1 SHA Officer Position s Presidents (2) Oversees the entire SHA Program. AOD Lead Coordinator (1) Oversees all alcohol and other drugs educational activities. Tobacco-Free Campus Lead Coordinator (1) Oversees all educational activities related to the tobacco-free campus initiative. General Health Lead Coordinators (2) Oversees all general health educational activities. General Health Workshop Coordinators (2) Trains and supervises SHAs doing general health workshops. Fitstop Coordinators (2) Trains and supervises SHAs doing Fitstops. Body Composition Analysis & General Health Special Projects Coordinator (1) Trains and supervises SHAs doing Body Composition Analysis. Assists with general health special projects including Tritons in Motion. Sexual Health Lead Coordinators (2) Oversees all sexual health educational activities Sexual Health Workshop Coordinators (2) Trains and supervises SHAs doing Sexual Health Info Sessions and sexual health workshops. Lead Liaison (1) Oversees all liaison activities and serves as an active member of the Well-being Cluster Student Advisory Board (WCSAB.) Liaisons (3) Serves as the liaison from the SHA Program to other UCSD organizations and departments.
2 SHA Officer Organizational Chart Essential Duties for ALL Officer Positions Dedicate a minimum of 30 hours each quarter to your Officer responsibilities and other SHA duties. Demonstrate understanding of all aspects of the SHA Program. Demonstrate responsibility, accountability, and reliability. Provide leadership, support, motivation, and social opportunities for the SHA membership. Demonstrate excellent communication skills. This includes answering s and phone calls in a timely manner and staying in touch with the Health Promotion Services staff and fellow SHAs as needed. Reporting any SHA Program problems or issues to Health Promotion Services staff. Demonstrate time management skills. This includes being able to effectively keep track of appointments and other responsibilities. Meet with Health Promotion Services staff to review Officer responsibilities, goals, and other topics as needed. Provide a written report/summary to Health Promotion Services staff as requested (not to exceed one report per quarter). Track all hours in your Officer Time Log. Attend weekly Officer Meeting o Required for all lead positions (blue color in SHA Officer Organizational Chart) o Optional for all other positions, though your lead SHA Officer may hold position specific meetings throughout the quarter.
3 SHA PRESIDENTS Be the face of the SHA Program. With the support of the Health Promotion Services (HPS) staff, strategically decide on the heath issues the SHA Program will address and the overall direction of the SHA Program. Support Officers in their duties and stay current on all SHA events and programs. Continue to develop the SHA culture of knowledge, wellness, and community. Serve as principle member for Center for Student Involvement registration. Average time commitment: hours/quarter Desired Demonstrated leadership skills Ability to motivate SHA Officers and SHAs Ability to delegate duties to SHA Officer and SHAs Knowledge of all SHA programs and events Proven ability to build community Strong communication skills Strong time management skills Ability to prioritize the SHA Program as your primary co-curricular activity Duties Meet with the SHA Program Director once a week to give and receive updates on SHA activities and programs. Schedule and facilitate all Officer Meetings. These meetings are used to plan, assess progress, get reports from Officers, and address questions/concerns. Lead the new SHA recruitment efforts (i.e. Chair the Recruitment Committee). Ensure that the SHA Program is addressing relevant college health issues in ways that are proven to be effective. Continue participation in non-officer SHA activities (e.g. various SHA services, committees, etc.). Demonstrate support of SHA programs and services by attempting to attend all major SHA events. Assist SHA Program Director in planning and developing the agenda for the quarterly SHA General Body Meeting. Register SHAs as a student organization with CSI and serve as principle members. Review and understand AS funding guidelines and submission policies (as.ucsd.edu). Review and understand Triton Activity Planner (TAP) guidelines and forms (tap.ucsd.edu). Communicate regularly (weekly or bi-weekly) with all Lead Coordinators to ensure that SHA events, campaigns, projects are properly organized (e.g. funding, reservations, TAP, etc.). Assist in the facilitation and promotion of SHA social events and General Body Meetings. Help identify and troubleshoot any problem that may arise. Make efforts to build community among SHAs.
