5 PARISH TIMELINE KEY EVENTS 1. Steier Group makes initial contact with all pastors Communication includes the following information: Parish funding plan worksheets Campaign timeline and meeting dates Parish roster with segmented donor prospect groups Campaign leader recruitment instructions beginning with parish chair 2. Regional orientation meeting A mandatory meeting for all pastors, parish chairs and parish business managers/administrators. The Steier Group (TSG) distributes campaign manuals and presents campaign goals and processes. Pastors sign up for individual meetings with their TSG campaign manager. 3. Archdiocese mails discipleship invitation Every parish household receives a letter from Archbishop Sartain including a discipleship invitation card and campaign prayer card. Pastors invite parishioners to reflect on the call to discipleship in one of the scheduled initial pulpit and bulletin announcements. 4. Individual meetings with pastors/staff/chairs and the Steier Group TSG managers meet in-person with pastors, parish chairs, and parish staff to review information and outline campaign structure. TSG answers questions, discusses leadership recruitment and confirms upcoming campaign meetings. Each parish receives campaign posters, thermometers, prayer cards, bulletin inserts and supplemental communications materials. 5. Archdiocese mails invitations for dinner with Archbishop Sartain Prior to the launch of each wave, Archbishop Sartain hosts dinners for volunteers, parish leaders and major donor prospects. The Archdiocese sends invitations to the top percent of donor prospects from each parish, based on household giving and other factors. Pastors and parish chairs are asked to review the invite list for their parish and recommend additional households. 6. Steier Group meets with each parish TSG managers continue to meet with each pastor, parish chair(s) and business manager/administrator. These planning meetings review the campaign plan, finalize details for parish-designated campaign funds and confirm the plan for leadership. TSG confirms donor prospect segments and the solicitation plan for each household. The TSG manager schedules follow-up meetings throughout the wave. 7. Regional volunteer training TSG trains pastors, staff, parish chair(s) and volunteers how to conduct campaign appeal visits. TSG managers distribute intention cards for families receiving personal visits. 5

6 PARISH TIMELINE KEY EVENTS (CONTINUED) 8. Archbishop Sartain hosts regional dinner Archbishop Sartain hosts a complimentary dinner for parish leaders, volunteers and major gift prospects. The purpose is to provide a relaxed setting to discuss the campaign, build momentum for the launch at the parish and cultivate gifts to the campaign. 9. Archbishop Sartain mails campaign packet to all parish households Mailing includes a cover letter from Archbishop Sartain, a campaign case statement and information regarding parish-specific goals. Archbishop Sartain s appeal letter will include a specific request amount for each household. Major gift donor prospects will not receive a pledge card as part of the mailing. They receive personal visits from campaign volunteers. Lower-level donor prospects will receive a pledge card and return envelope as part of the mailing. 10. Public phase activities Parishes kick-off the campaign by playing the campaign video at all Masses. TSG provides each parish with weekly bulletin announcements and pulpit announcements. TSG holds regular meetings at each parish to collect completed pledge cards, provide additional training for campaign volunteers, strategize on the campaign and make any necessary adjustments to the campaign plan. During the public phase, volunteers meet with their assigned households and parishioners continue to learn about the campaign through bulletin announcements, pulpit announcements and lay testimonials during Mass. 11. Phoning nights, after Mass event appeals, pastor-hosted dinners, etc. If necessary, TSG helps parishes coordinate unique appeal strategies to follow-up with those families that have not yet responded to the campaign. These appeals will ask for support and inform parishioners about the upcoming Commitment Weekend. 12. Commitment Weekend Each parish hosts a final in-pew appeal for the campaign. TSG works with the parishes to create materials and talking points. If necessary, TSG can continue to work with pastors and the parish chair(s) to follow-up with any remaining major gift prospects after Commitment Weekend. 6

