1 Minutes of the DRHS PTSA Board Meeting November 2, 2015 Call to Order Meeting of the Deep Run High School Parent Teacher Student Association Board was called to order at 6:06pm and conducted by the President, Michelle Bone. Members Present Michelle Bone, Gladys Brenner, Tricia Brown, Bari Cohen, Andrea Culbertson, Sylvia Farbstein, Liz Pierce, Gabby Pierce, Paul Welch, Pam Sweeny, Yvonne Terry, Valerie Walls, Lorrie McCray, Jessica Brown, Mary-Katherine Kidney, Holley Nilson, Lauryn Nilson, Teri Lowman, Crystal Crowley, Chris Hamilton, Shelly Parker Approval of the October Minutes The minutes for the October Meeting were motioned for approval by Michelle Bone and seconded by Gladys Brenner. All members present were in favor of the motion; and then approved as presented. Principal Pritchard s Report (Michelle Bone) A survey was completed regarding one lunch. Students took a lunch survey and we had over 1,000 responses out of our 1,652 students. 92% of those who responded approved of one lunch, and there were many positive comments. A full report will be given at our next meeting. President s Report (Michelle Bone) December 7 th is our next PTSA meeting at 6pm in the library. Please RSVP if you plan to come by November 11th, as there will be a holiday dinner provided as part of the meeting.

2 Convocation was a great success. Thank you to the volunteers who helped make it successful. Yard sale was a success. Thank you to Jenny Every. Tricia Brown made a suggestion that we don t coordinate it with Twin Hickory Yard Sale. Reason being, maybe more people would sign up. No one in Twin Hickory would have signed up as they were allowed to have a sale in their own yard. But if they were given an extra day, they might have brought items up to the school for sale. But on the other side, we get all the advertising. Another idea Lorrie McCray brought up was to have the student representatives run a tent and we have people donate items and we sell them and keep whatever profits we receive. Something to consider for next year. Homecoming Thank You Yvonne and Project Green. Project Green donated a trailer and a truck and drove the PTSA around at the parade. Working to improve communications. Remind 101 has been great; we have 78 people signed up. Getting the word out that the PTSA can provide a lot of good information parents need. Great thing about Remind 101 is that you only need to sign up once. What can we do to help with the issues high school students are struggling with as a PTSA organization? We need to continue to work with the community and students. Student representatives can send an to Yvonne Terry or Michelle Bone suggesting ideas for programs for students. We do have a forum that students and parents can use to report concerns called Silence Hurts. PTSA website home page has a lot of information about our mission and what programs/events we have going on. Goal is to engage more of the community.

3 Treasurer (Paul Welch) October Financials (Appendix A): Bookstore: $978 in income. Direct Donations: $189 in income and $2,300 Membership Income in October. Membership income for this school year; YTD is $16,137. Spirit Night: $85 (Pot Belly) Yard Sale: $367. Baccalaureate expense: $113 (janitor support). Raised $1,000 in credit card sales in bookstore and membership this month. Membership (Holly Nilson, Terri Lowman) Membership income through the end of October is $16,227 compared to last year s total, at the same time, of $15,153 (ahead by $1,074). Last May our end of the year total was $15,398. Membership numbers include 541 adults, 38 seniors, 197 students (includes the 38 seniors), a total of 739 members (includes teachers). Black and Blue donation ($50) was most participated at 62 people. Platinum donation ($75) was 48 people. Wildcat donation ($100) was 31 people. Legacy donation was 18 people. Going to rework the donor wall, because the form breaks out total donation into flat fee and membership fees. Wildcat Den (Valerie Walls, Lynn Van Horn) Purchased inventory and waiting for the order to arrive. Ways & Means (Michelle Bone) Spirit Nights: Chipotle November 17 th ; Chick-fil-A in December.

4 Volunteers (Michelle Bone) Need lots of volunteers for the hearing and screening tests at the clinic (November 16 th ). Hospitality (Hanna Farrell and Liz Pierce) Parent-Teacher conferences coming up, November 9th. Providing Which Wich for the teachers and they gave us good pricing. An Nlist was posted for parents to volunteer additional items to go with the sandwiches. Next items will probably be for holiday-related items. Tricia Brown mentioned that Rudinos Pizza & Grinders, off of John Rolfe Pkwy, wants to work with hospitality. The owner has two students that attend Deep Run. Baccalaureate (Pam Sweeney, Stacy Kovanes) Working on a Guest Speaker for the event. Welcome any ideas for speakers from the board. PAN (Lorrie McCray) PAN is cancelled for this year. She gave a summary of all the event planning that was done. If you have any questions, please contact Lorrie McCray directly. All items that could be returned were and supplies that could be used for the Marathon Dance were donated for this event. PAN book will be updated and put in the bookstore along with some supplies that anyone in the PTSA can use. County Council & Scholarship Committee (Michelle Bone) Training that was initially offered was cancelled. Will keep us updated if any events are added.

5 Legislative (Gladys Brenner) We received 135 votes on the website. 92% voted YES on the first issue and 87% YES on the second issue. We did get an increased response after Mr. Pritchard s reminders. Will revisit next year if we go back to paper ballots or continue with online ballots. Reflections (Bari Cohen) Deadline was last week. Art and Literature we received 1 entry. Music was passed on to the judge. Ordered some lapel pins to give to the winners. No separate ceremony at Deep Run. But they did add recognition of the winners at the Spring Assembly. New Business (Michelle Bone) raffle at the last home game. Raised $379: PTSA gets 50% and the winner gets 50%. Michelle Bone s husband won and donated $50 to the PTSA and the remaining money went to the Susan G. Komen Fund. Tricia Brown brought up an actionable item with respect to communications: Promote parents to subscribe to Remind 101. Suggested that when we mail/ the PTSA member cards, we put the link at the bottom for people to sign up for Remind 101. Adjourned In the absence of no additional items to discuss, the meeting was adjourned at 7:23pm.
