4 4 How you can help our patients live every moment By fundraising for Hospice Waikato you are helping us to deliver specialist community palliative care to thousands of patients and their families, living with a terminal illness. Our services and care enable patients to stay at home for as long as possible, surrounded by the people and things they hold dear. Patients are fully supported by a team of specialist palliative medicine doctors, palliative care nurses, as well as social workers, counsellors and a spiritual care coordinator. Hospice care looks after the whole needs of a person, through medical and nursing care, as well as spiritual, emotional, social and psychological support. Trained Hospice volunteers assist with practical support for the patient and family/whanau. 100% of all funds raised stay within our community. By helping us to fundraise you are helping to ensure our services stay free of charge to patients and their families within the Waikato, King Country and Thames/Coromandel region. We rely on and deeply appreciate the generosity of the local community.

5 Where your money goes The money you raise will go towards providing vital care and support to hundreds of patients and their families. You really can make a difference. 5 $50 Pain medication You can help me receive effective symptom control for the pain associated with my cancer. Your donation will pay for a day s costs of a Hospice syringe pump that will help with a patient s pain management. $100 Massage Therapy You can give me relief of muscular discomfort and physical pain. Massage is an excellent way to relieve stress and release tension. Your donation will allow for a pain-relieving massage for a patient.

6 $200 Specialist Palliative Care Doctor You can provide someone who will listen to my needs. A Specialist Palliative Care Doctor works with a patient s doctor and other healthcare professionals, listening to the patient and aligning their treatment with what is important to them. Your donation will pay for an appointment with a specialist palliative care doctor. 6 $500 Family Counselling Session You can provide someone to talk to our family about losing our precious mum. Your donation could fund bereavement counselling for an entire family, helping them to come to terms with their loss. $1000 Inpatient Unit Stay You can give me a place to go where I will be looked after. Your donation will pay for a patient to stay in our Inpatient Unit for one night for symptom management, respite care, or end of life.

7 $2000 Nurse for a Day You can help make sure I don t feel alone. Your donation could pay for 50 hours of specialist nursing care for Hospice@Home nurses visiting patients at home and giving the care they so desperately need at the end of their life. $6,000 Fuel Costs for a Rural Outreach Nurse You can help make sure I have someone to visit me in my home in rural Waikato. 7 Rural Outreach nurses visit patients in their home throughout the wider Waikato region. Your donation will pay for one nurse s fuel costs for a year. $18,000 Pay for a Day We provide care and support to patients and their families 24 hours a day, 7 days a week. Your donation could pay to run all our services for one full day. 8 Organising your event 8 Here is a simple step by step guide to get you started with your fundraising. Remember you are not alone; our Fundraising Team is available to support you as well. If you need any help or have any queries, please contact 0800 HOSPICE. Step 1: Before you start Before progressing with organising your event for Hospice Waikato please get in contact with the Marketing and Fundraising Team. We would love to talk to you about your idea. We are very proud of our Hospice brand and before allowing outside events to use our brand we like to gain an understanding of your vision and the commitment required from Hospice. The initial step to gain approval is to fill out our enclosed Third Party Event Agreement ; you can do this in conjunction with Hospice when we chat about your idea. Please contact the Hospice Fundraising Coordinator, Monique Webb, on , or Monique.webb@hospicewaikato.org.nz Step 2: Decide what you want to do and set a budget Use our A-Z guide on page 20 for inspiration. Think about a budget what will it cost? Can you get sponsorship? Step 3: Identify a location and date Check your planned date doesn t clash with any major events e.g. Daffodil Day or Red Nose Day. Has your venue got the correct facilities e.g. disabled toilet, parking, etc?

