7 REPORTS ADMIN REPORTS: Chair Report Apr 27, 2013 I would like to welcome everyone to the April Chinook Area Service committee meeting and I hope that we can have a smooth and productive meeting today. A couple of things were asked of the during this term as the acting chair and I have been able to complete and find out the following information with the assistance of other members in the fellowship 1. In respect to the P.I. phone line and Medicine Hat. Dave C sent me the attached information which I will read and then it will be what I understand a function of the new H.O.P.E. committee to work this out and decide what or how to handle this moving forward. 2. The phone line advertising in Medicine Hat. As for the advertising in the phone pages in Medicine Hat Ed S our acting Treasurer looked into this and we did receive the service with the information as follows. 3. An N.A. group in Cranbrook is trying to follow up on a literature order that they mailed in with a money order which I believe Marla and I discussed. Ed S and I discussed this as well and I thought it was dealt with, however, Rob B has now contacted me and the group is still looking for clarity and the possible return of the money order and the order. This is my second to last meeting as the Chinook Area ASC Chair with my last being next month at the Lethbridge Chinook Area ASC. In Service Greg B. from Dave C Hi Greg I spoke with Rob about the Med Hat phone line account and he gave me the account information that is attached to this . Apparently, a few years ago Bonnie combined the Calgary and Med Hat cellphone accounts into one account and by doing so, saved quite a bit of money. He said that Rogers required a VISA account to guarantee the monthly bills so Bonnie used hers. So the result is that Bonnie s name is also associated with the Calgary phoneline account as well as Med Hat s. If it is okay with you, I can contact Rogers and speak to a Manager or VP to see if they can change this arrangement give the type of organization we are. Maybe we can simply put down a deposit instead of having someone s personal credit card guaranteeing payment. Let me know if you need a hand. Regards Dave C Just got and update from Rob. He says the Area (Treasurer) pays the Rogers bill each month. PI dos not. Ed must have meant the phone bill get paid by the Treasurer but the funds come out of the PI budget. Vice Chair Report April 27, 2013 I am an addict named Bill. This past month flew by. This past month about all I did as Vice Chair is attend the HOPE sub committee meeting and the workshop that followed. At the last ASC I attempted to fill in for the duties of secretary. It is my fault the minutes were not ed out in the usual 2 weeks time frame. I also have made an amendment to the minutes. 8 Treasurer s Report Verbal Report Secretary Report Apr 27, 2013 Hello Fellow ASC Members First of all I would like to thank Bill K for stepping in and doing an amazing job taking minutes at March s ASC. If anybody has ed me with requests in the past two months, I apologize for not getting back to you. There are a number of hard copies minutes on the table. Hopefully there is enough to go around, as I m not sure an distribution went out. Please be sure to add your name and address to the attendance sheet. This will ensure an accurate attendance count. And also ensure that you receive a copy of today s minutes. As reported to the ASC in Lethbridge in February I am still considering if I am willing to continue as the ASC Secretary. Also, I have been approached a number of times if I would be willing to stand for the Treasurer s position. Currently I am the treasurer for our upcoming Convention on the May long weekend and I am feeling overwhelmed with multiple service positions and much change in my personal life. Once the convention is over I will be in a better position to decide which, if any positions I am willing to stand for. I also struggle with travelling out of Calgary 2 out of every 3 months to ASC. I appreciate the reasons for holding the ASC in other cities, but personally I am unsure if I am willing to continue with that commitment. For the time being, I will take names for people willing to take a passenger or two to out of town ASC s and people looking for a ride. I do have several people on the list willing to car pool so if you are a GSR without a ride get your name on the list and I will put people in contact with you to make your arrangements. Yours in service Barb S ASC Secretary RCM Report: April 27, 2013 I m an Addict and my name is Laura The position of Regional Secretary is open for nominations at the March RSC election will be held at the June RSC. One nomination came forth and it is Roxanne K and she will be standing for a second term as Secretary fro the Region. Secretaries Duties and Responsibilities: Clean time requirement is 3 years Take accurate minutes of the RSC meeting. Distribute the minutes (14 days) after completion