Minutes prepared by: [ Corrie Bullard / June 4, 2008 ]

3 Date: 07/02/2008 Time: 2:30 pm Location: CHDC Board Room Kristin Meany-Walen, Kathryn Kantor, Kara Holt, Casey Barrio Minton, Corrie Bullard Invitees Absent: None Partners/Guests: None 1. Doctoral Orientation Notes: Kathryn met with Mario and gave doctoral orientation information to Kristin. People who will represent different doctoral cohorts at the orientation are Ryan Holliman 3 rd year and Kate Halinski for 2 nd year. Kristin sent out an regarding save the date for the social at Dee s house after the orientation on August 23 rd to all faculty members who are invited. Kara Holt has a list of the new doctoral students (10 total) and Kristin will send an e-vite to faculty members and incoming doctoral students with the social information. 2. Master s Orientation Notes: Yulia Prochenko and Andrea Kyprianou are getting together July 3 rd to discuss the master s orientation, and Kathryn is going to meet with them Tuesday July 8 th. The master s program has accepted 23 to the Dallas campus and 41 at the Denton campus for fall admission into the counseling program. Andrea has spearheaded the mentor program and found information online from Kent State. She has contacted people from Kent State, and she has received information on their mentor program so that it may used to create and execute our mentor program. Do mentors need to possess certain qualifications? Do they need to be CSI members? Do we want to involve the new students accepted at the Dallas campus in the mentoring program at the Denton campus? Yulia and Andrea have decided not to include a mentorship invitation with the one for orientation, but will send it separately. Andrea is going to take the Kent State mentor program s concepts and adapt them for our chapter s needs. Mentors need to have completed at least 9 hours and have at least a 3.5 GPA. They won t be required to join CSI, but they need to be CSI eligible.

4 The new Dallas students will be involved in the Denton mentor program, and we will match people based on their primary campus. 3. CSI Membership Notes: In the past, CSI has kept membership entry to once a year in the spring as it s time consuming and costly to enter new members on an individual basis. We discussed having two opportunities for new members to join, and we asked Casey if this would be too much work for her to have to do this process twice a year. Do we want to keep it to one being able to become a member once a year in the spring? Do we want to have two opportunities a year to join CSI? Do we need to have our own letter heads for the membership drive? 1. We will have 2 membership drives for CSI, and an early October will be provided in addition to spring which has been traditional. 2. We will help Casey with stuffing the envelopes for the membership drive. 3. We will follow-up with Casey at the next meeting to make sure having a second membership drive is feasible for her. 4. We will need to have letterheads created for the membership drive. 4. Committees Notes: PJ has offered to chair the professional development committee, and Kathryn is meeting with him this afternoon to nail a specific time to talk about working on the committee with Kristin. We would like to have at least three professional development meetings in each fall and spring, and these would ideally be held in September, October, November, February, March, and April. Yulia agreed to chair the social committee, and Corrie will co-chair with her. Yulia and Corrie will work to plan the social events, and we may want to combine the social gatherings with the professional development ones if needed. Corrie talked to her friend Casey about helping in the CSI webpage development, and he was not interested in participating in this opportunity. One does not have to be affiliated with UNT in order to help design the webpage. Kristin has some contacts at UNI she can talk to about webpage development. We considered using Blackboard, but felt that having a separate webpage would be more fitting. 1. Kathryn will talk to PJ more about being chairman for the professional development committee, and we will come back to this at the next meeting. 2. Kristin will contact her friend who has contacts at UNI to see about developing a webpage for our local CSI chapter. 5. Fall Retreat Notes: We will have our second annual fall retreat at Casey s house around the second weekend of September. The retreat will be 3-4 hours, and will included CSI officers and people who are involved in doing things for the committee or others we d like to invite. Current invitees in addition to the executive board include: PJ Blanco, Ryan Holliman, Yulia Prochenko, Andrea Kyprianou, Kelly Morton, Torey

5 Portrie-Bethke (faculty), Ryan Foster and Ann Nosewicz. This group will also help the executive board make CSI award nominations. Decision: 1. Kathryn will send out a meeting wizard with the dates September 6 th, 12 th or 13 th to see which date is best to have the retreat based on individual availability. Minutes prepared by: [ Corrie Bullard / July 3, 2008 ] Minutes Approved: [ Approval signature needed ]

