1 OHIO STATE UNIVERSITY EXTENSION Sandusky County 4-H County Fair Information Dear 4-H Families and Volunteer, 2016 It is hard to believe that it is almost fair time once again! The summer is flying by so quickly! Traditionally we send some fair-specific information to all of our families through USPS bulk mail. Due to the large number of problems we have had with bulk mail delivery being very slow, we are distributing county fair information differently this year so ensure that as many people as possible have the information in time for fair. 1. This update has been posted on our website, and a link ed to all members, parents, and volunteers with addresses on file with us. 2. This update has been mailed first-class in hard copy to all volunteers. Please share this information with your members, especially those which you know do not access the internet. 3. Timely reminders will be posted on the Sandusky County Ohio 4-H Facebook page as well for those families active on Facebook. Have fun at the Fair and good luck to all our members! 2 County Fair Exhibit Information Please note below the dates and times that 4-H projects may be delivered to the fair for display. When you bring your item, be sure to check in and get your exhibit card or you will not get credit for exhibiting. Members not exhibiting their projects will not receive any premiums or plaques / special awards. 4-H Still Projects - To Fair Clubs with Booths: Be sure your find out from your club when and where to take your items for the booth. Clubs without Booths: Check-In for all non-livestock projects: What do I bring? Saturday, August 20th 9 a.m. - 3 p.m. 4-H Building at Fairgrounds After every project in the handbook, it explains what the 4-H member is to bring to exhibit. For most projects, this is what you took to judging in July. Which Building does it go to? All non-livestock projects are being displayed in the 4-H Booth Building, unless other arrangements are made ahead of time. Picking up Fair Exhibits Projects in 4-H Building: Items are to be picked up Monday, August 29th from 9am - 12 noon. NO items will be released Sunday Evening. We recommend that clubs have a designated person to tear down their booth display and collect the exhibits. Clubs MUST tear down their booths! Items Not Picked Up Items not displayed in club booths which are not picked up will be held for 2 weeks at the Extension Office for pick up during office hours. After Sept. 12th all items will be discarded or donated. Please do not assume your advisor is getting your items unless you make arrangements with them. Exhibits brought to the fair after Saturday, August 20th will not be exhibited. Cloverbuds We are asking clubs who have booths to include their Cloverbud members in their booth by displaying an item made by each Cloverbud member. Cloverbuds whose clubs do not make a fair booth display will be included in the Miscellaneous booth. Items can be brought in for that booth: August 20th, 9am-3pm. 2
3 Livestock Exhibitors Important Information!! Our livestock and horse members have a few remaining requirements for the county fair. Please read carefully and call OSU Extension or Jr. Fair with any questions. Project / Record Books ALL members taking live animal projects to the county fair must turn in their completed livestock record books to the Jr. Fair. Horses: Due at Stall Set-up or as instructed by advisors. All other livestock : Due at check-in Drug Use Notification Drug Use Notification Forms must be turned in to the Jr. Fair Office for all market animals. Sunday, August 21st at 7pm. Blank forms will be available in the Jr. Fair Office that day. Please bring your treatment records with you to complete the form. Don t forget that you need to complete every section of form, especially these commonly forgotten items: Animal ID Information QA Completion Box Medication Free Box or Medication Information Member and Parent Signatures Animal Care During the Fair Please remember that it is YOUR responsibility to be sure your animals are well-cared for at all times. This means: Champion Kids and Good Sportsmanship The purpose of the 4-H program is to help young people grow into the best adults possible, learning skills and developing healthy habits that will help them succeed in life. Along the way, many members earn ribbons and trophies as a reward for their efforts, but the focus of members, parents, and advisors should not be on those potential awards. It should be on the kids and the experience they are having. This year, help us develop Champion Kids by encouraging, teaching, and modeling good sportsmanship for our members. It s just one of the many life-skills we hope they learn through their 4-H experiences. Animals must be checked throughout the day (not just at feeding times). This check should include looking for signs of illness or overheating. All animals should have access to clean, fresh water at all times. Animals tend to tip buckets, so consider tying or clipping them in place. Check them often. Bedding should be kept clean and dry. This may take more than once per day cleaning. If work, sports practice, or other schedules prevent you from personally caring for your animal throughout the day, make arrangements ahead of time to have another person help. You may be able to use a shifts system, sharing the work load with other club or family members. 3
4 Dairy Bar / Milkshake Stand Every club has been assigned to work during the fair at the Milkshake Dairy Bar. Schedule Enclosed The Sandusky County Dairy Service Unit organizes the dairy bar and generously donates to our 4-H program. This money helps us to: Keep enrollment fees as low as possible Provide project books at no additional charge Project books cost $6.25 $27.50 each Pays for public speaking contests, judging activities, and year-end awards. Booth Security Please check the attached schedule for booth security shifts during the fair. This is a great opportunity for us to promote 4-H to fairgoers. When you are serving as security, please remember: No Food & Drinks are permitted in the building. Walk the building occasionally to prevent pranks or theft. Members have worked hard on these projects & would like to take them home after fair. Pick up papers or other trash if you see any in or around the building. Remember...this is our chance to showcase 4-H to the community! No Free Milkshakes We are reminding all clubs / members that the Dairy Bar does not provide free milkshakes to members. Several clubs purchase milkshakes for their members after the shift, which is fine. Please be careful not to cause customers to back up while doing so. Thank You for your understanding! Additional help is needed to fill security time slots. 4-H Fair Passes Available for Reduced Price As in previous years Sandusky County Fair passes for Junior Fair youth who are in 4-H or FFA are available at the Fair Secretary s office on the Fairgrounds. These passes are not good for rides, parking, or the grandstands. They may be purchased for $7.00 at the Secretary s office from now until the fair. Jr. Fair passes must be purchased before the fair begins. They are not available at the gate. Congratulations and Awards! Congratulations to all members who completed their projects! Results are posted online at: Placing ribbons are given to club advisors in club packets. Trophies: Trophies are distributed based on the number of youth in each project. Not all projects have their own trophy. Many times projects with lower enrollment are grouped together by area for one overall trophy. Sometimes projects with many members enrolled are split into Jr. and Sr. age categories. Trophies Left Trophy Awards were distributed at the Style Revue & Awards Recognition Program in July. If you were awarded a trophy, but were unable to pick it up at that event, it is at the OSU Extension Office. They will not be at the fair. After September 12th, any remaining will be donated and those members will not be eligible to win a trophy next year. 4