17 Volunteer Recruitment Notes Each parish chair identifies 8 to 10 individuals/couples they feel comfortable asking to serve as volunteers for the campaign Each parish chair calls their identified volunteers and recruits them to serve as parish volunteers. The goal for each chair couple is to successfully recruit volunteers to follow-up on Archbishop Sartain s letter with a personal visit to select parish prospects. Let the volunteer prospect know they are a part of a team. They are not alone in their responsibilities. The Steier Group provides everyone with comprehensive appeal training. The training covers how to answer questions, follow-up on Archbishop Sartain s appeal letter, what s expected of them, next steps, etc. THEY ARE NOT ALONE IN THIS! Volunteers are asked to attend 4-5 meetings and active campaigning should be done by July. Recruitment Call/Visit Script Father asked me to serve as a parish chair for the Archdiocese of Seattle s Called to Serve as Christ Campaign here at the parish. I m calling because I know how active you are in the parish and I m hoping you would be willing to help with this important cause I d like to ask you to join my team of volunteer parishioners o Consider mentioning names of volunteers already on board Here s what we will be doing: o In May, everyone in the parish will receive a letter from Archbishop Sartain that shares the need for the campaign and describes our goals. That letter will also ask them to consider making a gift to the campaign. o Our job will be to follow up with roughly 10 parish families each and ask them to consider Archbishop Sartain s request. If they make a pledge, we help them fill out an intention form and turn it in to the parish office. The more people we have, the less work for all of us. Can I count on you to join my team? Specific Details for the Volunteer The Archdiocese and the Steier Group walk through everything we need to know at the training on. We will get together as a group, answer additional questions, review the campaign goals together, etc. Archbishop Sartain s ask letter will go out to all parishioners in May. From that point, our job is to follow up with select families, ask them to make a gift and help them to complete their intention forms. We would only be volunteering for roughly two months. If you complete your visits in two weeks, you re finished. The Steier Group works with our parish to ensure we are fully trained on conducting visits, familiar with the campaign goals and our parish goals. They will lead us through this campaign. 17

18 Overcoming Possible Objections I don t want to ask for money. Believe me, I m the same way. The nice thing for us is Archbishop Sartain will be the one asking for a gift in the letter he sends to everyone. We also get some input on choosing the families that we follow up with and those people will already have received his request by the time we visit with them. Our job is mainly to follow up with them, share our thoughts on why the campaign is important, answer any questions they have and help them complete their intention forms. Does that sound like something you can take on? I m pretty busy right now, I just don t have the time. I completely understand. That was my reaction as well when I was called and asked to serve as a team leader on this. You know, one thing I m excited by is how many couples are helping out and the more people we have, the less work for all of us. I appreciate not being asked for a huge time commitment just 4 to 5 meetings over the course of three months to get us up to speed and we can do the work on our own time. Can I count on you to join my team? I can t make a big gift to the campaign. I m only calling to ask for your help right now, not a pledge. Father will be speaking more to the parish about the campaign and what we re hoping to raise later. I do know all volunteers are asked to make a gift to the campaign before we make our visits, but that decision is ultimately up to you and your family. Right now, we re just focused on getting enough volunteers so we can meet with enough parish families. 19 As the parish raises money towards its goal: CAMPAIGN GOALS After the parish goes over its goal: Parish receives 85 percent back after reaching goal, with the other 15 percent going to the campaign s area of greatest need. A parish campaign goal is set at 1.25 times the average of its annual offertory (FY ). Campaign costs include items such as professional services, printing, postage and events. 19

He asked us to reflect on the role the Catholic faith plays in our lives, the spiritual growth required to become a better disciple of Christ and the steps we need to take to get there. He posed a number of requests for us to consider as we take those next steps in our spiritual development and bringing others to know Christ s love. Those requests were: Spend time in quiet prayer each day welcoming Jesus more fully into your life. Ask yourself daily: To whom is Christ calling me to bring his love, mercy, forgiveness and hope? Prayerfully ask the Holy Spirit to guide your actions. Join your parish community each Sunday for Mass, and consider preparing for Mass by reflecting on the Sunday readings. Families could do this together. You can find the Mass readings at the U. S. Catholic Bishops website ( Be a missionary disciple of Jesus in your own family, workplace, neighborhood, and parish community. Thank God for all the blessings in