9 Step 4: Plan ahead Write a list of all the things that need to be done to make your event a success. Who do you need to contact? Do you need any licences? Who will attend? Review your list as time goes on helping you to keep on track for a successful fundraising event. Step 5: Promote your event Please see page 14. Step 6: Use the power of the internet Now you have your event planned you need to publicise it and spread the word. Use all the social media you can (Facebook, Twitter, Instagram, LinkedIn). Post regular updates about your event and tag the Hospice Waikato social media pages. 9 Step 7: Have fun and enjoy! Mostly importantly enjoy your event. We want you to have a great time fundraising for Hospice Waikato. Step 8: Collect all money and bring it in Hospice Waikato, 334 Cobham Drive, Hillcrest, Hamilton. Cheques should be made payable to Hospice Waikato. Please return all Hospice-branded material and collection buckets to our fundraising office. Please let us know how it went. We would love to see your photos, and your stories could really inspire others to fundraise for us, so please share them. Step 9: After the event - celebrate! Please thank everybody who has helped you along the way and let them know how you have done. We can help you with thank you letters to your sponsors on request.

10 Get your business involved 10 Whatever the size of your organisation or business or the level of commitment you can give, corporate fundraising is a great way to get your organisation supporting the work Hospice Waikato does in your community. Make Hospice Waikato your Charity of Choice Adopting Hospice Waikato as your Charity of Choice is an ideal way for your company to focus its charitable activities. You can promote Hospice Waikato within your company and to your clients; this will demonstrate your company values and commitment to supporting your local community. Company donation Your company can help make a difference by making a donation, either to a specific project or to Hospice Waikato s work in general. Remember 33% of money donated to charities can be claimed back as a tax refund.

11 Employee fundraising Motivate your staff, promote creativity or just have fun for Hospice Waikato. How about organising a workplace event such as a Hospice Cuppa in your office or participating in Shorts for Hospice day? We can provide you with various fundraising materials such as leaflets, posters and collection boxes to support your event. Sponsorship Throughout the year we have many opportunities for companies to support or sponsor our fundraising events. This could be sponsoring our big events (Shorts for Hospice, The Hospice Waikato and Montana Catering Bucket List Banquet, Remembrance Services or our Rainbow Place Children s Party). Sponsorship means that costs can be covered and all monies raised can go directly to patient care. 11 Donate gifts in kind We always need donations of products and gifts in kind for raffles and auctions. Or perhaps your company is able to offer stationery, gardening services or other gifts that will help us save money. Set up payroll giving Payroll giving is an easy way for employees to support good causes as it enables donations to go directly from a person s pay to a community organisation. Payroll giving is administered through the PAYE tax system, so people whose employers sign up for the scheme will receive the tax benefits of their donations each payday, without having to present donations receipts or wait to claim at the end of the tax year.

12 Get your school involved 12 There are many ways that your school can help Hospice Waikato. Fundraising is a great way for you to work together, have fun and be creative at school. Talking about Hospice care with young people can be difficult and sensitive but we feel it is important because students may have had a loved one or teachers, friends or family friends who we have cared for in recent years or have unanswered questions about Hospice and end of life care. How your school can help Your school can help by organising fundraising activities throughout the year. Popular fundraising events might include mufti days, cake sales, talent shows, sports day etc. For more ideas see our list of A-Z Charity committee Set up a committee within your school. The committee could hold meetings, decide on events and run the fundraising activities. The committee would learn how to budget and plan an event or activity with the satisfaction of raising money for Hospice patients and families.

13 Charity of the year Choosing Hospice Waikato as your charity of choice means not only will you be helping your local Hospice raise the vital funds it needs; you will also be giving the pupils something to work towards together. 13 Participate in Shorts for Hospice Fancy ditching your normal school uniform to wear a pair of shorts on the first Friday in March? Register your school and ask everyone who participates to donate $1 to Hospice Waikato. On Shorts Day collect donations and give a sticker to everyone wearing shorts! Volunteer for Hospice You could help out at one of our eight hospice shops, help with administration tasks, weed our gardens or wash cars. Volunteering at Hospice is such a worthwhile experience, and will count towards your Duke of Edinburgh Award.