of scheduled RSC meeting via to all RSC participants. Make available 6 hard copies of the current minutes and RSC policy, and 16 motion forms at every RSC meeting. Maintain all Policy and Procedure documents ensuring amendments are promptly incorporated and recorded in the Policy Log. The RSC Secretary will maintain a stock of the "Introduction Guide for New RCM's If anyone is interested in the position please see me after the meeting. The position of Fellowship Development Representative (FDR) for the Chinook Area is opened. The RSC is looking into the viability of the Fellowship Development Committee (FDC). As there is only one FDR attending the RSC. 2 I have a motion to be brought forth today from the Region on The FDC. PROPOSAL made by: Chris D, Central Sask RCM/Alt: ASC Minutes Apr27/13 Page 8 of 14

9 To make a Contribution of $2000 to WSO and $2000 to CANA/ACNA The above contribution is in addition to the RSC s normal Contribution. That is calculated based on RSC revenue: $ & $ from Peace Area, $ from Edm Area = $ RSC recalculates its WSO and CANA/ACNA contribution based on 10% of revenue to each body = $ for this contribution. Total Contribution will be $3, to WSO & $3, to CANA/ACNA Straw Poll: Strong Support Result Carried The PI Coordinator has requested The Public Service announcement (PSA) tapes and I have brought them with me today to give them to Ravi P. The position of Regional Committee Member Alternate (RCM Alt) is available. Must be willing to travel to Lloydminster every four months. This is a mentorship position. The clean time requirement as out lined in the Chinook Area P&P is 4 years. A float of $ will be given to the RCM and RCM Alt is to bring receipts and reconcile with the Treasurer at the ASC. No addict who takes on this kind responsibility will be out of pocket for expenses to the Region. The AL-SASK Region website address is feel free to visit the website. The Region has a Newsletter and the first addition has been posted on the Regional Website. I have also brought a few copies with me today. ARCACNA IV held in Calgary this year, the Region will be holding their second annual GSR Assembly. The Region will give all attending GSR s support of $50.00 of the cost of the full package convention ticket which is $80.00 (a sweet deal) if a GSR only purchases a basic ticket for $30.00 the GSR will be given $30.00 for attending the GSR Assembly. There is a sign up sheet going around all GSR s please put you name down if you plan on attending the GSR Assembly whether you want support or not. Lastly, Convention Season has started; the next conventions are as follows. Central Sask. CSACNA XXVII April The Heritage Inn in Saskatoon. This weekend Southern Sask. Area SSACNA XXVIX is August 16-18, 2013 more will be revealed. Edm. Area EANAC XXVIII May 31-Jun 2, Kilkenny Hall Canadian Convention. CCNA XXI is September 27-29, Four Points by Sheraton in Edmonton If anyone has any questions please do not hesitate to ask me and I will do my best to help you. Thank you for allowing me to be of service to the Chinook Area. Laura M. Chinook Area Regional Committee Member (RCM) Group Reports: The New You Group GSR Report I m an addict and my name is Laura. The New You has decided to close its doors after 5yrs. The decision was decided due to lack of home group support. 2 group members have been keeping the doors open and have been holding all the positions. As the Treasurer I have brought with me the 7th Tradition it was decided that after the rent for April was paid all remainder monies will be contributed to the Area. The New You group has a total of $ plus $10.00 US The Campout The New You hosted last year brought in $75.32 plus $1.00 US. $ rent for April. Total $ Plus $11.00 US. 10 We are selling our literature to another Group the monies from that will be contributed the Area. We donated our coffee and coffee supplies to my new Home Group. Our Starter Kit will be donated to a small town in the Queen Charlotte Islands on the coast of BC. A member of NA will be visiting the Area in June and taking the starter kit to them. I contacted the webservent and have asked to have the meeting removed from the meeting list. I would like to ask everyone here today to spread the word that this meeting is closed until new meeting list are distributed without this group on it. I have enjoyed the ups and downs of being committed to this group for the last 5 years. I am grateful for the opportunity. I look forward to serving my new home group. AD HOC HOPE CHAIR S REPORT Chinook Area Service Committee April 27, 2013 I am an addict and my name is Dave. I have presented a HOPE Structure workshop before the February 2013 ASC in Lethbridge, the March 2013 ASC in Medicine Hat and just prior to this ASC in Calgary. HOPE held its first service orientation workshop on April 13/13. Twenty-two people attended including all of the sub-committee coordinators. It is strongly recommended that anyone who