Kuhlman SUMMARY OF DISCUSSION A meeting of the Department Heads was held on March 21, 2014, in the Commissioners Hearing Room with the following persons present: Elected Official/Office/Department Representatives Andrew Snyder Brad Gilbert Dana Nemeth Mark Meyer Dave Wigent Brenda Ransom Ben Hendricks Jennifer Robeson Lorrie Lewandowski Frank McLaughlin Tom Chidester Wade Gottschalk Dave Cecil Jesicca Sautter Grant Chaffee Janese Diem Pamela Boyer Joe Fawcett Andrew Kalmar Special Presentation Employee Assistance Program: Amy Timmons from Workplace Resources provided information regarding Wood County s Employee Assistance Program (EAP). She noted that the EAP is available to employees and family members within their household. Handouts were distributed including tips on constructive confrontation, signs of depression, mandatory referrals, and reasonable cause determination. If making a mandatory EAP referral, department heads were advised to contact the Commissioners Office so that appropriate notification can be provided to the EAP provider. It was also noted that letting an employee slide is not helping the employee. Non-mandatory referrals provide up to five visits. If additional time is needed to address the issue, Workplace Resources refers individual to provider listed in medical insurance network. Crisis counseling is also available to assist with difficult issues. Contact the Commissioners Office to coordinate the session. Announcements Monthly Safety Topic: The April Safety Subject is Hazard Communication. Department Heads were asked to share the information with staff when it is distributed. Insurance Update: The employer portion of the shared responsibility has been delayed until As a result, the percentage of employees who must be provided coverage was lowered from 95 percent to 70 percent. Pam noted there is no reason to change the status of positions at this time unless a business need exists. Wellness Update: The first quarterly prize drawing for the Wellness Programs will include completed programs through March 28. Employees are reminded to submit paperwork to document completed programs in order to be entered into the drawing. The Fitness Challenge is set to begin on April 14. Additional registration information will be forthcoming on the Challenge. As a reminder, employees and family members who miss follow-up appointments at the hospital may be charged for those missed appointments. March 25 is Diabetes Alert Day. A screening handout was provided to allow attendees to check their personal risk. Training Update: Employee Orientation will be held on March 25. An FMLA webinar will be viewed in the Commissioners Hearing Room on April 9 at 9:30 a.m. Managers training is scheduled for April 23 with sessions at 8:30 and 1. Doug Duckett will be presenting Empowering Managers. Customer service training for employees is also scheduled for May 13 and 14. More details on this training will be forthcoming. Refresher training for Insurance Group Representatives is scheduled for May 22 from 9 to 11. Emergency Monitor Training is also scheduled for May 28 at 9:30. All trainings are scheduled in the Commissioners Hearing Room. United Way Campaign Committee: The first meeting for this year s United Way campaign committee is scheduled for April 28 at 3 p.m. in the Commissioners Office. Anyone wishing to assist with the campaign is welcome to attend. JFS Blue Day/Pinwheel Event: Job and Family Services Children s Services staff is sponsoring an event to raise awareness of child abuse. Lunch will be available in the Atrium on April 9 along with several raffle items. Budget Update: Joe noted that sales tax and investment income are showing an increase over last year. Two Minute Drill Andrew Snyder (Dog Shelter) reported that the Shelter s current adoption rate is 93 percent. Brad Gilbert (Emergency Management Agency) stated that a Sky Warn class is scheduled for March 26 at the Elmwood Community Center. 3 Ben Hendricks (IT) announced that computers using Windows XP will no longer receive support from Microsoft. He suggested replacing machines that are used for internet access. Dave Wigent (Job and Family Services) stated that progress is being made on the transportation initiative. He also noted that the drawing for a proposed annex is being reviewed. Mark Meyer (Building Inspection) noted that plans continue to be received by the department. The new Costco was recently approved for Perrysburg Grant Chaffee (NWCCC) stated that the facility is expanding its services and is posting positions. Lorrie Lewandowski (ADAMHS) announced that the Board has received funding to raise awareness on gambling addiction. Jesicca Sautter (Engineer s Office) noted that the Highway Garage staff is back to one shift. Dana Nemeth (Historical Museum and Center) announced that the Spring Opening at the Center is scheduled for April 5 and will feature new exhibits. She also announced that the Center s elevator project was included for State funding. It is awaiting the Governor s signature. Brenda Ransom (Records Center) stated that she recently attended an e-records forum that focused on cloud services, contract issues, and system integrity. Pam Boyer (Commissioners) noted that the Safety Data Sheets must be retained for 30 years. This includes the forms previously known as Material Safety Data Sheets. She also noted a Department Head change as Judith Gill is retiring from the Law Library. Dorrie Cramer-Rumple will serve as her replacement. Janese Diem (Commissioners) noted that additional copies of the 2013 Annual Report are available. The next Department Head meeting will be held in the Commissioners Hearing Room on April 18, 2014, at 9:30 a.m. The Commissioners will be present to provide an update on the State of the County. cc: BCC Elected Officials and Department Heads Steve Spirn file