4 ALCOHOL AND OTHER DRUGS (AOD) LEAD COORDINATOR Under the supervision of the Health Promotion Services (HPS) staff and the SHA Presidents, identify relevant college health issues in the area of AOD and identify effective methods of bringing AOD health messages to UCSD students. Average time commitment: hours/quarter Desired Knowledge of and participation in SHA AOD services Experience in event/campaign coordination and planning Experience in workshop coordination and planning Possess strong time management and organizational skills Ability to prioritize the SHA Program as your primary co-curricular activity Duties Train and oversee SHAs during AOD workshops when necessary. Assist in facilitation of workshops in the event that other SHAs are unable to present. Be willing and able to provide positive and constructive feedback Recruit and motivate SHAs to staff workshops. With support from the HPS staff, identify relevant AOD issues to address with the UCSD student population. Identify the best way to reach the most students with your health messages each quarter. Ensure HPS staff approval on all promotion and education materials used to promote your health messages. If needed, recruit SHAs to serve on a planning committee. Work with SHA Officers, other student organizations, campus departments, and other SHAs to market/publicize workshops and health messages. Submit a summary report to HPS staff for each event, campaign, project, etc. you implement (template given). Review and understand AS funding guidelines and submission policies (as.ucsd.edu). Review and understand Triton Activity Planner (TAP) guidelines and forms (tap.ucsd.edu). If a TAP is needed, work with SHA Presidents or HPS student workers to complete it by the given deadlines Continuously look for ways to improve our current AOD programs. Keep abreast of emerging AOD health topics. Plan at least one social event for the AOD SHAs. Attend the weekly Officer Meeting and report back to AOD meetings.
5 TOBACCO-FREE CAMPUS LEAD COORDINATOR Under the supervision of the Health Promotion Services (HPS) staff and the SHA Presidents, coordinate and oversee SHA projects and events related to the Tobacco-free Campus Initiative. Average time commitment: hours/quarter Desired Interest and support for UC Tobacco-free Campus Initiative Interest in learning about the impact of tobacco-litter on the environment Interest in teaching others about how to approach smokers on campus Experience in event/campaign coordination and planning Ability to prioritize the SHA Program as your primary co-curricular activity Duties Consult SHA Presidents and HPS staff about projects that align with the SHA mission statement and identified needs. Projects may include: Assisting in the A.I.R. (Approach, Inform, Refer) Training Assisting in organizing the annual campus cigarette butt clean-up Plan and implement a project around the Great American Smokeout Ensure HPS staff approval on all promotion and educational materials used to promote your health messages. If needed, recruit SHAs for assistance and participation. Work with HPS staff, SHA Officers, other student organizations, campus departments, and other SHAs to market tobacco-free related projects and events on campus. Submit a summary report to HPS staff for each event, campaign, project, etc. you implement (template given). Review and understand AS funding guidelines and submission policies (as.ucsd.edu). Review and understand Triton Activity Planner (TAP) guidelines and forms (tap.ucsd.edu). If a TAP is needed, work with SHA Presidents or HPS student workers to complete it by the given deadlines. 7 GENERAL HEALTH WORKSHOP COORDINATORS Assist in preparing and overseeing SHAs for General Health workshops. Work with Health Promotion Services (HPS) staff to update existing workshops. Average time commitment: 30 hours/quarter Desired Knowledge and experience in SHA General Health workshops Understand the importance of providing students with correct health information Duties Train and oversee SHAs during General Health workshops as necessary. Assist in facilitation of workshops in the event that other SHAs are unable to present. Be willing and able to provide positive and constructive feedback Recruit and motivate SHAs to assist in workshops. Ensure HPS staff approval on all workshop promotion and education materials Work with SHA Officers, other student organizations, campus departments, HPS staff, and other SHAs to publicize and market workshops on campus. Continuously look for ways to improve our current General Health workshops. Keep abreast of emerging general health topics. Be willing and able to provide positive and constructive feedback (written and verbal) Be in frequent contact with all General Health SHAs as an educational resource and mentor regarding facilitating workshops. Be in frequent contact with your Co-Coordinator regarding development of new ideas. Communicate regularly with the General Health Lead Coordinators to give them updates in your area.
