1 Who is eligible? AFA Fundraising Guidelines The following AFA Participants are eligible in the following priority order: o Currently Registered AFA Football or Cheer Participants with a registration balance. *required* o Registered AFA Participants wanting to pay on a balance of the next offered AFA program. o Current Coaches, Parents, or Friends needing to meet their teams fundraising requirement. o All AFA Registrants or Coaches wanting to purchase additional spirit items from the AFA Store. o Booster Club Member Minimum Requirements EverBank Field: Must have a minimum of 20 participating members over the age of (18) ((16) year-olds who have attended the orientation/training are permitted to work in a non-alcohol position only). This includes a minimum of 10 adults 18 or over who are capable of serving as a cashier. Veterans Memorial Arena: All volunteers must be 18 or older and must meet the minimum of 10 participating members: Must have a positive attitude, be committed to providing a high level of guest service and satisfaction, and commit to adhering to policies and procedures governing the AFA Fundraising program, SMG, and the NFP Program. If you are 18 or older, must be willing to serve alcohol, if requested. If you are 18 or older, Must be a reliable, trustworthy volunteer with good cash handling skills. Must provide your own transportation, and show up ON TIME, and at the time requested. Must be flexible, given the event-driven nature of our business. Must be able to complete the required training provided by Ovations, SMG, and or the Director for each volunteer interested in participating in the program, if accepted. How do I qualify? Submit a completed Application Submit a Fundraising Activities form. Indicate who and what activity you will be fundraising for. (i.e., Registration Fees, spirit items, football team account, cheer team account, etc) All prospective volunteers must attend Orientation for SMG, Ovations, or as designated by the AFA Fundraising Director. You must be current on your 4 hour volunteer requirement with Arlington Football Association for each player. What do we wear? Everbank Field: Volunteers provide black slacks or black shorts (NO BLUEJEANS), closed toe/heel shoes or sneakers of any color (NO open toed shoes); Ovations will provide a shirt which is to be returned after each event. Veterans Memorial Arena: Volunteers provide black slacks (NO BLUEJEANS), Black closed toe shoes or sneakers that are comfortable to walk in.(no open toed shoes); Ovations will provide a shirt which is to be returned after each event. Avoid wearing the following: Excessive Jewelry, low dangle earrings, bangles, or bracelettes, head scarfs and coverings (unless for religious reasons) Any clothing with excessive writing or paraphanalia. *Any questions regarding wardrobe should be addressed at your first orientation or you should ask the AFA Fundraising Program Director. 1
2 What kinds of events will we be staffing? NFP (Not-for-profit) groups are eligible to staff any event held at EverBank Field and Veterans Memorial Arena. This includes Jaguar Games, college games as well as concerts and Monster Truck Jam. What about parking? We are very pleased to be able to offer parking to volunteers and employees working events at EverBank Field. Parking is generally at the Courthouse Parking Garage at the corners of W Forsyth & Clay. It is recommended that groups travel by carpool whenever possible, as traveling prior to events may be difficult due to traffic. How long is the work shift? It depends upon the event and the appetites of our guests! Volunteers are asked to arrive (2 hours) before Gates open (which is usually 2 hours before the event starts). Volunteers provide a stand leader for taking opening inventory, verifying their opening balance (counting money), and getting the stand ready to open. Most of the heavy food and beverage sales occur before the game and during halftime. After halftime, we typically start to wind down (unless, of course, there is still a heavy demand for product). Volunteers are expected to assist with cleanup, which averages 30 minutes after the end of the event. From start to finish, shifts average (8) hours. What is the minimum age requirement to work in a stand? All Volunteers MUST be 16 years of Age or older. Anyone working a register (POS) during which alcohol is served out of the stands must be 18 years of age or older (that includes volunteers who handle the alcohol transaction) and MUST possess a valid Alcohol Service Badge. During events in which no alcohol is sold out of the stands, or some jobs in a stand, an individual has to be at least 16 years of age. Can we watch the event? Volunteers are not permitted to enter the bowl (interior of the stadium) while working an event. There are closed-circuit television monitors inside the permanent stands that enable employees and guests to follow the game live, however, TVs are to be facing toward the Guests not inward. Do we have to serve alcohol (beer)? Yes! During Jaguar Games and other events, beer is sold out of the stands, with the exception of the FL / GA Game. ALL volunteers serving alcohol MUST have a valid TEAM Alcohol Server s Badge. Since the majority of our events and locations sell beer, GROUPS PARTICIPATING IN THIS PROGRAM MUST BE ABLE TO SERVE BEER, IF REQUIRED. We recognize that a small number of volunteers within each group may not opt to become certified to serve alcohol. We can accommodate these volunteers, along with the 16 and 17-year old young adults, by offering other jobs in the location like runners & food prep. Training Requirements Orientation This is a necessary 3-hour session that EVERY volunteer needs to attend prior to working his/her first event. This includes the 16 and 17-year old young adults who will not be serving alcohol. The orientation is generally held on the last 2 weekends of July & the first weekend in August, with two classes each day. Content ranges from a thorough explanation of Ovations policies and procedures, to an opportunity to get hands-on exposure to concession stand operations before actually working the first event. Each participant is given Jaguar Fan Guide detailing important information you need to know to make your volunteering experience at EverBank Field fun and profitable. TEAM Technics to Effective Alcohol Management Class The majority of volunteers, 18 years of age and older, must attend this 1-1/2 hour class and pass a test in order to receive the certification necessary to serve alcohol. Responsible alcohol service, specific Ovations policies, alcohol awareness, and liability are among the topics covered. What should I be aware of? All funds raised via the AFA Fundraising program are not payable in the form of cash. Funds accumulated are AFA dollars which will be applied to a player, team, or department account to purchase anything at Arlington Football Association. List of Fundraising categories are available in the Arlington Fundraising Application. 2
3 How do I get paid? Any person who volunteers will receive $35 AFA dollars minimum. This is the guaranteed amount for standard work in a stand. If the event attendance is high, customer service is great, and sales are high at our stand then there are potential for overage bonuses. Any bonus amounts awarded to the stand will be collected, distributed evenly among the participants accounts, in the form of additional AFA dollars. Any questions regarding compensation should be directed to the AFA Fundraising Coordinator. 4 REASONS NON-PROFIT FUNDRAISING PARTICIPANTS WILL BE TERMINATED FROM AFA FUNDRAISING PROGRAM 1. DRINKING ALCOHOLIC BEVERAGES BEFORE, DURING, OR AFTER AN EVENT 2. FAILURE TO COMPLY WITH ALCOHOL PROCEDURES AND REQUIREMENTS. 3. SELLING FOOD OR DRINK REFILLS AT A DISCOUNT, OR GIVING FREE FOOD OR REFILLS 4. BRINGING A GROUP MEMBER THAT SIGNS FOR AN I.D. BADGE THEN DOES NOT WORK IN THE STAND OR GIVING A BADGE TO SOMEONE ELSE WHO IS NOT WORKING WITH THE GROUP 5. PERSONS FOUND WORKING, OR INSIDE THE STANDS UNDER THE AGE OF BRINGING CHILDREN TO THE EVENT UNDER THE AGE OF 18 THAT DO NOT HAVE A TICKET TO THE EVENT 7. FAILURE TO REQUIRE (ASK FOR) PROPER ID WHEN SELLING ALCOHOLIC BEVERAGES 8. FAILURE TO PROVIDE AN EXCELLENT LEVEL OF SERVICE TO CUSTOMERS 9. SMOKING IN AN UNDESIGNATED EMPLOYEE AREA IN THE FACILITY 10. POSSESSION OR USE OF ILLEGAL DRUGS 11. EXCESSIVE SHORTAGES OF MONEY OR PRODUCTS 12. FAILURE TO VERIFY BEGINNING AND ENDING INVENTORIES 13. GIVING FREE DIPPIN DOTS, BOTTLED SODA, or ALCOHOL NOTE: ALL STAFF, INCLUDING USHERS AND POLICE, ARE INSTRUCTED TO NOTIFY MANAGEMENT WHEN THEY OBSERVE INFRACTIONS OF ESTABLISHED POLICY.
