1 IMGA Business meeting MEDGEO 2013, Arlington, VA USA Tuesday, August 27, :00-20:30, Richmond Room 1. Welcome and Message from the chair Jose Centeno- welcomed all to the meeting, and expressed gratitude for spending time with us at the meeting. Jose thanked Bob Finkelman for organizing the conference. He has dedicated 100% of his time to organizing the conference and has put a lot of time and effort into this conference. Jose also thanked Julie Finkelman for all of her hard work as well. Jose thanked all the people that worked with Bob and the sponsers of IMGA: USGS and ISPS. Jose thanked the members of the executive committee: Nelly Mañay, Olle Selinus (co- chair for geoscience, treasurer, and secretary, and webmaster), Mark Kay from the British IMGA chapter, Diego Friedman, Jiin- shuh Jean, Saverio Fiore (conference committee), Claire Horwell (nominations and awards committee), Maria Aurora Armienta from Mexico, Theo Davis from South Africa, Birgitte Hansen (treasurer), and Karin Ljung. Jose sets the agenda to show where we are and where we are going (Organizational issues, publications, progress report, and Portugal 2015). Message: Chair for 5 years, has been a privilege to be a part of the association. Today we have over 400 members in IMGA. Now we have over 22 chapters across the globe, and many have been submitted for approval, so there are more to come. Jose welcomed the Mexico Chapter (the largest chapter) and congratulated them in their posters and publications. 2. Review and Approval of Minutes Two teleconferences per year of the executive committee (last was May/June 2013 and minutes were approved). 3. IMGA executive Committee Reports from: A. Secretary: Karin (has left post; Olle: over 400 members, Olle is looking forward to many more members). B. Treasurer: Birgitte Hansen Budget: Income from member fees: 3 pockets: $23, 000 Some costs for the end of the year, teleconference and awards - Ester Stein moves to approve the budget- there was a second. C. Co- Chairs for Geoscience and Medical Sciences Olle: Geoscience: 2 nd edition of Essentials of Medical Geology Medical Sciences: Nelly Mañay: worked with the committee and member chairs to pick the next conference location, and other tasks.
2 4. General Information, Annual Report Status of association: published on the website. Olle asks should that they appear by the end of the year- please send chapter reports to Olle. The 2012 report is published on the website. 5. Progress Report from MEDGEO 2013: Bob Finkelman: Hopes all are enjoying themselves, and is happy to see lots of discussion. This conference is building on previous conferences (PR, Bernardino, Brazil, Mexico, and Italy) set the bar high. He has worked two years to achieve a successful conference. In 2015, the IMGA conference will be in Portugal. Bob is looking forward to Aveiro, and they will do a great job. We had almost 300 abstracts, and 300 attendants, and have allocated $30, 000 for student travel. We worked with Geoscientists without borders and will try and link with chapters to work and help people around the world. We made a profit with this conference (because the hotel is under construction), therefore we will use this profit to support students going to the next conference. Bob hopes you will enjoy the rest of the conference, and thanks all for coming to the conference. 6. Progress Report from our Committees: strategic planning for IMGA A. Bylaws and Constitution Committee: Saverio Fiore: gave a power point presentation. Committee: Saverio Fiore- Chair Jose Centeno Nelly Mañay Hassina Mouri Diego Friedman Maria Aurora Armienta Tried to update bylaws, constitution, etc. Problems: IMGA is registered in Sweden. We don t know which (legal) form it is registered. The members must be informed of these aspects through the CST or the BLS. Suggests to change/approve the articles and bylaws to be an association (and code in country/registered) or be a group of friends (ie. not a legal association). Many scientific societies have not a legal status but their internal organization mimics that of legal societies. Country where the association is registered. 1. IMGA as a legal society? 2. IMGA as a group of friends based on a gentleman s agreement? How do we want to proceed? General remarks on constitution and by- laws: The statute of an association must contain the fundamental aspects related for constitution of the society (membership, admin, representation, amendments, dissolution, etc.) that is, all the aspects that may change in exceptional cases only. In other words, the statute must contain the fundamental rights of the members.
3 The by- laws are intended to complete the statute and regulate the life of the association. They must contain all of Propose changes- should be discussed with the council and should be approved by the members and approved in the general assembly. Changes are in the document. Recommend to change the terms (co- chairs- president, vice- president)- need one person, not several people in charge. Additions to constitution and by- laws listed in the document attached (Saverio s powerpoint). Divisions and chapters- lots of by- laws about the divisions, but not about the chapters. The incoming council should revise the term- chapters. Need the past president on the council. Jose says you will receive updates on the proposed changes to the constitution and by- laws from the IMGA secretary. - NO COMMENTS: move to approve- seconded and approved. B. Education Committee- Claire Horwell (PowerPoint) - If you d like to join the committee, let Claire know. - She s been collecting information for the database for medical geology courses, professors, etc. Updating existing database: Nov Database available from Claire - Table: programs and number available - Number of institutions - Could use some help to search databases - Contact Claire to add to the database NO Comments- approved C. Students Committee no report, not here - Lots of student attendance (report next meeting) D. Nomination and Awards Committee- Claire Horwell: - Nominations according to by- laws and will be announced soon (Jose said that Kim couldn t stay on the committee) E. Conference Committee- Saverio Fiore - Listed members and added Nelly Mañay - Developed new way to analyze proposals - Were considering China, Cyprus, Denmark, and Portugal - Developed questions/ ranking system for evaluation - Classical ballot- change to evaluation

Funding Committee- powerpoint: Jiin- shuh Jean (HANDOUT) - Seeks more funding form publishers and industry to support conference - Seek more funding agencies for funding for projects (to IMGA members) - Highlight members in newleatter and send to funding - And to attract new members Comment- proposals will be accepted for 2017, contact Saverio about sending one in. IMGA- SEGH Committee- Chaosheng Zhang - Both societies have a lot in common - Progress to avoid conflict of conference states - Contact from SEGH to IMGA (both positions) - Feel free to contact Chaosheng about ideas, info, etc. - Trying to populate this committee I.
