2 3 Dear Prospective INSANE FITNESS TRACK CLUB Athletes and Parents, Thank you for your interest in the. We are an AAU (Amateur Athletic Union) and USATF (United States of America Track & Field) sanctioned club. Enclosed in this packet are the necessary forms to join IFTC. Our competition season begins in March of each year, but we begin training and conditioning in November. High school athletes will participate in our practice sessions as their high school season permits. The INSANE FITNESS TRACK CLUB Track Club is an all inclusive track club that services young athletes ages 4 years to 18 years of age, and does not deny membership or discriminate against any athlete on the basis of race, color, national origin, religion, creed, sexual orientation or disability. We service young athletes in the Tri-City area (Phenix City, Columbus and Fort Benning). Our student- athletes compete in both AAU and USATF sanctioned meets across the country. We are an organization that focuses on the development of student athletes in an environment that promotes self-esteem and confidence. We witness our athletes achieve their personal goals through determination, discipline and enjoyment, paired along with the strong support of their peers, family and community. The Track program is not about just running and athletic conditioning; moreover, it is a training ground for our next generation of leaders. Team members learn the lessons that competition teaches. To realize any goal both on the athletic field and in life, they learn to combine self-discipline, training, and dedication; lessons that carry over into all aspects of their lives. The forms attached must be thoroughly completed. They give your child permission to run and the coaching staff permission to sign entry forms on behalf of the parent. All forms must be signed by a parent or legal guardian. Please note that our training is more demanding than the average school/recreation program, so an annual physical examination is required. The heat plays a big part in our training and it s important that the athletes are capable of coping in extreme heat like conditions. We have a great coaching staff of highly educated individuals who enjoy working with kids. We have gifts that we want to pass along to your child (ren) that can assist them in becoming the best they can be on the track and in the classroom. Our program will teach life lessons to help our student athletes grow. This program is a great place to make new friends, travel outside of East Alabama and West Georgia and prepare them for their future. We look forward to working with your athlete. Should I (or my child) decide to withdraw from participation with the IFTC and its activities, I agree to notify the team in writing at least 2 weeks prior to the next track meet, stating that I am withdrawing the above named child, and that I acknowledge that ALL FEES I have paid up unto the date of the withdrawal notice are NON-REFUNDABLE. 6 7 PARENT PARTICIPATION AGREEMENT This Agreement between The INSANE FITNESS TRACK CLUB Track Club, (IFTC) and, parent(s) of, is entered into on this day of the month of of the year ; for the purpose of providing a clear understanding of the duties and responsibilities of each entity, in order to insure smooth, efficient management of the Club; a complete and harmonious season for parents, coaches and competitors; and to provide quality training and participation for the athletes of INSANE FITNESS TRACK CLUB. Whereas, INSANE FITNESS TRACK CLUB will be participating in various Track & Field Meets throughout the season that will require the maximum dedication and output from each of its athletes, and their parents, and; Whereas, INSANE FITNESS TRACK CLUB will travel to different cities to compete, and; Whereas, There are entry fees that need to be paid for these various meets, travel expenses to attend the meets, and other expenses related to competition ranging from uniforms to facilities lodging, equipment to insurance, and; Whereas, I have received in writing a schedule of events, practice schedules, and an approximate cost for the summer; IN RECOGNITION OF THE ABOVE, I (WE) HERE-BY AGREE: 1. To pay the training fee of $80 by October 17 th 2016 to USATF membership fee of $20.00, AAU membership fee of $14.00 and Club dues of $50.00 by December 2 nd 2016 and Uniform cost of $155 by January 13 th 2017 to INSANE FITNESS TRACK CLUB. 2. To make every effort to get my child to every scheduled practice at the specified times. 