of-a-kind, attracting movie buffs, art-lovers, and filmmakers from around the world together in one place, for one special event, once a year. An event of this scale would not be possible without the enthusiasm, commitment, and hard work of the volunteers who faithfully support the Festival every year. 3 ABOUT THE FESTIVAL From September 26-30, 2018, downtown Ottawa will once again be the stage where you can enjoy the world s most cutting-edge, thoughtful, funny, and provocative animation films, while mingling with many of animation s most celebrated stars, studios, and characters. For over 40 years, the OIAF has attracted film and animation buffs, art lovers, and filmmakers from around the globe. You won t want to miss this year s exciting line-up of screenings, workshops, panels, and parties taking place at the ByTowne Cinema, the National Gallery of Canada, the Arts Court, the Ottawa Art Gallery, the National Arts Centre, and the Chateau Laurier. MANDATE The Ottawa International Animation Festival (OlAF) is a unique and accessible space that fosters public appreciation for the art and craft of animation. It aims to inspire artistic minds, connect and engage a community, and create a transformative experience. It fosters the development and growth of local, regional and national animation talent. The OlAF works to help Canadian animators and animation companies achieve commercial success and artistic excellence. It also provides a forum and a conduit through which artistic vibrancy and commercial expertise can be shared and exchanged among these various communities. 3 4
4 YOUR COMMITMENT TO OIAF By completing a minimum of two shifts, you will receive a Volunteer Pass which will give you access to the screenings and talks throughout the Festival, pending capacity (ticket-holders and delegates will recieve priority access to events and therefore admission is not guaranteed). NOTE: Should you fail to complete your volunteer requirements, we will revoke your pass. You represent the OIAF, the largest animation festival of its kind in North America. As a volunteer, we are counting on you to be responsible and organized. To ensure that you and your fellow volunteers have the best experience possible, we ask that you adhere to our Volunteer Code of Conduct, found on the next page. OIAF is dedicated to providing a supportive, nonthreatening, and harassment-free environment. As such, OIAF does not tolerate offensive and harmful behaviour of participants. This includes any form of verbal or physical abuse, the use of derogatory or discriminatory language, gestures or actions, any form of harassment, racism, sexism, transphobia, homophobia, ableism, or any other targeted actions which are intended to cause personal harm to OIAF volunteers, attendees, and participants. VOLUNTEER CODE OF CONDUCT We ask that you: Arrive minutes before your shift starts, so you can be properly briefed Maintain a professional and friendly demeanour Employ a positive attitude and a willingness to follow direction Stay focused and alert on the task (i.e. no unnecessary cell phone usage) Dress appropriately Contact the Festival Office ASAP if you are unable to attend your shift(s), regardless of circumstance, so we can make alternate arrangements. Zero Tolerance For: Sharing your Volunteer Pass Theft Being intoxicated or consuming alcohol/ illegal substances on or prior to your shift Possession of illegal substances Harassment in any form Inappropriate behaviours or requests towards guests, industry people, other volunteers, or staff Insubordination Call: volunteer@animationfestival.ca 5 6
5 ORIENTATION NIGHT When? 1-2 weeks before the Festival (date TBD) Where? Arts Court, 2 Daly Avenue (room TBD) Why? This is the opportunity to receive the information and training you need to ensure a successful volunteer experience! Ask any questions you might have, and meet OIAF staff and co-volunteers! Note: Mandatory training sessions for Team Leaders will be held at the Arts Court building prior to Orientation Night (Please make yourself available!) Our Volunteer Coordinator will be in touch in August/early September to schedule a training session. PREPARING FOR VOLUNTEER DUTY What should I wear? Please wear your free OIAF volunteer t-shirt! Khakis, skirts, and jeans are acceptable for events. IMPORTANT: We expect volunteers working TAC events to dress in business casual, along with volunteer shirt. If you have any questions or concerns about appropriate dress, please contact the Volunteer Coordinator. Where should I store my stuff? OIAF does not guarantee on-site storage and is not responsible for lost or stolen items. Plan ahead before your shift and bring only what you need, making sure it fits in a small backpack or fanny pack. What if I get hungry or thirsty? We strongly advise you bring a non-alcoholic beverage and snacks for your shift. It will be difficult to grab something while you re on duty. Who do I report to? Who you report to depends on which volunteer position you have been assigned. Consult the Volunteer Positions Guide for specific information. 7 8
6 VOLUNTEER APPRECIATION FEATURES Volunteering for two or more shifts gives you access to screenings and talks. Note that pass-holders and delegates recieve priority access and therefore admission is not guaranteed and this does not cover TAC or the Animator s Picnic. However, there are multiple screenings of most films and you will also be able to attend the Career Fair, regardless of attendance. Access to parties is also subject to capacity and pass-holder priority. This means volunteers will not gain access until we are sure all pass-holders are in. There have been times when volunteers have waited around only to be turned away, as the venue was full. As parties can only be attended by volunteers over the age of 19, photo ID is required. We Want to Know What You Think! OIAF wants its volunteers to have the best experience possible! To improve the quality of our volunteer program, we distribute volunteer satisfaction surveys during and after the Festival. All surveys are anonymous and optional, and we encourage you to make your voice heard to help improve the volunteer experience at future festivals. VOLUNTEER FAQs Where do I pick up my pass? OIAF Volunteer Passes can be picked up at Volunteer Orientation or during Festival week at the Festival Office during business hours (9:30am to 6:00pm). Please bring photo ID as you will be asked to sign for your pass, and make sure you pick up your pass before your first shift! How can I use my pass? You can use your Volunteer Pass to see screenings, talks, and attend the Animators Career Fair. What is the Animation Career Fair, and where is it being held? This event is a tradeshow where you can talk to representatives of different animation houses and schools. This year it s held at the National Arts Centre. How can I reach an OIAF staff member? 7 GUEST FAQs Below are some commonly asked questions. Use this as a reference guide to help you prepare to answer questions of Festival attendees. How do I buy tickets? Just like going to any movie, Festival attendees can purchase tickets for regular screenings at the box office of the venue 30 minutes before show time. Generally, admission is cash only. How do I buy a pass? Order online at or call the Festival Office at You can pick up your pass at the Reception Desk in Arts Court Studio. Where can I buy Festival swag? You can buy all your Festival souvenirs, including books, shirts, mugs, posters, etc. at the Aniboutique located in the Arts Court Studio. (NOTE: As soon as you arrive at your venue, make sure you know where the bathrooms are because someone is sure to ask. Look out for other things Festival-goers may require, such as ATM machines or bus stops). Where is? Arts Court Located at 2 Daly Ave. at the intersection of Nicholas Street and Daly Avenue, near the East entrance of the Rideau Centre and across the street from the Novotel Hotel.
