4 NEW MEMBER ORIENTATION & RETENTION PLAN: Prior to joining, each prospective member and their sponsor has a Poolside Chat with a past club president to review all aspects of becoming a member of our club. At this meeting the past president reviews our Club Membership Handbook, which is a 20-page tool to help the prospective member understand everything you wanted to know about Rotary but were afraid to ask. (This Membership Handbook is updated each year and every member in our club receives an electronic or hard copy at the beginning of the Rotary Year.) Once inducted and receiving their New Member Red Badge, the new member receives a Homework Assignment which is to meet with the individual chair of each Avenue of Service. During these meetings the Chair outlines the details of his/her committee and is available to answer in-depth questions about how our club participates in this particular avenue. Also included in the Homework Assignment is to serve as a Greeter at a Meeting, attend a club social, and attend a club service project. Once the new member has completed their homework the President presents the new member with their Official Blue Badge during a club meeting. The new member is also assigned a mentor who is different from their sponsor. MEMBERSHIP TEAM AS AN AREA OF FOCUS: Membership Development was one of the 3 Areas of Focus that resulted from the Club s 3-year Planning Session held last Spring. The Membership Development Committee was formed of the President, the President Elect and a member at large. Plans were to zero in on the Tech Park, which is where the President has offices and generate a list of potential businesses to approach for a Business/Shared Membership. The team planned to present a presentation/talking points with selected individual businesses and also wished to identify young professional groups and visit those groups; those plans are still in progress. INCREASED DIVERSITY IN MEMBERSHIP: Our newest inductee is a member in her 40 s with two small children; her addition of one of our two new members has increased the diversity of both age and gender in our club. CLUB BROCHURE AND PROSPECTIVE MEMBER FOLDER: Each year we revise our club brochure, which is displayed in a plastic holder at our meetings and whenever we are at events where we have a table. This brochure outlines particulars about our club, meeting time, location, officers contact addresses includes a description of our many club projects and photos of club members in action. At our club meetings we always have a Prospective Member Folder available, which includes our club brochure, the What Is Rotary publication, a Rotary Basics magazine, an issue of the Rotarian Magazine and a club calendar for the month. BREAKFAST INVITATION CARDS: We have a customized program whereby every member is provided with business-sized Breakfast Invitation cards to carry with them. The invitation cards invite the receiver to come and experience our club meeting as no cost i.e. FREE. TRAVEL BADGES & CLUB AND DISTRICT SHIRTS: Every member receives a Travel Badge upon induction. We encourage the members to keep their Travel Badge in their car so it can be are worn when out in the community for club activities. All club members proudly wear their Travel Badge and either their club or District shirt when working on events in the community, CONTACT US LINK ON WEBSITE/FACEBOOK PAGE: Our website is very user friendly for prospective members. There is a Contact Us link, which goes directly to the secretary and there is a Prospective Member form than is linked as a download on our Website. Our club secretary also posts photo pages of upcoming and recent events on the Rotary Clubs of Maui Facebook page. LOCAL BRIEFS IN THE MAUI NEWS: Each week there is published in the Community Section of the Maui News a blurb of our upcoming meeting, speaker, topic, location and cost of breakfast. Numerous times throughout this year local people have come to our meeting to hear the speaker. As a result, each local person is met by our Visitor Hospitality Host and is seated with a member of our club to talk story and follow-up if interest in the club seems to be a possibility.

6 District 5000, Hawaii AWARDS SUBMISSION FORM Rotary Club of Narrative description Membership Development Award The Membership Committee Chair was established as a Board position with a change to Club Bylaws, and a four person membership committee was created in June 2013 all as a consequence of our April 2013 strategic planning meeting. In July, 2014, before implementing any changes, the Chair conducted a membership survey of the entire club, receiving responses from 98% of the members and a resigning member questionnaire was implemented. Based upon survey responses, a program was begun to refresh the knowledge of the members in areas such as proposing a new member and alternative ways of maintaining attendance requirements. This information was disseminated through Membership Moments at meetings, articles in the Club newsletter, and personal s from the Chair. The Fireside Chat was updated, streamlined, and renamed the Seaside Chat. A new Member Manual was designed and implemented in July. It is presented to all new members at their induction. The Club sign-in sheet was also revised to more easily follow up with visitors and send thank you for attending notes. Each visitor is now presented with a shell lei by the greeter in order to make them identifiable for welcoming by the other Club members and to encourage interaction with potential new members. In conjunction with the Club Service Chair, some meetings were changed to Pau Hana and offsite field trips to not only attract new members but to also help build interest and camaraderie within the current membership. In conjunction with the Vocational Services Chair, missing demographics among club membership were identified and a vocational targeting program implemented. Since that time, we have added several missing vocations, inducted our first corporate member and our first member under the age of 30, greatly enhancing both our age and vocational demographics. The Ignite Worksheet was maintained and updated by the Membership Chair and the results periodically reported to the membership. The Club reached Ignite Premier Status in Aug In order to better publicize the Club s accomplishments a portable Vertical Banner was designed by the Community Service and Membership Chairs, highlighting our club accomplishments with pictures and text. It was designed to be used at all offsite events. The Membership Committee also designed an Ask Me about Rotary business card for distribution by all members. We have had two membership socials and two simple pau hanas this Rotary year. Our February 15 th Membership Social resulted in our two newest members. This brings our net membership total from 22 to 28 in just 8 months a 27% gain in membership All of our new members are serving active committee roles, with one new member having stepped up to become Vocational Services Committee Chair when a member had to depart Kona to resolve medical issues. As part of our Retention Program, Membership Chair in coordination with Club President, designates a Rotarian of the Month who is presented with a recognition pin, for their outstanding contribution to the Club.

