4 SUPERNOVA PURPOSE Recognizing the end of life for our current Electronic Health Record, and the urgency to progress to an industry best solution, HealthTexas Provider Network (HTPN) is moving forward with the implementation of Epic, an organization-wide solution built for large medical groups, hospitals and integrated health care organizations. This new technology will provide an improved EHR solution, better practice management, and an overall efficient, safe, and quality patient experience. REASONS FOR CHANGE NECESSITY TO EVOLVE The present day collection of applications consist of heavily customized legacy systems which have decreased stability and scalability as we have expanded our operations. Additionally, sub-optimal integration resulting from multiple disparate systems leads to inefficient workflows across HTPN. COST NEUTRALITY In looking at potential solutions, one decision was to remain relatively cost neutral to the HTPN medical providers and organization. The present array of fragmented applications increase complexity and cost to support. As a result, these systems do not support BSWH s goal of systemness and improving synergies of integrated health delivery across our clinics. SYSTEM INTEGRATION Fragmenting billing and patient care interfaces complicate sharing of information across our clinics and reduce our ability to meet strategic goals such as patient engagement and network utilization management. For all of these reasons, HTPN decided that Epic has the best capability to support our current and future business requirements. We also believe Epic is the best integrated software partner to help us achieve our system goal to be in the Top 3 health care organizations in the country. WHY EPIC? Epic is more than just an upgrade to our existing systems, it is a strategic differentiator that allows us to serve our patients more effectively while giving them a tool to conveniently and securely manage their health and wellness through one online resource. Epic gives us innovative new tools to manage the patient care continuum and make improvements in population health. Lastly, we believe that Epic will improve our workforce experience by consolidating many of our current applications into one platform which will make your job easier and enhance integration with the system. In implementing Epic in our ambulatory clinics, we are joining organizations like Cleveland Clinic, Johns Hopkins, and Mayo Clinic in addition to all the facilities in Central Texas Division (CTX). Considering the business requirements, strategic initiatives as well as the existence of a successful rollout of Epic in the Central Region, the HTPN Executive Team and Board of Directors and BSWH Board of Directors selected Epic to implement across all of HTPN. WHY PROJECT SUPERNOVA INSTEAD OF EPIC? Organizations traditionally rename the Epic products in order to inspire employee ownership and, by extension, adoption. Investing the staff in the project began with the selection of the name. 4

14 MORE INFORMATION WHAT IS THE COMMUNICATION PLAN FOR PROJECT SUPERNOVA? WHAT IS THE DATA MIGRATION PLAN FOR PROJECT SUPERNOVA? Given the vast number of stakeholders across HTPN, an elaborate and extensive communication plan is being crafted for Project SuperNova. The guiding principles of the project ask that we are clear, concise and transparent in communication to our stakeholders. Some of the key highlights of the communication plan are: All executive and advisory committee members receive an in-person monthly status update on the project from the SuperNova Working Advisory Committee. Existing BSWH committees (outside of the Project SuperNova) will get frequent updates as appropriate and as requested by the committee chair. A monthly newsletter will be distributed to all stakeholders (primarily design groups). A targeted communication campaign for physicians and providers (demos at every clinic, physician quick tips, etc.) All users will have access to Project SuperNova s portal, which is a central repository for all communication. BSWH has many existing electronic systems and there is significant amount of clinical and financial data that resides in the current environments. A Data Conversion Working Group has been established to address key questions around data conversions. The group will provide a detailed analysis and recommendations to the executive team on how to effectively migrate data into Epic. High level scope for the data conversion will be defined by August 1, and education will be distributed to all staff regarding any chart cleanup efforts. The group is structured to answer the questions using the following framework: What data needs to be available in real time for clinical decision making (e.g. demographics, problems, medications, allergies, lab results, documents) and what data is needed for research and legal retention purposes? What system contains the most accurate representation of that data? (e.g. Centricity, Vision, HTPN Data Warehouse) What is the most reliable and meaningful way to convert that data? (e.g. Interfaces, CCDs, manual abstraction) HOW DO WE OBJECTIVELY MEASURE PROJECT SUPERNOVA S SUCCESS? The high-level objectives of Project SuperNova are articulated in a prior section. To measure these qualitative and quantitative project benefits the Project Team and SuperNova Working Advisory Team (SWAT) will objectively drive various metrics for the project. The SWAT focuses on various categories such as Operational Improvements (e.g. Revenue Cycle), Regulatory Compliance (e.g. Meaningful Use), Optimization of IS (e.g. retirement of old systems), Patient Safety and Quality among others. 14

All BSWH employees can access Epic User Web, a portal with vast repository of materials related to elearning, training, demonstrations and other documents. It is highly recommended that the design group members access Epic User Web for elearning. Simple steps to access the portal: Visit: Select Request and Account. You will be taken to a registration page. Please fill in the required information using your BaylorHealth.edu address. It takes hours for approval from Epic.