your life. Ask yourself: How am I being called to serve as Christ served? And where can I find Christ in each person I encounter today? The Annual Catholic Appeal will continue during the Called to Serve as Christ campaign to provide annual operating support to our important ministries, offices and programs. The Annual Catholic Appeal s parish assessments provide a base-level funding which allows archdiocesan ministries, offices and programs to do their good work from year to year. The Called to Serve as Christ campaign focuses on long-term, strategic priorities which can only be addressed through an extraordinary fundraising effort. Together, the two efforts will strengthen our parishes and ministries this year and for years to come. 47 SELECTION G Date: BULLETIN ANNOUNCEMENT Campaign Coming Series, 1 of 4 The Need for Sacrificial Giving I didn t become a priest to ask people for money, but I have a duty to promote stewardship and invite people to practice their faith and service. <Insert pastor s name> Jesus asks us to make our mark on this world and to serve the Lord by sharing His gifts with others. A gift to Called to Serve as Christ is a way of doing so. Your gift to the campaign will take care of a retired priest, support a sister and provide assistance to your parish. Funding each of these goals with the financial resources we have been blessed with will, in turn, multiply those blessings back to us and to God. The Archdiocese of Seattle is fortunate to have thousands of Catholic families who actively participate in their faith life. We have an obligation to make our Archdiocese, and our world, better for those who follow us. We want to make the formative experience we received from our priests, sisters and parishes available to future generations. The Archdiocese of Seattle will soon invite all who believe in its mission to partner together to build a foundation for greatness. 48 SELECTION H Date: BULLETIN ANNOUNCEMENT Campaign Coming Series, 2 of 4 Everyone Will Be Asked to Consider a Sacrificial Gift The Called to Serve as Christ campaign is coming, and we hope to reach out to every person in the Archdiocese of Seattle, as we know each person can help accomplish so much. When asked to do something big, whether a project or donation, it is often easiest to take the biggest piece and divide it into smaller parts. Making your gift into a pledge can help maximize your ability to support the worthy goals of the Called to Serve as Christ campaign. Breaking down payments into annual, semi-annual, quarterly or even monthly payments can help you budget your gift. If a family of four is asked to consider a gift of $3,600 to the campaign, it may seem like too much to do at one time. If the family divides it annually, it may seem more manageable at $1,200 over three years. But, even more manageable, if the family chooses to break it down even further, to monthly, it would come out to $100 per month over three years, or about the amount the family might spend eating out at a restaurant during the month. Each family will need to decide on their own what is appropriate and meaningful for their specific situation. Soon, Archbishop Sartain will ask each us to consider a gift in the hopes that all of us pledge to support the campaign s important goals in some way. He will ask us to ask ourselves: What can we sacrifice for the next three years for these goals? 48

When you pledge support for the campaign, structuring your gift over three years allows for financial flexibility while supporting our priests, women religious and parishes. Consider this: a parish family may be thinking of supporting the campaign goals with a one-time payment of $1,000, a generous gift indeed. If that same family reflects and decides they can do that same $1,000 commitment for each of the following two years, their $1,000 gift will turn into a $3,000 pledged gift. That s three times the impact! A pledged commitment adds up quickly and will help <insert parish name> reach its campaign goal. As part of this campaign, 15 percent of the funds raised by our parish will be returned to address our specific needs of <insert goals>. Over the years the Archdiocese has taken many steps to improve the funded status of the priest pension plans: Increased the amount from the Annual Catholic Appeal to the plans to $1.6 million per year Increased billings to the parish contribution of the plan $600 per year since 2008 Raised the benefit eligibility age from 65 to 70 Full benefit vesting age increased from 25 to 30 years, depending on date of birth Eliminated three percent extended service benefit Despite these efforts, it was not enough to provide a sustainable path for the future. Based on independent actuarial studies, we know if we continue the pay-as-you-go approach, amounts billed to our parishes will continue to increase for the foreseeable future. A much better approach is to properly fund the plans with adequate capital so present and future generations of priests