wishes to speak at a H&I venue, wants to answer the NA Helpline, wants to go on an Outreach trip or wants to become part of the Activities sub-committee attends the service orientation workshop. If someone wants to hold an elected position at HOPE they must attend this workshop. The current sub-committee coordinators are: H&I Greg B. Outreach Fred M. PI Ravi P. Activities Ty G. (has stepped down) HOPE Admin Trusted Servants are: Chair Dave C. (Ad Hoc) Vice-Chair - Wayne B. Secretary Charli H. Treasurer Vacant Sub-Committee Literature Co-ordinator position not defined yet At the March 13/13 HOPE meeting Marla J. was elected as Area Phoneline Project Leader. Additionally, our HOPE Vice-Chair is contemplating acting as Treasurer and temporary Sub-committee Literature Co-ordinator until these positions are filled. ASC Minutes Apr27/13 Page 10 of 14

11 The following is a complete summary of the Chinook Area s service activities since the March 23/13 ASC: HOSPITALS & INSTITUTIONS H&I continues to provide panel presentations to: Renfrew Detox, Sunrise Treatment Centre, Lander Treatment Centre, Calgary Young Offenders Centre, Alberta Health Services Youth, Aventa Treatment Centre and Ladies Remand. H&I is still looking for someone to take on the position of Men s Remand Project Leader. The H&I Co-ordinator has been in contact with all project leaders that organize panel meetings in the venues that we support. They need additional trusted servants to fill the position of project leaders in the following facilities: Renfrew, Lander, CYOC, Alberta Health Services-Youth and most urgently at Ladies Remand. H&I really needs someone with the required clearance to help out at Ladies Remand. The person who is fulfilling that project leader role is doing so alone which is not the way H&I wants to carry the NA message into that facility. OUTREACH The Outreach Sub-committee went on its first trip. Six addicts traveled to Drumheller last Friday, April 18/13. Due to financial considerations, in future, Outreach will only be taking one vehicle on out of town trips. Outreach would like to set up Outreach satellite sub-committees in both Lethbridge and Medicine Hat. This new model would see addicts from those two major centres support small groups in their local area rather than depend on a sub-committee based in Calgary t to travel to support these groups. If this model is successful these small groups would be visited more often which could generate a stronger sense of unity throughout the entire Chinook Area. It would also be cheaper for satellite sub-committees to travel to some of these small groups rather than driving from Calgary. If any groups, either in a major centre or outside of a major centre, need support please contact the Outreach Coordinator at fredmcgaughey@yahoo.ca. PUBLIC INFORMATION Medicine Hat Phoneline At the March 2013 ASC a GSR from Medicine Hat pointed out four issues with the Medicine Hat NA Helpline: a) that the Helpline is no longer being answered by members of the previous phoneline committee in Medicine Hat, and b) that the Medicine Hat Helpline number is not listed in the Medicine Hat White or Yellow Pages, and c) that the Rogers cellphone account related to the phone that was being used by the previous Medicine Hat phoneline committee is in an individual addicts name, and d) the helpline cellphone has gone missing. This addict would like to form a new phoneline committee in Medicine Hat whose members would be prepared to participate in a phoneline workshop to learn how to answer an NA Helpline and would be prepared to purchase another cellphone to activate using the existing Helpline telephone number. His main concern was the cellphone account being held in an individual addict s name rather than in the Chinook Area s name. The Area Chair committed to this GSR that he would look into the Rogers cellphone account to see if it could be switched into the Area s name. After speaking with members and doing a little research I discovered that: ASC Minutes Apr27/13 Page 11 of 14

12 a) the Helpline is not being answered nor does anyone return a call if you leave your name in the voic . There is an outgoing message that gives the caller the time and location of the Medicine Hat meetings but it is out of date, b) the Medicine Hat Helpline number is not listed the either the White or Yellow Pages in Medicine Hat however, the Calgary Helpline number is listed in both. c) the Rogers cellphone account for both Calgary and Medicine Hat is in the same individual s name. After speaking with the former PI Chair, I found out that this individual consolidated our Calgary and Medicine Hat Helpline cellphone accounts into one account and got a lower monthly rate. We currently pay in total $67.00/month for the two cellphone accounts. Rogers has informed me that there may be a way to have the accounts transferred into the Chinook Area s name. d) I contacted the former Medicine Hat phoneline