6 Date: 08/06/2008 Time: 2:30 pm Location: CHDC Board Room Kathryn Kantor, Kara Holt, Corrie Bullard Invitees Absent: None Partners/Guests: Yulia Prochenko 1. Master s Orientation Notes: Yulia presented possible ideas on how to break the master s orientation in to 4 parts. For the first part she mentioned having the invitees do ice breaking activities such as charades, or have them tell something about self (ex: pet peeve, like to do) in pairs. The focus of this activity would be paying attention to and reading nonverbal cues. She talked about doing musical chairs, but Kathryn, Kara, and Corrie decided to rule this activity out as it has a competitive element which might make some people uncomfortable. Yulia also mentioned having everyone line up in across the room, and when the leader would say something generic which applied to the invitees, they would step forward. There were concerns if there would be enough room for this activity. If there wasn t enough room to do this, Kathryn mentioned that people could go to different corners of the room to signify a like or dislike. Yulia mentioned that the second part of the master s orientation will be about the professors. There will be PowerPoint s and each slide will discuss a professor. Eric will discuss points on how to succeed in the program (ex: don t procrastinate, take care of self). Yulia mentioned that the third part will cover how to check eagle mail, how to forward eagle mail to another address, and will discuss how to check the requirements for each state. Yulia also mentioned that the fourth part of master s orientation will have Dr. Barrio Minton talk about what students will be doing in each class, such as a lot of self-disclosure is required. Dr. Barrio Minton will also discuss what classes are offered in each semester, and the difference between a M.S and a M.Ed. Corrie mentioned a game from Dr. Farmer s class which allowed people in the room to get to know one another by having people introduce themselves to one person and their partner would introduce themselves, then the pair would switch then introduce themselves as the person they just met to their next partner. After everyone has introduced themselves, everyone gathers in a circle and each person tells what they remember about the last person they met, and that person would tell if the information they remembered is correct or not, and would then introduce their self to the group. Kara mentioned a group activity which Dee did this summer with doctoral interns. Yulia will talk to her committee about inviting people who were accepted in to the master s program in the summer about coming to this orientation. Clinic will be closed next week, but will reopen the week after so Yulia and her committee can work on things for the master s orientation.

7 Yulia will talk with Andrea about which activity they would like to do for the ice breaking activity, and then will talk with Kathryn if needed. 2. Doctoral Orientation Notes: All mentors have been matched. Kristin was not able to make this meeting, but included this information via Casey has graciously sent out the invites for the new doc students. I sent out invites to the current students, professors, and staff. So far everything seems to be going smoothly. Kate H. and Ryan H. are going to represent the 3rd and 4th year doc students. I have asked a few faculty to come and chat with us about their expectations. I will be making the agenda for the afternoon soon and sending it out to those of us more directly involved. Purchasing food has been approved by Dr. Holden. She allowed us $200-$ for meat or main dishes. 1. Cara will send out an the each invitee with information on who s their mentor, and will include a note to please make contact with them for coffee, lunch, etc. 3. Mentors for Incoming Master s Students Notes: Kathryn mentioned that Andrea has been working on mentoring master s students, but she has found that master s students who are further along in the program aren t willing to do participate. She is still working on this to create a level of interest needed to utilize this program. 1. There will not be a mentor program for master s students at this time due to a lack of interest. 4. Fall Retreat and New Executive Meeting Day Notes: There are two possible dates to hold the fall retreat, and we need to decide if either September 6 th or 13 th will work best for everyone. Kathryn went over the responses from the meeting wizard she e- mailed to each invitee. Kathryn mentioned that we need to decide on a new day and to hold the executive meeting each month as most of our schedules will change come the fall semester. 1. Kathryn will talk to Kristin to see if she s available for the 6 th or 13 th. 2. Kathryn will Casey to see which date will work best for her. 3. Kathryn will send a meeting wizard to each executive member to see which day and time will work best for everyone to hold the executive member meeting during the fall semester. 8 Date: 09/08/2008 Time: 2:30 pm Location: CHDC Board Room Kathryn Kantor, Kara Holt, Kristin Meany-Walen, Casey Barrio Minton, Corrie Bullard Invitees Absent: None Partners/Guests: None 1. Master s Orientation/ Doctoral Orientation/ Mentors Notes: The doctoral and master s orientation went well. Andrea K. is still working on mentors for master s students, and Beth Harrison has volunteered to help Andrea with this. Should evaluations be given to those who attended the doctoral orientation? If Kristin and Cara would like to do this, Kathryn stated that she has the information to do so. 2. Fall Retreat Notes: Kathryn prepared a roster of names for Saturday, September 13 th, and passed this around to all executive members in attendance to look over. People who are attending the fall retreat need to plan on being there beginning at 9:30 am as the meeting will start promptly at 10:00 am and will run until approximately 2:00 pm. The meeting will allow time for everyone to break into their respective groups in order start planning for the upcoming year. 1. Kathryn will send a reminder via to all which will include a note that invitees may chose to bring a dish of their choice. 2. Casey will prepare lasagna (1 with meat and 1 with out) and rolls. 3. Kathryn will bring salad and a bundt cake. 3. Awards Notes: There was not a lot of organization or nominees last year, but CSI did nominate Cheyenne who was awarded a fellowship. We would like to create a more organized and formal way to submit recommendations. Casey noted that criteria for each award are listed on the CSI international website. Casey would like to nominate Kristin for the fellow intern award. UNT is not doing the alumni gala anymore due to the costs involved, so we will have to do a ceremony on our own this year. We will still recognize an honored alumnus, and we can have him/her do a workshop the afternoon before the awards ceremony.

