1 RUO Application Due: Friday, November 2, 2018 at 4:00 p.m. Name: Dear Prospective RUO: Service is a longstanding tradition here at UT Dallas. For more than 25 years, students and staff have had the opportunity to go alternative over the course of spring break, and engage in an immersive week of direct service, leadership-building and relationship-building that is supplemented with education and reflection. The success of each ASB trip depends upon the commitment and preparation of responsible university officials (RUOs) and student site leaders, who help to manage travel logistics and facilitate a high quality service-learning experience for their team. ASB trips are safer and more rewarding because of the support and contributions of Comets like you who have stepped up to lead! Before you get started, please review the RUO responsibilities outlined on page 2 and set aside some time to discuss this opportunity with your supervisor. When you re ready to move forward, please acknowledge each of the RUO responsibilities, request a letter of approval from your direct supervisor, and submit your completed application in person at the OSV office (SSA T) or via to volunteer@utdallas.edu by 4:00 p.m. Friday, November 2. Applicants will be notified by Friday, November 16. The following should be included in the letter from your supervisor: 1) Permission for you to participate as an RUO for the ASB program. 2) Acknowledgement that you will be off-campus and unable to work in your routine position March 17-22, ) Approval for you to attend all of the required training sessions which take place during work hours. 4) Indication of understanding of your use or exemption of earned vacation time for this purpose. 2 RUO Responsibilities Please check the boxes below to acknowledge that you have read and understand each of the statements. RUOs are responsible for: Staying with the team throughout the duration of the trip: March 17-22, Driving the team to/from campus and the project sites. Ensuring the safety of each team member and mitigating risk as necessary. Knowing and upholding the UTD student code of conduct. Staying in communication with University staff as necessary. Managing the financial aspects of the trip (i.e. overseeing budgets and maintaining receipts). Attending bi-weekly leadership meetings in order to stay on top of program details and logistics. Guiding the student site leader(s) and helping them to grow in their leadership skills. Hosting team meetings and relaying information, expectations, and deadlines to student participants. Cancellation Policy: As the RUO, my commitment is crucial to the success of the program. If for any reason I become unable to participate, I must let the OSV Program Director know as soon as possible. I understand that I then have the responsibility of making sure another staff or faculty member takes my place. It is also my responsibility to ensure that my replacement is fully informed of my trip and trained in the ASB RUO role. Motor Vehicle Report Policy: I permit The University to conduct a Motor Vehicle Report to verify that I am in good standing to transport my team during the week of Alternative Spring Break (March, 17-22, 2019). Weapons, Drugs, Alcohol: Use and/or possession of weapons, alcohol, or illegal drugs are forbidden while travelling on a university-sponsored trip. The ASB program prohibits the purchase and consumption of alcohol and illegal drugs by all participants, regardless of age, during all ASB events, including travel to and from sites. I understand that if I do not follow this policy, I will have to return to my place of residence at my own expense. I have read and I agree to adhere to the RUO responsibilities listed above.
