1 CLF (CLIFF LANE FRIENDS) INFORMATION BOOKLET
2 What is CLF? CLF is the Cliff Lane friends. This organisation was established in September Who are CLF? CLF is a voluntary organisation of and members of the community who work together for the benefit of Cliff Lane primary school and its community. What are the aims of CLF? CLF has three main aims: To improve the Cliff Lane Community. To organise events as agreed in the CLF calendar. To raise funds to provide our pupils with new opportunities. Who is in CLF? All and members of the local community are members of CLF and welcome to attend meetings at the school. Meetings are held every half term at school. These meetings can be alternated between coffee mornings and evening meetings to accommodate working parents. We are happy to review this as necessary. The chair will need a core team to keep all paperwork to date. This core team will meet with the Principal, Senior Administrative Officer and Learning Mentor every half term.
3 What events do CLF organise? The table below gives an overview of the events CLF organises in an academic year. Because our have a wide and varied range of skills/talents individually and/or collectively they take responsibility for organising different aspects of CLF events. AUTUMN TERM (Sept-Dec) SPRING TERM (Jan Apr) SUMMER (Apr Jul) General Coffee Morning meeting for all / new Halloween Discos Fireworks Night Christmas Fair General Coffee Morning for all / new Valentines Disco Ladies Pamper Evening Easter Tombola General Coffee Morning for all / new Bouncy / games afternoon Summer Fair We cannot run the CLF events without the support of the parents and teachers. If you would like to become a volunteer helper for any events that we organise please contact any of the CLF team via the school office. Also, if you have an idea for fundraising for the school or an event that you and others would like to see happen at the school please do mention it again to any of the CLF team or at one of the coffee morning meetings we hold.
4 CLF CALENDAR OF EVENTS AUTUMN TERM TERM EVENT OBJECTIVE/PURPOSE ORGANISATION/NOTES AUTUMN 1 General meeting for all/new Welcome new parents to the school Welcome to the new school year Introduce CLF leaders Explain CLF including aims and objectives, to look through accounts and last year events before Clarifying events for the coming academic year Coffee morning in late September Set out objectives for the year, including fundraising focus Agree dates on calendar for year ahead (meetings, events etc) Ask everyone what strengths they have to offer which areas/events they are interested in helping with Put all dates in school diary AUTUMN 2 Halloween Discos For the children to celebrate a popular time of year with their friends and raise funds for the school at the same time. Meet with Fire Service to go through/amend fire safety plan. Carry out walk around to check escapes in the event of a fire/emergency. Check school diary for available dates. Confirm options with Principal. Create tickets/posters and letters to inform parents of upcoming event. Ask for volunteers to help with ticket sales and overall running of event. Add event information to Newsletter beginning of October along with confirmation of ticket sale dates. Ask office staff to send reminder out via to all parents advising of ticket sale dates and location. Treasurer to arrange floats for both ticket sales and events. Stock take and purchase needed equipment/refreshments. On event day, ensure all volunteers are present for fire walk around, briefing and have read safeguarding document in line with the school s safeguarding policy. All volunteers to sign sheet to confirm they have understood this. Run event, have fun!!! 5 Reception Christmas party look through accounts and last year events before clarifying events for the coming academic year. To provide the children with a party bag for the festive season. Buy organise party bags/snacks for the party Organise 1 st aider for the event Confirm date with Reception Phase Leader Discuss contents and numbers for party bags with Reception Phase Leader Purchase equipment/confectionery. Make up party bags prior to event. Deliver to School. Christmas fair To create and further develop our sense of community whilst celebrating the festive season. For pupils and families to enjoy themselves To raise funds Check school diary for available dates and confirm with principal and confirm non uniform dates for raffle donations. Once date confirmed, create stallholder booking form and advertise event on website and social media. Have copies in the office for parents wanting to have a stall. Add date to newsletter and request volunteers as required. Request luxury items from staff for 2 nd prize hamper. Committee to meet to source raffle donations and decide on top three prizes. Design and print fair programme and poster for advertising. Design and Order Raffle Tickets. Ask Post Office if they display raffle tickets for sale, if confirmed once tickets received drop some off. Sort date to stuff envelopes Send tickets out Friday 24 th November 2017 to be back by Friday 1 st December. Collect money and tickets from office and PO Hang Banner up on railings with amended date. Add Non-uniform dates to newsletter, send to parents confirming these 2 weeks prior to fair. Cellar stock take for Fair. Check with school council regards enterprise ideas Admin for fair signage. Send to parents advising of Competition for programme cover for both Key stages. Create template for Programme Competition, send out via book bags on Monday 27 th November.