3. To make certain that my child will participate in every event requested by the coaching staff. 4. To pay all expenses assessed my child associated with travel, either in legal tender or by contributing equitable time to the INSANE FITNESS TRACK CLUB Fundraising committee, or a combination of both of the above, by the required deadlines. 5. To provide in writing all schedule conflicts as soon as possible and if it becomes necessary for my child to miss a practice, notify the coaching staff, as early as possible, of the conflict. 7. To abide by the spirit and the letter of this agreement, understanding that it is drawn and executed for the welfare of the club and each young person involved; and further, understanding that the failure of any one individual to live up to this agreement can cause the failure of all to participate. 7 8 ATHLETES RELEASE HOLD HARMLESS STATEMENT In consideration for acceptance of my entry into the USA Track & Field/Youth Athletics Program, AAU Junior Olympics, and all the meets associated with the IFTC programs, I intend to be legally bound, do hereby, for myself, my heirs, executors and administrators waive, release and forever discharge all rights and claims for damage which may hereafter accrue to me against USA Track & Field, AAU, owners and operators of facilities used for Youth Athletic activities in which I participate, organizations which sponsor and/or conduct these activities, their agents representatives, successors, and/or assigns for any and all damages which may be sustained or suffered by me in my traveling to, participating in, and returning from Youth Athletics activities. 10 11 Club Meetings Regular club meetings will be called as needed. Fundraisers The club will have several fundraising events throughout the year prior to the summer season. All families are highly encouraged to participate in funding efforts. There will be team fundraisers and Athlete fundraisers. INSANE FITNESS TRACK CLUB Web Site Keep up to date with the latest club information at Volunteer Commitment At least one adult representative for each athlete/family will be asked to volunteer a minimum of 10 hours throughout the summer track seasons. (See separate Volunteer Form for complete details). INSANE FITNESS TRACK CLUB Logo The INSANE FITNESS TRACK CLUB Logo, mark and design are the exclusive property of the INSANE FITNESS TRACK CLUB Track Club. Usage of the name, logo, marks or designs is prohibited in any form without the expressed written consent of the Head Coach. MEMBERSHIP Annual Training Fee: $80.00 (Facility & Training) Club Dues: $50.00 (Insurance, equipment, 501(c) (3) USATF ($20.00) & AAU ($14) Registration Fees: ($34.00 Total) Uniform ($60.00) Club T-Shirts ($15.00) Sweat suit ($80.00) Team bag ($34.00) Additional Fees Additional practice gear, tanks, socks, spikes, etc. Contribution to team commissary (snacks, water, Gatorade, etc.) All Fees are non- refundable or transferable. Athletes will not be allowed to run or participate in any events or run on any relays in any meet until all membership fees are paid and all paperwork is submitted and complete. NO EXCEPTIONS!

11 12 CLOTHING & EQUIPMENT Shoes for training: The most important piece of equipment needed is a good pair of training shoes. Running shoes (not basketball, tennis court or cross-training shoes) are encouraged for all athletes for practice sessions. These shoes should have good support, be relatively lightweight and comfortable. Waffles and other shoes providing inadequate cushion or support should not be used. Shoes for Competitive Events: Spikes may be allowed and are encouraged for competitions (unless otherwise noted). Sweats and other athletic wear: INSANE FITNESS TRACK CLUB team official track suit and uniform is required for all meets. Other athletic wear, such as cold weather tights, sports bras; athletic supports, etc. may be recommended by the coaching staff.

