1 PROGRAM DIRECTOR UPAYA INSTITUTE AND ZEN CENTER Posted: June 2007 THE POSITION Upaya Zen Center seeks a full-time director for Upaya s diverse programs. Competitive candidates will have experience in client relations and program coordination. He or she will be part of a team that exceeds the need in a small office environment and will have a strong interest in and knowledge of the Buddhist content of the programs. 2 Customer Service The manager will conduct enthusiastic communications with people inquiring about retreats and workshops and facility rentals, both on the telephone and via . In addition, the director would take responsibility for oversight of all programs, prospects and contracts. Data Management The director will be in charge of tracking prospects, registrations and financial status via FileMaker Pro and/or a web-based data system. He or she will also maintain annual calendar of retreats and facility rentals and update information on the website. Event Management Working with an assistant, the manager will plan, organize, and implement the logistics of smalland medium-sized events taking place at Upaya, including food and housekeeping details. DUTIES Answering incoming telephone inquires and information requests. Replying to incoming questions and information requests. 2

3 Promoting Upaya Zen Center programs and facility products and services. Conducting contract negotiations and registration intake for all Upaya group and personal retreats, facility rentals, and other services and programs. Processing all registrations into the computerized registration system. Processing all paperwork necessary for accounting/bookkeeping billing and processing, as well as, other departments such as food service and housekeeping. Obtaining invoicing from accounting and collecting payments. Determining room assignments and preparing guest packets with names, keys and room assignments. Greeting retreat guests and conducting campus tours as required. Working with other Upaya staff and volunteers in support of retreat and event operations. Obtaining travel plans for teachers and arranging for transportation to Upaya. Coordinating relevant content of weekly/monthly newsletters. 3

4 QUALIFICATIONS Proficiency in Window and Mac based platform and software and FileMaker Pro or similar for data entry. Excellent sales and communications skills. Strong attention to detail. Experience with contract development and negotiations. Ability to work independently and meet deadlines. A track record of team leadership and project management. COMPENSATION This is a salaried position, the amount depending on experience and salary history. Two weeks paid vacation, plus all national holidays, free enrollment in Upaya retreats, and lunch in Upaya s famous organic kitchen. ABOUT UPAYA ZEN CENTER Upaya Zen Center is a non-profit organization with a mission devoted to contemplative practice, education, right livelihood, community development, and social action. Special events and retreats for outside groups support mission programs in social action and religious study through revenues generated from facility rental and other services. The Center is located in the historic East Canyon area of the Santa Fe River 4

5 watershed, just minutes from the downtown plaza. The campus is architecturally noteworthy. Offices are located in a beautiful adobe facility. Upaya has a core group of residents who are skilled in running their departments and vital programs. The Center s educational program for them includes daily meditation practice, weekly classes, and the training of priests. The organization s secular programs include the Project on Being with Dying and the Upaya Prison Project. In addition, there is a rich schedule of retreats ranging from meditation intensives to yoga workshops to training programs for professional caregivers in compassionate care of the dying. The Executive Director is John Braman, formerly president of the Independent Schools Association of the Central States.