9 Do we want to award on a local level in addition to the national level on a yearly basis? Casey suggested that we do it on a small scale this year, then have a more formal process next year. She also suggested that we can do this in combination with the induction ceremony this year in the spring. How can we do ceremony without having to rent a room? Can we do it at the CHDC or in a classroom? We can get a classroom for free if it s associated with a class, and Kathryn suggested that we get a classroom to accommodate for the number of people who will attend. Could we do awards at union and reception at CHDC? What do we want this to look like? Do we want to charge a higher initiation fee to cover room rental and food? Do we want to raise the local fee from $10 to $15? 1. Executive members need to look over the criteria and bring names of who they would like to nominate to the retreat. 4. Professional Development/ CSI Local Website Notes: Kristin talked with P.J Blanco, and they will have a professional development activity at the end of September. The activity will include someone from Rocky Top who will do a presentation on a topic of interest. Kristin stated that she will have a date soon, and this activity will be held at the CFRC. We are still working to create a website for our local chapter, and we need to check out the CSI international website for regulations regarding this. UNT has regulations on the creation of websites, and if we do decide to create one for our local chapter, it will need to match the rest of UNT s site. 10 Date: 11/03/1008 Time: 12:30 pm Location: CHDC Board Room Casey Barrio Minton, Corrie Bullard, Kathryn Kantor, Kristin Meany-Walen Invitees Absent: Cara Holt Partners/Guests: Yulia Prochenko 1. Professional Development Committee Notes: Cara and Kristin are doing a parent consultation presentation. The committee will do two this month, and one will be led by P.J Blanco which will be held in conjunction with Torey s class. In order to increase communication about the presentations, Kristin will communicate with P.J. about the details of his presentation. 2. General Membership Meeting Notes: The general membership meeting will be held next Monday, November 10 th from 4-5:15pm in Whooten Hall. The meeting will begin with the introduction of the executive members, and we will say a little bit about who we are and where we re headed. Yulia and Corrie will discuss activities in which members can get involved and opportunities for leadership. Beth and Andrea will talk about the master s mentoring program and how to get involved. Kathryn stated that she would be happy to say a bit about the professional development committee since Kristin will be unable to be there. We would then like to ask the members what they d like to see from CSI, what kinds of programs they d be interested in, and what time of day they would be best. 1. Kathryn will send an with information about the general membership meeting to all current CSI members. 2. Casey will bring sugar cookies. 3. Kristin will bring brownies. 4. Corrie will bring rice krispie treats. 5. Yulia will bring napkins, cups, ice, and drinks. 3. CSI Initiation Notes: Katie, a new member, has expressed interest in chairing the initiation in the spring, and Kathryn would like to get in touch with her to discuss this further. Alumni weekend has been cancelled for the spring and has been moved to the fall, so we don t have a speaker for the initiation as we expected. Casey mentioned that she knows a few of the speakers who are listed on the academy of leaders website who would be comfortable staying at her place, and this would cut down on our expenses if we choose to have them speak at the initiation.

11 Would we like to hold the reception in a classroom to save on costs as we could avoid the food rules associated with the suites in the union and bring in our own food? Casey estimates that we have approximately $3, 000 in CSI funds, and that we could put about $1,000 of this towards initiation. 1. Casey will touch base with Drs. Jane Myers and Tom Sweeney to see if they would be interested and able to speak at our initiation in the spring. Casey will also ask what they would need in terms of accommodations and see what it will take to get them at the initiation. 4. Master s Orientation Notes: Corrie will be the chair for this committee in the spring, and Lisa Griffin would like to help. Corrie got in touch with Beth after our monthly meeting, and Beth would like to help as well. Casey will do the basic advising as she has for previous orientations. 5. Ethics Competition Notes: Andrea K., Beth, Corrie, and Yulia participate in this year s master s ethics competition. All participants must register by December 14 th, and be a current ACA member. Minutes prepared by: [ Corrie Bullard / November 9, 2008 ] Minutes Approved: [ Approval signature needed ]

Speakers will include the Dean of the College of Education, Janet Rogers, Dee Ray, and Casey Barrio Minton. There will be approximately members to initiate, and CSI would also like to present various awards at this time. It was mentioned that it could be a possibility to have active CSI members nominate and vote for the persons to present these awards to through survey monkey. Kristin volunteered to get prices on awards to be given, and she will get back with the pricing information. 2. New master s student group Notes: New master s students could have the possibility of attending group sessions led by current 5470 students. This would allow new students to get acquainted with the program, orientate, give guidance, and will give the 5470 students an opportunity to lead a group as required. 3. Welcome to CSI members Notes: A welcome note attached to candy could be handed out to in basic skills and theories class to let new students know a little about CSI. This note could inform new students who currently are not CSI members know that they are free to attend any CSI functions.