co-ordinator who indicated that she has no idea where the cellphone is. Website The PI webservant, who has held this position for several years now, will be stepping down from this position. The webservant is willing to provide a 3 month transition period to help anyone who steps into this position. Phoneline Marla J. is the new phoneline co-ordinator. There is an orientation available to anyone who would like to carry the phone. There is a one year cleantime requirement as well as a solid knowledge of NA s 12 Steps and 12 Traditions in order to carry the phone. PI is also looking for volunteers to respond to 12 Step call requests that come into the Helpline. Public Service Announcements (PSA s) PI has obtained a PSA with the Chinook Area s contact information listed on it free of charge from the AL-SASK Region. PI is in the process of making the required applications in order to air the PSA on selected TV stations. Meeting Lists An addict has stepped forward to be willing to be nominated for the Meeting List Project Leader position. New meeting lists have been printed and are available at the ASC today. 5 th Addiction and Mental Health Showcase in September You may recall that the Canadian Assembly of NA had asked for our Area s help in participating in a conference for professionals that was to held in Calgary. HOPE had agreed to supply volunteers and was going to present a motion at this ASC to help pay for literature for this event. The conference has been cancelled by the organizers. ACTIVITIES The Activities Chair has stepped down from his position. The Open Mike Night was a success. 68 people attended. Activities made a profit of $ from this event. There were some issues regarding the use of NA language and the use of cameras and video cameras at the event that Activities is dealing with. 13 ARCACNA IV TOGETHER WE CAN - CARRY THE MESSAGE CONVENTION COMMITTEE CHAIR REPORT April 27, 2013 Hi all, I m an Addict and my name is Laura. All is going well and everything is moving along and on schedule so far. The committee is starting to meet once a week now till the convention. Tickets are for sale and I have tickets with me today if anyone is interested. Donna K, Dave C, Fred M, Barb S, Marla J, and Tim R all have tickets for sale as well. There is approximately 3 weeks left until the convention and full package tickets will only be available for sale until one week before the convention. The hotel will need to know how many people who have purchased full packages for the catering department to plan and prepare the dinner and breakfast buffets. Basic tickets can be purchased at the door during the convention. The committee has decided that we will be sourcing out to another Area within the Al-Sask Region to sell literature at the convention, as the Chinook Area does not have a Literature Chair. As per this Area s group conscience the entire literature inventory is to be sealed in the storage facility until a chair has be appointed. If the Programming committee does not get someone from another Area to sell literature there will be no literature sold at this year s convention. Dave C is arranging billeting if anyone is interested or knows of anyone please contact Dave. The Convention has set aside some hotel rooms at a rate of $ per night plus taxes. I know these rooms are going quickly. Please contact the Royal Executive Inn at to book your room. Coffee and tea service will be provided for the entire convention. There will be a country style breakfast buffet on Saturday and no breakfast buffet on Sunday The meal for Saturday evening will be a Buffet. Ticket prices are as follows: $80.00 Full Convention Package $30.00 Basic Package The dinner Saturday night will be a buffet. The following menu is what the committee agreed on: Silver Dinner Buffet - Salads (Tossed & Caesar) Chef s selection of three additional Deli Salads, vegetables & dip. Carved selection AAA Alberta roast beef Hot Entrees Vegetarian lasagna and Italian chicken Vegetable option Vegetable medley Starch option Steamed garlic dill potatoes Dessert Fresh Fruit Mirror, Dessert Island, Coffee and Tea Saturday will be the Breakfast Buffet Country Style Buffet This is very different from previous years. The reason the committee decided on Saturday when we had our Chinook Convention there 5 years ago there was lot confusion. The hotel has a Big Brunch buffet on Sunday mornings. The committee wanted to avoid the confusion this year. There will be Auction Saturday night as well as convention t-shirts and jackets for sale. There will be a GSR Assembly the Region will be holding and the Region will pay for all costs associated with this Assembly. I have given information on this in my RCM report. This will be my final report before the convention. Up coming Convention Committee dates are as follows: April 30, 2013 May 07, 2013 May 14, pm at the Executive Royal Inn Street N.E., Calgary Please come out and support this year s convention.