14 Promoting your event 14 Once you have decided on your event and planned all the details, it s now time to start telling everyone about it. Posters, flyers and tickets Advertise your event by displaying posters at work, school, church and local community spots. If you are producing promotional material please make sure you have the material approved by Hospice Waikato. This is so we can ensure our branding guidelines are being met. Use your own contacts Tap into your own resource of contacts by asking friends, family and colleagues to spread the word for you. Send an to all your contacts about the event and ask them to forward the poster/flyer to their networks. Ask your employees to support your fundraising effort and publish information in your staff newsletter. They may even give you a corporate donation or match the amount you raise. How we can help If you supply us with your promotional material and information about your event we can help promote your event through the Hospice network, via our website, a listing in our newsletter which goes to 10,000 people every four months, and on our Facebook

15 page. We will also display posters in local Hospice Shops and around the Gallagher Family Hospice site. Facebook/Twitter Use Facebook and Twitter to spread the word about what you are doing. Make sure to link your event to our Facebook page so we can share it Hospice representative 15 A Hospice representative may be avaliable to attend your event. Requests must be made with as much notice as possible. Please speak to the Fundraising Team to discuss further. Tell your local community/media Prepare a press release for your local media as they may be willing to publish information about your fundraising activities. Local journalists are always on the lookout for local interest stories. You may like to invite them to attend. If you are planning to contact local media about your event, please let us know before you do. It is helpful for us to see a copy of any press release. Online sponsorship page An online sponsor page is an easy way for you to set up your own personalised fundraising page, allowing your friends, family and colleagues to make a secure online payment to Hospice Waikato. There is no cash handling so it s safe, very low risk and low administration impact, enabling you to spend more time having fun. We suggest using or

16 The legal stuff 16 Once you have decided on how you are going to fundraise you also need to think about the finer details. Charity fundraising is regulated by law; to make sure your fundraising is legal check the information below which outlines some helpful points on the legal stuff and things to think about when organising an event. Hospice Waikato Hospice Waikato is a registered charity. We are grateful for all community fundraising efforts and like to assist where possible and acknowledge those involved appropriately. To ensure that we comply with our legal obligations, fundraising activities must comply with all relevant laws (including all regulations and bylaws). Branding Any use of the Hospice Waikato logo must be approved by the Hospice Waikato marketing team prior to use.

17 Photo consent Try to make sure that you get permission from anyone that you take a picture of. You will need written permission from parents before taking photos of children. Donations All monies raised via fundraising activities need to be for the stated purpose. When handling cash it is recommended to have two people present when counting cash to protect both parties. Consider how you will collect your money and keep it safe before you bank it, or hand it to the fundraising office. Public collections 17 If you want to raise funds in a public place you may need to gain permission from local council. If you want to hold a collection on private land such as a pub, supermarket or shopping centre, you will need permission from the owners. Funds raised in a public setting (e.g. gold coin donation, collections in a public place) cannot be receipted for tax purposes to the individual or organisation collecting the funds. Hospice Waikato can provide you with collection buckets and information on collecting. Please phone us on 0800 HOSPICE. Food and beverage Check if your venue is licenced or contact your local council for more information on the local liquor licence. A licence may be required if you are selling alcohol. Also check your local council website for food hygiene regulations at events. Lotteries and raffles Check the latest information and advice at

All items are given free of charge because you work so hard to raise money for Hospice Waikato. 22 Other ways you can help Hospice If you would like to stay involved with the work of Hospice Waikato there are many ways in which you can support. Support our Hospice shops Hospice Waikato has eight Hospice shops throughout the Waikato, selling a range of quality second-hand goods including clothing, furniture, books, collectables, bric-a-brac and more. Shopping in or donating goods to our shops is greatly appreciated. 22 Leave a Bequest Planning to leave a legacy gift in your will is one of the most thoughtful ways to help others and will leave a lasting impact on your community. By supporting Hospice Waikato through a bequest, you will help to ensure our services remain free of charge for the future.
