Chapter Healthcare Financial Management Association Board Meeting Minutes March 18, 2014 Richmond, Hilton Short Pump Meeting was called to order at 3:41PM March 18, 2014 by Tom Henderson, President Tom Henderson General Introductions Tom Henderson Presidents Report Members present: Tom Henderson, Elizabeth Staas, Patrick Miller, Jessica Poston, Lynne Wisehart, Mike McNeely, Shawn Nelson, Dave Karluk, Jennie Bauer, Khalida Burton, Steve Quiriconi, Phillip Graybeal, Dave Karluk and Kyle Fredette. Additional Participants: Peggy Tucker (Monarch), Angela Kite (First Point), Stephanie Ricker (FirstPoint) Tom introduced new Board Members (David Hall and Phillip Graybeal) and FirstPoint staff joining the board meeting. Tom shared Carl Johnson (a Past President) is retiring very soon. Tom reviewed calendar dates of upcoming events and due dates for each area. Discussion of the Member Satisfaction Survey - - we set bar at 60% and achieved 67% satisfaction. This was done via numerous reminders at September 2013 meeting and also via e- mails sent by leadership. Other highlights are that the chapter responded to previous comments from members regarding: incorporating more meeting locations n DC area. Elizabeth cautioned to ensure we have discussions regarding locations and tempering changes to our education schedule. This week s meeting: Jessica shared meeting turnout and session tracking. Jenny commented the chapter trying to please the masses. Shawn commented that meeting notices and marketing seems slim and needs to be increased and he recommended push marketing in lieu of pull marketing. Monarch Peggy Tucker shared hotel pick-up went well, next year s meeting at Hilton Short Pump is 3/10-3/13 in 2015; Fall ask Peggy to seek booking Hilton VA Beach for 2015 and beyond. Calendar Update: LTC is coming up, Past President Reception is Business Casual and be there on time at 7PM, ACTION: Tom to address the survey responses by which committee would be best suited. ACTION: Board to determine if Hilton Short Pump should be contracted after 2015 event Page 1

2 ACTION: Elizabeth to ask Peggy to negotiate Hilton VA BEACH for future years.(very with Board that we want Monarch to negotiate this) Secretary s Report Elizabeth Staas Treasurer s Report Mike McNeely Elizabeth Staas distributed the CBSC current report, Chapter Calendar, CBSC Goals, DCMS Chapter Acknowledgement Report, January 2014 Board Minutes and Current PPT Report. Update: Yerger Awards Lynne submitted Sponsorship Yerger, Elizabeth working on Collaboration Yerger (with MD Chapter) and will have for review by end of week, Jessica working on Provider Participation Yerger and will have for review by next week. All outstanding Yergers on track to be submitted prior to end of March deadline. Documents and current standings were discussed by the group. Chapter Requirements have been met, thus far. The goals, targets and pace for each subcategory were reviewed at a high level. Each subcategory would be discussed in greater detail as each committee chair presented their committee report. Mike McNeely introduced Phillip as incoming Treasurer Financials as of Feb 28 were distributed Currently, there is a health cash balance at $69K Almost $1600 has come in since last report on Feb 28 $7400 in outstanding bills Bottom line Revenue at $53K; cash basis not accrual Jessica asked how do we currently engage registered attendees that did not pay Determined (by Elizabeth s prior experience) Report to come from FirstPoint (or CVent as needed) and be balanced against payments to determine outstanding friendly to participant seeking payment with escalations is typical Lynne stipulated all checks received at conference to go straight to Mike Mike destroyed his Chapter Credit Card Mike made resolution to add Lynne and Elizabeth to Chapter Credit Card and completed paperwork Protested amount of $1000 from Mid Atlantic to be researched for clarification Steve destroyed his credit card ACTION: Mike to collaborate with leadership to research $1000 protested fee and come to resolution Walter E. Summers ACTION: Mike to issue HFMA credit Card to Eliz and Lynne ACTION: Mike to determine if SunTrust offers lockbox for all mail Page 2

