1 TAND Board of Directors Meeting-November 17, :00-1:30pm CST Attendees: Catherine Austin, Susan Brantley, Gloria Brien, Denisa Cate, Jenny Earnest, Dee Harwell, Marilyn Holmes, Brian Jones, Collette Powers, Dee Pratt, Amy Richards, Heidi Silver, Angie Wallick, Lauren Cromer, Shelley Flint, Temple Hughs, Samantha Hutson, Linda Pennington, Dianne Polly, Janet Skates, Karen Smith Call to order: A quorum was established through roll call. 3.0 Agenda approved. September 8, 2015 Board Meeting Minutes were presented for approval. A question/clarification came up about the TAND membership numbers in section 7.0. After discussion it was decided that the minutes would show a breakdown of the membership numbers. Shelley will place that breakdown (retrieved through DMIS database), and send the minutes out to all voting board members for approval. 4.0 FNCE Follow-up. Dee Pratt: TAND has not yet received final numbers from AND about the total attendance of FNCE. TAND spent about $12,000 for FNCE. AND was impressed by the genuine willingness for TAND volunteers (>100) to help with whatever was needed. Everybody did such a nice job, again we want to say Thank you! AND enjoyed having FNCE hosted in Nashville a lot, so hopefully they will return FNCE here sometime. It is expected that at least 200 attendees to FNCE were from TN. We will be receiving $10/TN person from AND as part of the benefit for having FNCE hosted in our state. The TAND reception, held on Sunday evening, had around 125 attendees. In the AND newsletter there was a Spotlight Article on FNCE in Nashville. TAND has sent that article to all TAND members via eblast and it is posted on the TAND website. TAND president, Dee Pratt, has attended 2 district meetings (WTAND & NAND) and both gave very positive feedback about FNCE in Nashville. 5.0 Scholarships. Brian Jones: The 2 weight management scholarships have been awarded to Cari Riker & Kristin Pressnell. Both will be giving a full report about their training to TAND, once they have received training. The scholarship committee used survey monkey to review the weight management candidates. They were so pleased with this process they will be using it again for the TAND Academic Scholarship that will be closing Monday, November 30, Brian attended an AND webinar about the ODEA award and how it s criteria and deadline will be changing. It will now be hosted by the IBM DPG. TAND s deadline for the ODEA award will be December 31, TAND is now in Region 5, so our nomination will be competing with the nomination from the other states in Region
2 5. This is a new way of doing things. TAND will be announcing our ODEA winner at the Annual Meeting. Please send it your nominations We need more candidates! As of today, the TAND academic scholarship has 8 submissions, so please encourage your students to apply. 6.0 Nominations. Marilyn Holmes: Thank you everyone that agreed to be a candidate on the TAND ballot. (Attachment 1). Thank you also to the nomination committee that diligently worked to gather such a great group of people. The List of Nominees for the ballot was Approved. Again, this year, the district with the highest percent of voting participation will receive a $50 gift card to use at their district meeting. Over the next month we will be working to get our members familiar with the candidates. 7.0 Annual Meeting Update. Gloria Brien: The contract for the TAND 2016 Annual Meeting has been signed with the Airport Marriott, in Nashville, for Monday March 21, A preconference workshop from 2:00pm-5:00pm will be at the Airport Marriott on Sunday, March 20, The preconference workshop will be a hands-on event. It will focus on nutrition when giving a physical exam. Gloria Brien has heard this speaker make a presentation before, so this speaker is highly recommended. The workshop will be limited to the first 50 people, as per the speaker s request. Some students have shown interest in this workshop also. Registration will be 1 st come 1 st serve. There was discussion about limiting the participants to RDNs, and allowing extra spots to students who have shown interest. Or maybe having the Dietetic Intern Directors come & they can educate their students later. More discussion will follow after the board meeting to work this out. TAND is currently in the process of signing all speaker contracts. Include with today s agenda is the template Speaker contract & Partnership Packet, for review before today s meeting. No questions were asked concerning either of these documents. A motion was brought forward to increase the registration fees for Annual Meeting & Hill Day. (Attachment 2). Gloria Brien reported that the motion form inadvertently listed the 2015 dates and that the correct dates for the 2016 Annual Meeting and Hill Day were March 21 & 22, Linda Pennington (coordinator of Hill Day) is in agreement with the increase of fees for Hill Day. There was concern raised that the issue of raising the registration fee had been brought up at earlier board meetings, and it was decided then to not raise the fees. Why are we changing our minds? The discussion that followed stated that this year the annual meeting venue is moving to a hotel (not free like St. Thomas), the fees haven t been raised in a long time (at least 4 years), that a $20-$25 increase is acceptable. Also the will be a rental cost for the Hill Day room. A total of 10 CEUs will be offered for the Annual meeting (that doesn t include the preconference workshop), and 5 CEUs will be given for Hill Day this is a good bargain. The