12 13 Insane Fitness Track Club CODE OF CONDUCT Athletes All athletes will conduct themselves in a respectful manner. Disrespect towards teammates, parents, coaches, staff, chaperones and officials will not be tolerated. Profanity will not be tolerated. Failure of any athlete to respect the racial, ethnic, cultural and religious diversity of the team will not be tolerated. Fighting and any other conduct which is detrimental to the club may result in an athlete s immediate dismissal from the club. All major issues concerning the athlete s behavior during all organized Insane Fitness Track Club events/activities will be handled by the coach and staff. Not the parent! ***Athletes will not post any inappropriate photos, videos or posts when wearing Insane Fitness Track Team gear, and or when at Insane Fitness Track Team events, practices, etc. Athletes can be dismissed from the team for inappropriate behavior on social media. Fees will not be refunded in the event of dismissal. Parents Encourage good sportsmanship. Demonstrate good sportsmanship towards all athletes, coaches and officials at every practice and meet. Support the club by volunteering to help when needed, with transportation and in fundraising events. Support the coaches and officials; coaches and officials are volunteers giving their personal time and money please respect them and their efforts. Parental interference with coaching will not be tolerated. Parents may discuss the training/coaching program with coaches following practice, time permitting but not immediately preceding. Appointments with the athlete s coach are highly recommended. Athletes are required to participate in or be available for (i.e. relays) all scheduled meet events. This includes alternates on relays. Arrive at all meets 1 hour prior to the first scheduled event and check-in with the designated parent or appropriate INSANE FITNESS TRACK CLUB coach. Place the physical and emotional well being of your child above any personal desire that he or she wins. Demand a drug, alcohol and tobacco free environment for your child. Remember, children are involved in organized sports for their enjoyment, not ours. Children need role models, not criticism. Kids Come First! ***Parents will not post any inappropriate photos, videos or posts when wearing Insane Fitness Track Team gear, and or when at Insane Fitness Track Team events, practices, etc. Athletes can be dismissed from the team for inappropriate behavior on social media. NOTICE TO PARENTS: Any complaints or disagreements with the coaches or the club shall be communicated through a designated officer of the club. Speaking ill of the club and/or creating dissention among club members will not be tolerated. Violation of this rule will result in immediate dismissal from the club. NOTICE TO PARENTS: No athlete may enter into an unsanctioned meet or road race during the season unless the coaching staff has given prior consent. Violation of this rule will result in immediate dismissal from the club. 13 14 Media Policy (Facebook, Twitter, Instagram, You tube, etc.) 1. Be accurate and transparent- If an athlete is commenting on the Club or the Club's industry, he/she should disclose their name and the fact that he/she is an athlete of the Club. This is not only the ethical thing to do, but it prevents others from claiming that an athlete was trying to hide his affiliation with the Club. Using aliases or pseudonyms to comment on industry-related topics should be discouraged. Honesty and transparency are crucial to maintaining a Club's credibility. Athletes should fact check all comments to ensure that they are accurate and based in fact before posting them on any site. Parent Initials Athlete Initials 2. Use disclaimers- If an athlete is discussing an industry-related topic and is not making statements on behalf of the Club, he/she should make clear that the statements are solely their own. He/she can do this through a simple disclaimer within the posting stating, "I run for INSANE FITNESS TRACK CLUB. However, this is my own opinion, not the opinion of IFTC." Maintain the privacy of others- Athletes should refrain from sharing personal information (including photographs) of other athletes and club members unless they have permission to do so. Private information should remain private. Parent Initials Athlete Initials 4. Be respectful and tolerant- Whether or not an athlete is speaking on behalf of the Club, he still is seen as a representative of the Club to the general public, and should act accordingly. Athletes should avoid posting material that could be seen as inappropriate, demeaning, or offensive. If an athlete is part of a conversation that becomes profane or disrespectful, he/she should withdraw from it. Parent Initials Athlete Initials 5. Inappropriate social media content- As a guide, content should be removed that is: abusive, offensive in nature or contains offensive language, bullying, harassing, defaming or giving offence to other people, contains personal and/or cultural attacks or insults, promotes hate of any kind, potentially libelous or defamatory detrimental in any way. Inappropriate content includes any content that could be seen as: pornographic, obscene or offensive harassment (racial, religious, sexual orientation, physical characteristics, gender, ability/disability, economic status) intimidation or threatening behavior. Social