3 (scan and documents to designated board members ACTION: FirstPoint to develop exhibitor/sponsor Forms and online payment capability Education Report - Jessica Poston Membership Report Jennie Bauer Publication Report - Patrick Miller Jessica provided that chapter is on track to hit annual education goals. Current estimates for hours was adjusted to allow for higher attendance at this year s Spring Meeting Jessica has allocated time to talk about planning upcoming year and events. Jessica is seeking to record educational sessions and post back to our website. Needed to ask questions on the recorded hours and how one can get CPE credit. Jessica is still looking for more projectors and did purchase two. ACTION: Jessica wants to review budget after Spring Meeting to see about how much to spend and have a more definitive and line item multi-day meeting budget. Jennie reported on Membership Activities Has worked diligently on familiarizing herself with Membership Duties Wants to send Welcome Letter to new members. Jennifer Jones is sending and calling new members Renewal calls Elizabeth provided the most member renewals (2) She has a target # s for 15 new members Jennie will invite all non-members going forward to new member receptions as Future Members We began the year down 89 members and have added 30 members back to the profile in past 2 months Member-Get-A-Member Program ends April 30 and Jennie has asked patrick to add it to website Student Bridge to Membership 106 of 205 student e members (student graduates and joins HFMA at $100/year for first two years) ACTION: Deliver Welcomed at New Member Reception ACTION: Add Member-get-a-member to new website Patrick rolled out new website and the new URL as VADCHFMA.org All present agreed the new website was a great improvement and offered congratulations to Patrick for a job well done The website will launch to public tomorrow Page 3

4 DC Liaison Khalida Burton Sponsorship Report Lynne Wisehart Scholarship Report - Steve Quiriconi Registration Report Kyle Fredette Drawings will be given away and the website is linked to Facebook, Twitter, LinkedIn and has an RSS Feed Data will post to all social websites and be fluid Top Header will change sporadically to provide fresh look Patrick asked all chairs and board to provide fresh data on a regular basis Attendees at meeting will be encouraged to complete survey when they [process their onsite registration Khalida Burton resented update on DC Liaison and how progress is coming. More activities are on the schedule in DC area Quarterly Education/Social Events would be a good addition to keep on a standard schedule Tom explained Khalida s role in getting DC Members more engaged 30 current sponsors = $51,800 in sponsorship dollars. $58K was target previously set. One pending Bronze Sponsorship Siemens as a sponsor could take up to 60 days to be approved and receive payment (additional questions were asked by Siemens through their new and arouse process) New provider Sponsors Levels to register for next year are being discussed (Lynne, Elizabeth) Lynne shared Provider Sponsorship program and plans for future with Board as not all were aware LTC Updates include meeting is 4/26-4/29 and registration for our chapter is good so far. Lynne will send out chapter planning and will need final headcount from our team. ACTION: Lynne, Elizabeth and Jennie to work on new provider sponsorship opportunities for next year. ACTION: Lynne to look into Provider membership Opportunities for next year Steve announced Charmaine Rochester as scholarship award Steve commended team and Dave Karluk particularly in the development and execution of the new scholarship award for certification There was a lot of help on the Spring Meeting from the cochairs Diane McDonald and Kathy Harkness Kyle gave kudo s to FirstPoint with their responsiveness There is a proposal in play for Registration of ALL events via FirstPoint (one day meetings, webinars, etc. This proposal is being reviewed. There are two upcoming networking events (DC and Richmond) Page 4

5 The Payer Summit, April 25 in Richmond is chaired by David Hall and is coming along well ACTION: Kyle to work with Patrick to ensure all upcoming events are put onto new website timely (chapter webinar registration and then share with Board. Certification Report Dave Karluk gave update on Certification Report Dave called National regarding who passed exams in our chapter due to the price of exams being $600 - $700 upfront and then a few more $$ to re-take the exam. National seeing more interest now that testing environment has improved Randy Bledsoe Scholarship to be announced at lunch Thursday with his family members present The RB Scholarship will go into effect and become available June 1.
