Date: 24/11/2015 Time: 2-3pm Venue: MR6 Chaired By: Emily Dunford Recorded By: Tam Kaur Gulati Present: - Emily Dunford (Chair) (ED) - Tam Kaur Gulati (Secretary) (TKG) - Liam Jackson (LJ) - Charlie Hindhaugh (CH) - James Anderson (JA) - Roisin Obrien (RO) Meeting Quorum: 1. Apologies CA HW 2. Matters Arising N/A 3. Update from the Education Officer CH attended the International Subgroup of the AQSC, where he raised a point regarding issues of equality in their proposal for exchanges. CH attended the Technology Enhanced Learning Steering Group, which deals with IT in education. CH met with Mike Glover and Catherine Grey. CH attended the Board of Undergraduate Studies with LG; this board reports to AQSC. There he presented the Page 1 of 7 Mtg. (10/11/2015)

SSLC Undergraduate Report where the following points were discussed: o Seminar sizes, all lectures lasting over an hour should have a 10 minute break o Wednesday PM should be free for sport, congestion around lecture halls is a problem o Support in principle for a 24/7 library o Recorded lectures should be best practice o Personalised exam feedback on request should be best practice. o Students should not be penalised for handing in a hard copy of an essay late if they have submitted it online on time. Unfortunately the results from the BUGS will not be going to AQSC automatically. Action CH: Write a blog with these updates - linked in the All Member . Faculty reps: Include the information regarding recorded lectures and exam feedback in an to SSLCs. Other exec members: Promote via social media and on their faculty Facebook pages - most of the exec are Social Sciences/Arts members so LG and HW could post on the Science pages. 4. Update from faculty representatives CA (From what Emily read of her comment) IATL Management Meeting o Funding modules and new requests ICIR + Promotional Material PAIS meeting o Moodle in PAIS o Library funding o Modules fair Page 2 of 7 Mtg. (10/11/2015)

This brought about the discussion of who organises the module fairs in different departments ED Board of Faculty of Arts Meeting o Prevent being talked about in wrong places/not given the time initially o Humanities building going well, progress checks occurring o Mostly against HE Green Paper o Emily presented idea for a paper: AUSC, on Peer Mentoring Perhaps this will facilitate other departments adopting this Charlie spoke about how buddy schemes were used for first generation students in the Open University and there was a round table system where seminar tutors and peer mentors were asked questions and could guide students Timetable Improvement Group Meeting o Suggested Emily goes back o Invited other students o Person to contact if interested = Emma Morrison + next meeting dates: 6 th January 10 th March 4 th May 23 rd June o Talked about timetables in general ACTION: Charlie to send Emily information regarding the Open University meeting. Page 3 of 7 Mtg. (10/11/2015)

o Spoke about the way the new Teaching and Learning building will be assigned to departments ensuring all departments get use o Were supportive of lecture capture o Spoke about the fact that seminar tutors book 30% more rooms than needed o Currently updating tabula and start.warwick Suggestion we can bring to next meeting if any of us goes is to have a visual representation of our timetable before it is finalised so we can make the most informed decision for our modules and seminar times (those departments that don t simply assign them) o Issues they have is the fact that there is no-one to interact with in departments about Tabula o Generally, not enough IT support Spoke to PG Exec o One PG Exec member should be on the Education Exec 5. Update from representatives JA: Digital Humanities Session (will mention again next week) o Really good o Teachers and seminar tutors who actually want to use technology should be given better access to it and help and support o Try and introduce digital solutions in departments Page 4 of 7 Mtg. (10/11/2015)

6. Update on SSLCs James talked to a few current SSLC chairs about current systems and problems arising to ensure that what we think needs improving is actually wanted by the students SSLC History have joint honour SSLCs and are invited to the single honour meetings No standardisation in SSLCs o E.g. Maths + Phil, no communication between departments o Departmental responses have been negative on certain issues and SSLCs are just not equipped to deal with the negativity o They may not know what to say back when put in tricky situations Proposal: SSLC Group Meetings When created o Should be on specific topics o Will allow for information to be relayed back to departments o Focused meetings will be more beneficial o If chairs and secretaries go to departmental meetings armed with knowledge and guidance on topics, this will allow them to facilitate discussions in departmental meetings How to form the working SSLC group o Necessary staff ACTION: SSLC Working Group JA to take lead Invite SSLC Chairs + Joint SSLCs to group. Charlie: Set up a document where we can put tricky questions and then ways of answering them Page 5 of 7 Mtg. (10/11/2015)

o EduExec members that would like to contribute o Charlie o Identify problems, how to solve these problems and actions to take. Charlie was at a meeting regarding Student Engagement and Experience Working Groups o This group is being combined o This group actually goes straight to the top o There is a committee where things can get actioned on o Suggested that new group should include SSLCs in some way 7. Update on HE Green Paper University already have a feedback page regarding this ews/newsevents/green_paper_consulta tion Update more next week ACTION Charlie, update us on the Green Paper meeting, maybe even via FB! All: Look at the link and give feedback on this. 8. To Discuss: current campaigns Discuss these further next week 24/7 Library o Is there anything actually happening? o Need to have a momentum for it o Mention it to the right boards ACTION: ED to speak to PG Exec chair and arrange for both execs to come together on this. 9. To Discuss: Recorded Lectures Campaign Page 6 of 7 Mtg. (10/11/2015)

Website is live: warwicksu.com/recordedlectures Leaflets being distributed in all kitchens by SU street team Idea o Go to big 1 st year lectures that aren t recorded and hand out leaflets pre-lecture (ensure that lecturer is ok with this) o Ask SSLCs to mention within departments Could arrange a meeting with them/ to discuss this: Coffee, Cake 10. To Discuss: Future campaigns Next week and Campaigns (applicable to SSLC working group also) ACTION Action 11. Any other business Speak to SSLCs regarding a need to promote that they can take students matters further regarding concerns for seminars and lectures There will be a joint Welfare and mental health campaign for those who want to take part Action Budgets being announced tomorrow All: Take a look at website and see if anything needs adding Bring ideas forward on how to promote campaign. In future meetings have actual points for campaigns we can carry out and how (applicable to current and future campaigns) All: Watch News. Page 7 of 7 Mtg. (10/11/2015)