will have a secure retirement plan and the burden on our parishes will be reduced. Sisters who have and will serve in the Archdiocese need and deserve an adequate and dignified retirement. With the assistance of women religious leaders serving in our Archdiocese, we have identified a strategy to address their needs through this campaign. Some women religious orders face similar issues paralleling archdiocesan priests. Aiding the sisters pension and healthcare needs will allow them to continue their ministries, sharing God s love and presence with others. As a greater number of women religious age compared to the increase in new vocations, the Archdiocese seeks to ensure each order s stability and longevity for their ministries. Their missions reach those in our community whose needs are typically unmet by the government and secular charities. Their work empowers the student and the sick, the destitute and the down-trodden, to reach their God-given potential. Seven legacy orders of women religious will each receive one-eighth of the women religious portion of the campaign. Expanded ministry congregations, those whose provincial headquarters are located outside of the Archdiocese but expanded their ministry to the Pacific Northwest, will receive the remaining one-eighth of the funds to distribute among themselves. The Archdiocese undertook an actuarial study which resulted the following estimates: A $40 million increase in Priest Pension Plan assets will yield an adequate return to fund payments of pension benefits to 110 senior priests and administrative costs of the plan. Assumptions of the priest pension plan include: 110 priests are eligible to receive a pension after the age of 65. The monthly pension benefit maintained $1,943 (today s dollars). 5.8 percent investment returns. $8.5 million currently in Priest Pension Plan investments increasing the plan s total to $48.5 million. A $15 million increase in Senior Priest Medical Plan assets will yield an adequate return to fund payments of program costs for 110 senior priests. Assumptions of the medical plan include: 110 priests are eligible after the age of 65. Monthly medical plan costs per senior priest of $800 (today s dollars). 5.8 percent investment returns. $3.5 million currently in Senior Priest Medical Plan investments increasing the plan s total to $18.5 million. 68 COMMITMENT WEEKEND OVERVIEW The goal of Commitment Weekend is for each parish to make a late-campaign push to increase participation and pledges to the campaign. At all Masses during Commitment Weekend, parishioners will receive an intention form in the pews at Mass and be asked during Mass to fill out the blank intention form and drop it in the collection basket. Parishioners will be asked to choose from among different pledge levels, or they may mark I will pray for the success of the campaign or I have already made my pledge to the campaign. Whether they have given to the campaign or not, ALL parishioners will be asked to fill out an intention form as not to embarrass those who have yet to contribute. Once the intention forms are completed and handed in to the collection basket, the ushers and/or pastor will return all completed forms to the parish office immediately after Mass or first thing Monday morning so gifts can be recorded and reported to TSG the next week. The goal of Commitment Weekend is to get as close to 100 percent participation as possible and have everyone attending Mass to fill out an intention form to give or indicating they have already made their gift. To-Do List for a Successful Commitment Weekend Weekend before Commitment Weekend Insert a bulletin announcement (included in your bulletin announcement section) and make an announcement at Mass previewing the Commitment Weekend to take place next weekend. o Share the success of the campaign to date, how much the parish has raised toward its goals, the percentage of parish participation to date and the purpose of Commitment Weekend (to reach all those who have not yet given). Instruct ushers on Commitment Weekend to distribute 8-10 blank intention forms and 8-10 pencils in EACH pew or pass out forms to each parishioner before each weekend Mass. Instruct the ushers and money counters after each Saturday and Sunday Mass to collect ALL completed intention forms and turn them in to the parish office immediately Monday morning or give them to <insert pastor>. 68

Rehearse the procedure with the ushers and all priests who will be presiding at any Mass on the weekend of <insert dates>. Rehearse the remarks with any speakers who will be presenting the Commitment Weekend message. Commitment Weekend Date: After the homily at every Mass, the presenter (this may be a lay person or the priest) will walk to the podium to share the Commitment Weekend message. Ask everyone in the pews to listen to the message and fill out a Commitment Weekend form while they are sitting in the pew. Share that the forms will be collected shortly DURING Mass.