8 Membership Development C1 Since moving our club meetings into the smaller room, it has provided us an intimate space for us to really get to know each other as members/guest alike. We continue to find opportunities to make the experience a welcoming inviting place to order breakfast prior to our club meetings and conducting Rotary business each week. Membership this year has been extremely a challenge for our club. We now have shifted our focus on membership retention strategy. We formed a MEMBERSHIP COMMITTEE OF FOUR to assist us with our retention efforts. We unfortunately lost our Membership Chair. A group of current members stepped UP to assist/support the club. Our club secretary led the way and we formed a membership committee of 4 as follows: Lora Baysa (PR Club/Runner), Katrina Dangleman (PR Face- book), Cherise Antoque- Tilton (Club Social), and Jane Lawton (Membership Ignite Chart). These individuals assisted us in getting our message out to the community by using social media, assisting in getting a social drive, inviting new prospective members, and tallying ignite points for the monthly chart. Our main objectives were to retain our existing club membership, coming up with creative ways to keep our club from losing any more members, and to obtain new members. This is a start to keep our club active and together. The Membership Committee s main focus was to retain our existing active club members. Using the information gained from our club survey, the committee focused on member fellowship. The people in our club are the main reason why our members joined and have remained. The Ohana spirit that was created by our charter members has been the root of our club s success and strength. Nurturing this ohana spirit helps our members to search for new potential members. The team put together a FUN MEMBERSHIP drive and social meeting. All Rotarians were asked to invite one or more guest, family, friends, and business partners in the community. This provides the club to showcase what we do for the Mililani community and to bring awareness of Why we joined Rotary and Why we continue to stay in Rotary. We also awarded the 2014 Business of the Year Award to the Mililani YMCA Director, invited their members, superiors and awarded them with a PHF Certificate of Appreciation and Club Business of the Year Certificate. We also invited them to join our club as our first Corporate Member. The Ignite point program has helped us to maintain the membership in our club today and we continue to make it fun counting points. We have adopted NEW Corporate Membership initiatives and continue with our Friends of Rotary Programs. Friends of Rotary are individuals who have limited time to actively participate in Rotary Projects, club meetings and have limited financial means. Friends of Rotary pay $25 annually; they receive The Rotarian, get a club work tee shirt and Friend of Rotary Pin. We currently have three friends of Rotary who someday will be a full club member when time/finances allows.

A narrative follows: Yes No Submission Deadline: 1 April 2014 Narrative for Membership Development (C1) for : Our Club continues to host regular (at least quarterly) membership recruitment potluck meetings where members invite their new contacts to attend and join our Club. The program is often tied to our annual award ceremony when the Club presents an award to a resident of the Puna community for the above and beyond service to the local community. Sometimes it is held at our installation dinner, and sometimes it is held on a holiday at the beach or zoo. During these meetings information about our club is made available through brochures, slide shows, or Club member s personal presentations. We are an Ignite Program Club. Although we didn t reach our proposed annual goal of 5 members, we did recruit 3 new members this year, encouraged their active involvement in committees, and acheived positive net growth figures for the Club. For the past two years our Club Retention has almost been 100%--lost one member Our new members diversified our Club membership in terms of age, gender, and classification. They were all younger than our average of club members and included a municipal clerk, a power plant manager, and an auto parts store owner/manager.

11 Membership Narrative 3/26/14 We have a very small club that has finally identified our purpose, which is to support and create resources for healthy Ohana. It s a broad umbrella, but it has helped us focus our recruitment in a specific direction. This was done with a 2014 strategic planning session for the club. Each member of our club is tasked with inviting and nurturing prospective members. We are already a very diverse group ages range from 26-75, ethnicity, gender and GLBTQ. Our newest members fill a gap in our age range and add two new cultures to the mix. Even better, their 11 year old twins are becoming an active part of our club. We hosted a joint meeting with the Maui club to meet our current Peace Fellow and our fundraiser was working at the Maui County Fair. The biggest change we are incorporating is including youth in our meeting format. They participate by ringing the bell, leading the four way test and the flag salute. They participate in planning and implementing service and vocational projects. We listen to their ideas and value their insight and energy. This gives our club a unique niche that is attracting interest and attention. Our best recruitment has been to connect with a large BNI club on Third Thirsty Thursdays as part of our monthly Pau Hana meeting. We are nurturing three potential members from this connection.