8 FITSTOP COORDINATORS Assist with coordination and supervision of Fitstop. Average time commitment: 30 hours/quarter Desired Experience working at Fitstop or experience working at the Wellness Program Fitness Assessments. Familiar with RIMAC facilities and services. Duties Assist Health Promotion Services (HPS) staff with training Fitstop SHAs during the first few weeks of each quarter by attending Fitstop hours. Attend Wellness Program Fitness Assessments each quarter to supervise and help train SHAs (as your schedule allows). Conduct mid-quarter evaluations each quarter for quality assurance purposes and to provide feedback to SHAs. Be willing and able to provide positive and constructive feedback Work with HPS staff to keep copies of fitness assessments forms and handouts stocked. Help advertise Fitstops. Ensure that Fitstop equipment are stocked, clean, and organized. Help identify and troubleshoot to ensure coverage of all shifts. Be in frequent contact with your Co-Coordinator regarding development of new ideas as well as coordinating communication with Fitstop SHAs. Collect sign-in sheets and return to HPS staff at the end of each quarter. Help oversee any event where Fitstop is involved. Communicate regularly with the General Health Lead Coordinators to give them updates in your area.
9 BODY COMPOSITION ANALYSIS & GENERAL HEALTH SPECIAL PROJECTS COORDINATOR Assist with coordination and supervision of SHAs who conduct body composition analysis. Assist with General Health special projects, including Tritons in Motion. Average time commitment: 30 hours/quarter Desired Knowledge and experience with body composition analysis Interest in physical activity Familiar with SHS and The Zone facilities Duties Train and oversee General Health SHAs who sign up to facilitate body composition analysis at Student Health Services (SHS) and The Zone. Be willing and able to provide positive and constructive feedback Update body composition appointment log every week. Work with Health Promotion Services (HPS) staff to keep copies of body composition analysis forms and handouts stocked at SHS and The Zone. Ensure the bioelectrical impedance machines are clean and in good working condition. Help identify and troubleshoot problems to ensure coverage of all shifts. Conduct mid-quarter evaluations each quarter for quality assurance purposes and to provide feedback to SHAs. Collect sign-in sheets and appointment sheets to give to the HPS staff at the end of each quarter. Assist HPS staff with General Health special projects including but not limited to Tritons in Motion. Duties may include administrative work, creating print materials, and designing related posts for social media. Be in frequent contact with HPS staff. Communicate regularly with the General Health Lead Coordinators to give them updates in your area.
10 SEXUAL HEALTH LEAD COORDINATORS Under the supervision of Health Promotion Services (HPS) staff and the SHA Presidents, identify relevant college health issues in the area of sexual health and identify effective methods of bringing health messages around these issues to UCSD students. Oversee Sexual Health Workshop Coordinators. With the help of HPS staff and the SHA Presidents, troubleshoot any problems in these areas. Provide updates from your direct reports at the weekly Officer Meeting. Serve as principle member for Center for Student Involvement registration. Average time commitment: hours/quarter Desired Knowledge of and participation in SHA sexual health services Experience in event/campaign coordination and planning Possess strong time management and organizational skills Ability to prioritize the SHA Program as your primary co-curricular activity Duties With support from the HPS staff, identify relevant sexual health issues to address with the UCSD student population. Identify the best way to reach the most students with your health messages each quarter. Coordinate and implement a World AIDS Day event during Fall Quarter. Ensure HPS staff approval on all promotion and education materials used to promote your health messages. If needed, recruit SHAs to serve on a planning committee. Work with SHA Officers, other student organizations, campus departments, and other SHAs to market/publicize your health messages. Submit a summary report to HPS staff for each event, campaign, project, etc. you implement (template given). Review and understand AS funding guidelines and submission policies (as.ucsd.edu). Review and understand Triton Activity Planner (TAP) guidelines and forms (tap.ucsd.edu). If a TAP is needed, complete it within the given deadlines. Keep abreast of emerging sexual health topics. Communicate regularly with Sexual Workshop Coordinators to get updates from their area. Provide support as needed to workshops including Sexual Health Info Sessions. Be willing and able to provide positive and constructive feedback Meet with your Co-Coordinator at least once a week to plan for the upcoming week and ensure that you both are on the same page. Meet with HPS staff weekly (as needed). Attend the weekly Officer Meeting.

