The is very pleased to have the privilege of hosting Past Rotary International Director John Eberhard at our regular luncheon meeting at 12 p.m. on Thursday, September 21. John Eberhard was R.I. Director for our Zone (22) from July 1, 2003 to June 30, You will recall that Zone 22 includes all of Canada, Yukon, Alaska and part of Eastern Russia. During his term, he was the official liaison Director for both the RI Task Force on Literacy and Education, and for the RI Committee on Rotary Fellowships. He is the President of the Canadian Rotary Committee for International Development (CRCID). He is a well qualified and respected lawyer and a very effective speaker. The theme for his address will be The current challenges and opportunities for Rotary worldwide. He will be introduced by Past District Governor Dr. John Frid and thanked by DG Elect Bob Leek. Invitations have gone to other clubs and individuals in our district and we hope that we will have good attendance from our club. 2 Board of Directors Meeting Monday July 17, 2006 Ronald McDonald House 1510 Main Street West, Hamilton, ON Present: Keith McIntyre, Pauline Mitchell, John Clinton, Robert Beres, Wendy Brawn (recorder), Pearl Wolfe, Guido Di Cesare, Paul Gordon, Helen Pelton Regrets: Jim Commerford, Allan Greve, Michael Howes, Alex Moroz, Madelaine Steller Cain 1.0 Welcome: President Robert welcomed new board members who were present and thanked Pearl Wolfe for hosting the meeting. 1.1 Adoption of Agenda: The President, Robert Beres called the meeting to order at 5:05 p.m. The agenda was moved for approval by all. Carried. 2.0 Minutes: The draft Minutes of the June 19 meeting for both the regular meeting and the closed meeting were moved for approval by Pearl Wolfe and seconded by Pauline Mitchell. Carried. 3.0 Business arising from June 19 meeting 3.1 Club Endowment Fund: President-elect John Clinton will be the contact person for the Board of Directors as a liaison to Cynthia Janzen and Adrienne Davidson, co-chairs of the Club Endowment Fund. 2.2 Harassment/Abuse/Abandonment Policy: Helen Pelton reviewed the policy and suggested we review the present procedure. Various recommendations were made and after some discussion it was felt that we are responsible to: 1. educate what is acceptable behaviour 2. clearly identify process of submitting complaint 3. continue to reinforce education component Robert Beres thanked Helen Pelton for a great job reviewing the policy and to finalize it with the assistance of John Clinton and Robert Beres noting the difference between abuse and harassment and most of all respecting other people s feelings. Once finalized the Club bylaws will need to be amended. Keith McIntyre hoped that it could be introduced to members in September and devoted to a whole meeting. 3.3 Hiring of Part-Time Bookkeeper: Robert Beres noted that the contract has not been documented yet and the Board needs a copy of the contract and a second one for the records. Guido Di Cesare will follow up. 3.4 Draft Privacy Statement/Policy: Defer to next meeting. 3.5 Planning for BBQ: Pearl Wolfe will touch base with Larry Woods this week for an update. Discussion took place around insurance coverage from a liability point of view and what necessary measures need to be put in place to protect everyone including the host, guests and the. 3.6 Other Business: Glen Norton announced at a Rotary Club luncheon meeting that he will be leaving the club due to a new position in St. Catharines. The Board of Directors accepted his resignation, moved by Pearl Wolfe and seconded by Wendy Brawn. Carried. 4.0 New Business 4.1 Club Service Update: Keith McIntyre reported that outstanding obligations owing were now fulfilled. Donna Cripps, CEO of St. Peter s Health System will be joining the club on an individual basis. 4.2 Community Services Report: Helen Pelton reported that she had attended the ICYIC Committee meeting and that on Thursday September 28 this committee was assisting with a Gala to open the new Cathy Wever School. 4.3 World Community Service (International) Report : Adrienne Davidson and John Frid sent in a report from India where a new facility is being built and they want our club to be recognized for its support. 4.4 Treasurer s Report: Guido Di Cesare met with Kim Fucca to familiarize himself with the finances. Account Receivables are $4,300 oustanding. Requests for payment must accompany a cheque requisition with a two week turnaround time period. Guido hopes to have year end completed by the end of August as well as the budget. 4.5 Vocational Service Report: Defer to next meeting. 4.6 Communications Report: Pauline Mitchell reported that she sent out 25 press releases for the Garden party but didn t think that any of the media picked it 4.7 Fundraising: Defer 8.8 Personnel Performance Review of Club Administrator: Club Administrator, Tammy Martin has re-located but very much wishes to continue in her capacity. A performance review will be done with her by the Personnel Committee. 8.9 New Business: Keith McIntyre distributed a handout of a brief summary of the policies and procedures instituted this past year for handy reference. Copies are attached with minutes. Pearl Wolfe mentioned that the District Governor s visit is November Date of Next Meeting: Monday, August 21 at Ronald McDonald House. 6.0 Motion to Adjourn: at 6:37 p.m.

3 Inner City Schools At this time of year we again approach our club members and their friends to consider volunteering at Bennetto and Wever schools. Because our club has been fortunate to welcome many new members in the last few months, it will probably be helpful to explain to these new Rotarians what it is that our volunteers do at these schools. Volunteering at Bennetto and Wever is a part of our effort in the area of helping children to improve their reading skills. This program began some years ago at the Robert School. After the closure of Robert Land we transferred our volunteering efforts to Bennetto and Sanford Schools. We will continue to provide our volunteers at Bennetto and with the closure of Sanford, our volunteers will attend Cathy Wever School, the successor to Sanford. New Member Proposals The following has been proposed for membership in the club. Week one notification Shannon Morgan Not-For-Profit Consultant for the Classification Community Development Services Proposed by Phil Winer Week two notification Andrew Soifert Self employed, Tire Recycling Proposed by Keith McIntyre These membership proposals will be published for two consecutive weeks in the Ambassador. If you have any comments about these prospective members, please contact the Membership Committee chair Jim Commerford. No teaching experience is required. Rotarians volunteer in elementary school classrooms about one hour a week. The class teacher assigns children to work with the volunteer who then helps the students to improve their reading skills. This is accomplished by the student reading to the volunteer from a selection of story books provided by the school. It is a unique occasion in that the student is able to get one-on-one attention while studying with an adult. Last year an outgrowth of this volunteering effort was to help students at both schools to prepare for and participate in the Bay Area Science and Engineering Fair. Under the guidance of our own club member Rotarian Mark Mindorff, students from both schools won prizes for their entries. During the past school year we had about 20 volunteers participating in this program. Our attendance at the schools begins in October and runs through into June.