media postings are permanent and can go viral within a matter of days. Therefore, inappropriate postings can create immediate and lasting damage for the Club. The INSANE FITNESS TRACK CLUB has adopted several policies to limit the club's liability exposure. Parent Initials Athlete Initials 6. Dealing with inappropriate content- The aim of social media is to promote conversation. Moderation is not about removing comments and content that you don't like or disagree with - it's about ensuring content is relevant, on-topic and respectful. Poorly drafted comments and unintentional postings can create ethical dilemmas and embarrass the Club and the athlete and family members. Please be careful what you post. If inappropriate content is posted that is deemed detrimental to the Insane Fitness Track Club, it may result in an athlete s dismissal from the club. 14 15 Event Selection Guidelines Summer track Guidelines *Summer track is a very competitive season and is expensive* Each athlete should set short, intermediate and long term personal goals. Each athlete s previous experience will be reviewed and taken into consideration when identifying events for the athletes. Performance at practice will be taken into consideration when determining events for new athletes. Athletes events can be changed if they are not competitive in their desired event to place them in an event in which they can be competitive. The coaching staff has the final say in what event each athlete will compete in and this can be discussed with the athlete s family outside of practice if they do not agree with our decision. Relay Selection Guidelines Relay Selection Guidelines will be used to place athletes on all relays. No athlete is guaranteed a position on any relay team. Athletes will be placed in the best strategic place on a relay that will best suit the team. The position on the relay will be at the sole discretion of the coach. No athlete will participate on a relay if they miss two practices the week preceding the meet. The relay is a team event and IFTC will not take a member from one relay team to fill another relay spot in the event a member of one team does not show at a meet or gets hurt. The final decision on all relays will be the responsibility of the coaching staff. The Relay is a BONUS and no spot is guaranteed. We will consider the following factors when determining your participation in a relay pool: Practice attendance Performance in your individual event Attitude and Flexibility Event Load

15 16 Practices We expect ALL our athletes to attend practice. The practice schedule will be provided to you by the coaches and is subject to change at times. Missing practice means a missed opportunity to learn and improve. If you need to miss practice you must contact a coach. If you fail to attend practice and/or you don t call to notify a coach or ISTF staff member, you WILL Not participate in meets. Practice will be held rain or shine. If inclement weather strikes such as extreme cold, heavy rain, or lighting, we will make a practice cancellation call/text/ . Practice Regulations for Athletes Athletes should arrive on time be ready to listen, work hard and learn. Coaches will not delay scheduled activities or extend practice to accommodate late arrivals. Athletes should have a Water bottle and proper running attire (T-shirt and Shorts or Sweatpants and Training shoes). Athletes must follow the directions of the coaching staff during practices. This includes doing the exercises, participating in all drills and completing the training program. No distractions will be tolerated. The following is not allowed: profanity, horseplay, abusive language, or fighting. Members unwilling to participate in workouts will be dismissed from the track or practice area and will not be allowed to return until coaches have spoken with the parents. Repeated misconduct, distractions and/or refusals to do workouts will be grounds for termination from the program. No membership fees will be refunded if a membership is terminated Be respectful to coaches, officials, teammates and competitors on other teams. Older athletes should be mindful of the example they are setting for younger athletes. Practice Regulations for Parents * Parents shall refrain from coaching or instructing athletes during practices sessions. Coaching is the exclusive responsibility of the INSANE FITNESS TRACK CLUB coaching staff. * Parents should not engage the coaching staff in conversation during practice sessions. Coaches are available to answer questions after practice or during scheduled appointments. *Parents shall not use profanity or obscenities during practice when speaking to: other parents/adults, children, or when talking on cell phones or to other individuals in their cars, as phone/personal conversations may be heard by other parents/and athletes. *If you choose to wait for your athlete in your car, you must refrain from playing loud music, as it may cause a distraction to practice. * Please notify the coach if your child will not be able to participate in a scheduled practice. This notification should be given as early as possible and preferably prior to schedule practices. Unauthorized workouts outside the INSANE FITNESS TRACK CLUB workout structure are prohibited unless authorized by an INSANE FITNESS TRACK CLUB coach. Violation of this rule will result in immediate dismissal from the Club.