6 Put Christmas Fair Poster in staff room as a reminder of event date. Arrange with Site Manager number of bins available and request they are put in various locations for visitors to use. Update details and check licences are in date via Nicky Beecham (Licensing Ipswich BC). Order Santa s Grotto Gifts Wrap Gifts and organise into age/sex boxes. Check Santa s outfit is clean and ready for use. Sort elves with Santa Draw up schedule for Santa visits. Sort donations from Non uniform days. Take before photos of any classrooms being used.

Gather ideas from parents. Collect feedback on previous term events. To create and further develop our sense of community. For pupils and families to enjoy themselves To raise funds CLF Committee to present plans for Speciality Event to and gather opinions. Volunteers signed up to ensure there are enough people to make it successful To be held on Friday 9 th March to coincide with Mother s Day. Valentines Disco For the children to celebrate a recognised time in the calendar year. Raise funds for school whilst having fun! Meet with Fire Service to go through/amend fire safety plan. Carry out walk around to check escapes in the event of a fire/emergency. Create tickets/posters and letters to inform parents of upcoming event. Ask for volunteers to help with ticket sales and overall running of event. Add event information to Newsletter beginning of February along with confirmation of ticket sale dates. To raise funds for the school and for the pupils to enjoy the Easter season. CLF committee to present plans for Summer Fair to Volunteers signed up to ensure there are enough people to make it successful Create posters and letters to inform parents of upcoming event. Ask for volunteers to help with ticket sales and overall running of event. Add event information to Newsletter beginning of March confirming non uniform date of Friday 23 rd March and tombola draw on Monday 26 th March. Ask office staff to send reminder out via to all parents advising of ticket sale dates and location. Treasurer to arrange floats for both ticket sales and event. Ensure enough raffle tickets are available. On event day, ensure all volunteers are present and signed in by 2:30pm

To promote family time and to have fun whilst raising funds for the school. CLF Committee to present plans for Speciality Event to and gather opinions. Create posters and letters to inform parents of upcoming event. Add event information to Newsletter end of June confirming event date of Wednesday 11 th July and cost per child. Ask office staff to send reminder out via to all parents about event. Treasurer to arrange floats for CLF run stalls event. CLF to discuss and arrange cover for all stalls, ensuring that all committee can enjoy event with their children as well. Wroxham road resident s letter advising of vehicles accessing school grounds. On event day, ensure access for Company. All staff to sign in and read and sign to say they understand safeguarding policy. Liaise with Site Manager about locking up school afterwards.
10 SUMMER 2 Summer Fair To create and further develop our sense of community For pupils and families to enjoy themselves For pupils to showcase their talents as well as develop their confidence and performing skills To raise funds. Summer Fair overview. Write and send letters to companies asking for raffle donations. Create stallholder booking form and advertise on social media. Print copies off for and store in office for parents wanting to hold a stall. Design poster and put up in the community to advertise the fair Order raffle tickets Send raffle tickets home with the children List in the staffroom for staff to sign up to help Letters home to parents Organise stalls and activities i.e. fire and police, bouncy castles Plan in non-uniform days and collection of donations Buy refreshments and order bbq Print programmes Organise unlocking and locking of the school General coffee morning meeting for all Review of CLF work (late June/early July) Consult with to review/assess all aspects of CLFs work this year. Date to be confirmed. CLF committee to meet to consider findings from coffee morning and reviewing calendar of events where necessary/appropriate for the following year Evaluation of events run. Advise parent/carers how phase money has been spent and what money has been raised throughout the year. Gather feedback and ideas about forthcoming year. Committee and school CLF FUNDS Every academic year we choose a focus and the whole school benefit from this. 2017/18 focus is Learning outside of the classroom.