7 H Club Fair Booth Information Advisors, members, and parents, THANK YOU for all of the time and effort you give to help our 4-H booths really shine! Our fair booth program is offered to provide clubs with an opportunity to exercise their creativity, showcase their member s projects, and help teach the community about what 4-H does and stands for. We truly appreciate your efforts! Fair Booth Set Up: Friday, August 19, 1pm 8pm Saturday, August 20, 9am 3pm Please note that the building will close at 3pm on Saturday and will not reopen unl 12 noon on Tuesday of the fair. This allows me for judging and for maintenance to install the protecve fencing. Please take a few minutes to review this page carefully. It includes information about rules and guidelines as well as important dates and times related to club booths. Fair Booth Tear Down Monday, August 29, 9am 12noon All trash must be bagged. Please bring trash bags! A Note About Themes and Judging: Each year we choose a theme around which clubs are asked to design their booths. We hope that this helps clubs begin the thought process and encourages youth to think creatively about how to represent that theme. It also provides some unity for the building, tying all of the clubs together into one program. However, we do not intend for it to become an expensive venture for clubs or families, or to become a major stressor for the kids involved. Please help teach our members (your children) to be financially responsible by creating a reasonable budget and sticking to it. Our judges look for neat clean displays which clearly display youth projects and creatively represent the theme, not the club which spent the most money on commercially produced signs and decorations. Youth Participation is REQUIRED Like all 4-H activities, designing, creating and setting up a club fair booth should be a youth driven activity. While we know that some set-up may need to be completed by adults for safety purposes, and that all clubs vary when it comes to ages and abilities of youth, the majority of work needs to be completed by club members with guidance and assistance only from advisors and parents. Yes, we know that parents might be better at hanging things perfectly straight or coloring inside the lines, and that you are only trying to help them create the best possible display by helping them. However, the youth will never have the opportunity to learn themselves if you do it for them. Someday they may be in a position to help their own children with a similar challenge and they will need to know how so they can lead the next generation. Teach them how to do it. Don t do it for them. This requirement will be monitored this year. Since staff, monitoring volunteers, and judges can see only what happens at set-up and not what youth may be doing behind the scenes, a short form will be required this year from all clubs which wish to compete and be judged for the club fair booth contest. This form will give clubs an opportunity to share the roles of each youth who participated in designed, creating, and setting up their booth. Please see the reverse side for specific fair booth display rules and guidelines
8 H Club Fair Booth Information, Page 2 Display All Projects The primary purpose of a club booth is to display member projects. Clubs MUST display all projects, including three dimensional displays and posters If there is not enough room for all of your posters to be hung in your booth, additional posters may be hung on the walls along the left and the right side of the 4-H Booth Building Recognize All Members Every member should be include and recognized even if all of their projects are livestock. Display Wall Sizes and Details: Booth walls are approximately 4ft deep and 8 feet tall. Booth lengths cannot be determined until all requests are received. All measurement are approximate. Please consider this when pre-making items. Booth decorations cannot extend beyond the front of the walls. (A fence will be installed) Booth decorations may extend up to 18 inches above the 8 foot dividers, but they must be stable and well supported, and not interfere with any other club s display. You can staple, screw, or nail into the wooden walls as long as all fasteners are removed after. Some booths may have concrete back walls. We will have to use the outside walls this year. Walls must be covered in some way; with paper, cardboard, plywood, paneling, etc. There may be cardboard available for clubs to use, but this will not be known until the week of booth set-up Use the club sign provided (corrugated plastic). Do not staple into, cut, or mangle this sign. Additional Guidelines No spray painting can be done inside the building or in the parking lot. Please pre-paint items before bringing them to the fairgrounds. Electrical cords cannot be tapes across the floor. Electrical items cannot be switched on and off during the fair. If you plug something in, it should be able to remain that way 24 hours a day throughout the entire fair. Firearms, ammunition, bows, and arrows are not permitted. Booths cannot include straw, real food (except sealed canned goods), or live animals. Clubs should bring all items needed (ladders, hammers, nails, staples, markers, pliers, etc.) Many people will have similar items. Label them well with your name. Display tables in the front of the building cannot be used as work space. These are part of our county program display, not extra tables. Please bring a fold up table and/or have members complete as much of those activities as possible at home. ALL Children must be supervised at all mes, whether inside or outside the building. Last year a young member was almost hit by a car because he was allowed to be unaended outside. No running, yelling, or horseplay is permied. A Note About the Miscellaneous Clubs Booth: If your club does not have a booth, your members projects will be displayed in the miscellaneous booth and along outside walls (posters). Items are arranged by staff and volunteers setting up the building however they best fit. They are not grouped together by club. If you would like your items all arranged together or in a particular way, please consider signing up for a club booth. Every effort is made to ensure projects are displayed in a way they can be seen and recognized. However, this booth is not generally decorated to the theme.