Duties Assist HPS staff with training SHAs for Sexual Health Info Sessions. Conduct mid-quarter evaluations for Sexual Health Info Session SHAs each quarter for quality assurance purposes and to provide feedback to SHAs. Ensure that Sexual Health Info Session brochures, education materials, and kits are stocked. Update Sexual Health Info Session script as needed. Help identify and troubleshoot problem areas to ensure valid information and resources are being presented. Assist in facilitation of Sexual Health Info Session shifts and workshops in the event that other SHAs are unable to present. Be willing and able to provide positive and constructive feedback Recruit and motivate SHAs to assist in workshops Train and oversee SHAs during Sexual Health workshops as necessary. Ensure HPS staff approval on all workshop promotion and education materials. Work with SHA Officers, other student organizations, campus departments, HPS staff, and other SHAs to publicize/market Sexual Health Info Sessions and workshops on campus. Continuously look for ways to improve our current Sexual Health workshops. Keep abreast of emerging sexual health topics. Be in frequent contact with all Sexual Health SHAs as an educational resource and mentor regarding facilitating workshops. Be in frequent contact with your Co-Coordinator regarding development of new ideas. Communicate regularly with the Sexual Health Lead Coordinators to give them updates in your area.
12 LEAD LIAISON Oversee all liaison activities of the SHA Program. Serve as the SHA representative for the Well-being Cluster Student Advisory Board (WCSAB). Oversee all Liaisons. With the help of Health Promotion Services (HPS) staff and the SHA Presidents, troubleshoot any problems in these areas. Provide updates from your direct reports at the weekly Officer Meeting. Average time commitment: hours/quarter Desired Previous experience with liaison duties Experience with leading a group of people Proven ability to make connections with other organizations Possess strong time management and organizational skills Ability to prioritize the SHA Program as your primary co-curricular activity Duties Mandatory attendance at WCSAB meetings as the SHA representative (Mondays from 5:00PM-6:00PM on Weeks 2, 4, 6, and 8 of each quarter). Serve as one of the Liaisons as needed. Plan and facilitate regular meetings for all Liaisons. With the help of the Liaisons, identify organizations, spaces, and departments that the SHAs can reach out to. Be willing and able to provide positive and constructive feedback Inform HPS staff and Presidents of any educational needs among the areas we liaison with. Notify WCSAB of SHA services, events, and campaigns. Attend the weekly Officer Meeting.
13 LIAISONS Serve as the liaison from the SHA Program to the campus community. Average time Commitment: 30 hours/quarter Desired Familiarity with the College and The Village spaces Familiarity with the Campus Community Centers Familiarity with Greek Life Proven ability to make connections with other organizations Duties Establish contact with student organizations and departments to introduce yourself as their contact person for the SHA Program. Attend RA meetings as needed to inform them of upcoming SHA events, activities, and workshops. Assist SHAs by posting and delivering flyers to various spaces on campus including but not limited to Residence Life Offices, various Centers on campus, dining halls, etc. Establish contact with college-wide newsletter writer for purposes of promotion of SHA activities and events. Be present during Welcome Week (Week 0) of Fall Quarter for tabling events taking place across campus. Inform HPS staff and SHA Officers of the health needs of our campus community. Communicate regularly with the Lead Liaison to give them updates in your area.