16 17 MEET RESPONSIBILITIES & LODGING RULES Our summer meet schedule is established prior to the season and information will be available on the team web site. Qualifying for the Junior Olympics is no small task. If you do, we expect you to go. We strive to keep our travel expenses down to a minimum by doing fundraisers. We encourage your child to travel with the team. Travel to out-of-town meets entails additional costs not included in the team registration fee. While out-of-town meets are often viewed as opportunities for family vacation time, these meets are business trips for the athletes. It is the parent s responsibility to provide for the athlete s needs for the trip. The Club arranges hotel accommodations for out-of-town meets. Payment for individual rooms is the responsibility of the parent. The Club will try to have all members stay at the same location, but this is not always possible. If the member does not desire to stay at the Club s hotel, then the member is responsible for making his/her own accommodations. If you choose not to travel with the team you will assume responsibility for making sure your child is prepared at the meet and on time. The INSANE FITNESS TRACK CLUB parents and athletes are responsible for knowing the athlete s meet events and times. Coaches determine what events the athlete will participate in for each meet. The parent may discuss this with the coaches prior to entry, but the coaches have the final say. The club s primary mode of communication will be and the website. Team Snap will be a mode of communication as well. Please make sure the coaches and staff have current and contact information for you. If you do not have web or access, please make sure we know as soon as possible. If an athlete will not be competing at a meet, this must be communicated to the coaches prior to the meet registration deadline. During meets, the Club will have a designated area for the INSANE FITNESS TRACK CLUB athletes to sit during the meet. All athletes must sit together in this area.

17 18 MEET RESPONSIBILITIES. Check your event time prior to the Meet. Arrive at the meet at least one hour prior to the scheduled meet start time. For meets with rolling start times coaches will announce the times for athletes to arrive at the track. Check in with the Club. Upon arrival at a meet, check in with the club at the designated area and get your numbers and instructions. Sit with the Club during the meet. Athletes must stay in the Club area during the meet. Come prepared. Wear your INSANE FITNESS TRACK CLUB uniform. Have your shoe bag containing shoes and water bottle (with water or sports drink). Bring warm-up clothes to every meet weather is unpredictable. Warm-up. Warm-up with your teammates. Arrive in time to get prepared physically and mentally for your events. Concession Stands. Concession Stands are off limits during competition. Athletes may only approach the concession stand after the completion of the athlete s last event and/or with clearance from an INSANE FITNESS TRACK CLUB coach. Pay attention to the meet announcer. The meet announcer makes the calls for each event check-in. It is your responsibility to get to your event. Check in. When you check in, you should be ready to compete (with uniform, number and shoes). Take your water or sports drink with you to check in. Once you check in at your running event, you should not leave the check in area. Lodging Rules & Responsibilities When travelling with the team rooms will be assigned by the coach and the chaperone. Curfew times: ALL LIGHTS SHOULD BE OUT BY 10:00 PM If the meet schedule delays a timely return to the hotel we will be flexible with curfew to allow athletes to eat and return to their rooms. Any athlete out of their room after curfew will result in disciplinary action. No telephone use by athletes after curfew unless it is an emergency; illness or injury. Make sure that your athlete is prepared, at the meets early and ready for his or her events. All athletes should receive 8 to 10 hours of sleep the night before a meet. Athletes should eat a nutritious breakfast. This includes fresh fruit, bread, cereal, oatmeal, water and juice. Little or no beef / pork. Overnight meets entail additional parent responsibilities Parents and athletes are responsible for listening for the call of their events and for being prepared and warmed up. Failure of an athlete to abide by IFTC overnight travel policies will result will in disciplinary action up to dismissal from the team. No athlete can leave the hotel or track without notifying the staff All athletes are required to take sweat suit(s) or warm-ups on all trips. All athletes should be prepared to leave the lodging facility at least 15 minutes prior to our scheduled departure time. All athletes are encouraged to stay in the team area until the conclusion of a track meet. We are a team and need to support each other. Athletes are not allowed to leave without notifying a coach. Any athlete found to create a disturbance at a lodging facility that results in disturbing other guests will result in disciplinary action