3 motion to raise the registration fees was voted on. It PASSED, with one opposed. A second motion was presented to accept the TAND Speaker contract template & Partnership packet. It PASSED. 8.0 Poster session at Annual Meeting. Heidi Silver: This year there have been some changes made to the poster session and the form for poster submission. For one, the posters will continue to be on display all day. There will also be two 30 minute poster sessions for all meeting attendees to view, at the morning and afternoon break times. During that time, the authors of the posters will need to be present to give a 2-3 minute oral summary of the findings of their work. The changes to the submission form include having 3 main categories for poster submission: foods, clinical, and community. The awarded prizes will be given for 1 st and 2 nd place in each category (not by student, dietitian, etc). Heidi is actively marketing the poster session in s and other communications to the state membership. She will be asking Ph.D. and M.S. level RDNs to volunteer to be judges and will establish judging criteria. Lipscomb University has already notified Heidi that they will be submitting 15 posters. And, a couple other RDNs have already submitted their posters. Congratulations to Heidi Silver and Abbie Hudson for their 1 st place award for scientific posters presented at FNCE 2015, titled High Body Mass Index Does Not Protect LTC Residents from Dehydration. 9.0 Breaking Down Nutrition Newsletter. Susan Brantley. Susan has provided everyone with a fact sheet explaining the benefits of the Nutrition Newsletter for our members (Attachment 3). There will be a small subscription cost if we want to provide this newsletter to TAND members without any nutrition-related and minimal advertising at the bottom of the newsletter. This newsletter will provide TAND with an opportunity to engage our members in up-to-date issues bi-weekly. A pod-cast also comes with the newsletter. The author of the newsletter is Susan Mitchell & she provides this newsletter to many states already. Details on how it will be distributed were discussed & more research will be done, and will be reported back to the board. There is concern that we want to make sure TAND members can opt out of receiving this newsletter WITHOUT opting out of receiving TAND eblasts. We can do a 6 month trial. A trial period could be posted in the TAND newsletter (The Volunteer), and we could call this a pilot project to see what reactions/feedback we receive Student Association Proposal. Temple Hughs. The TAND student liaison, Temple Hughs has created an idea that will create a student group within TAND. This group will be set up like TAND with a Board of Directors, etc. The group will be made up of students & interns. It will provide many benefits for these
4 students, including leadership skills, and it will get our future dietitians connected to TAND early. This group will become a communication line between TAND students & the TAND board. It will NOT compete with TAND. It will allow the students to foster relationships, and provide input & opinions to their group & TAND. It will be called STAND (Students of TAND). There are plans in the making to have the students & interns meet during the Annual Meeting. The hope is to get the students interested and comfortable with TAND to stay with TAND once they move into becoming a RDN. If this is run like a DPG, then there will be oversite by TAND. Maybe this group should be a subgroup of one of the Board Pillars? Dee Pratt volunteered to be the liaison between TAND & STAND. It was suggested that we do a pilot for this association because it will make a change to the TAND bylaws, if we decide to continue with it. In order for it to be successful, the other universities across TN will need to support this project & have their students participate in it. Universities are always looking for leadership opportunities, and this will be one of them. STAND will probably need to elect officers & write bylaws. It was suggested that the districts require their student delegates to be part of this group. STAND will host monthly meetings, in order to keep everyone active & involved. Temple Hughs will draft up a policy on how this association will be constructed, and report back to the TAND board. Catherine Austin has volunteered to help Temple Additional Business. Shelley Flint & Dee Pratt. WebEx has been attained. Shelley is working on securing the right computer equipment to host a meeting. However, one district has already hosted a meeting, and all districts & TAND Board members can host a meeting at any time. Please contact Shelley Flint for details and access. Insure TN. TAND was asked to be a partner with Insure TN. There are many reputable partners with Insure TN. We will be forwarding the Insure TN to all board members in order to consider if TAND wants to be part of Insure TN. Reception Room at FNCE After discussion it was decided that TAND will request from AND a reception room at FNCE Room rental is free, and we can cancel if we want to change our minds. Marketing Task Force. TAND is looking for people who have ideas, plans, and strategies for marketing TAND. If interested, or know of someone who might be interested, PLEASE contact Dee Pratt or Jenny Earnest. AND Diversity Liaison- AND wants us to appoint a diversity liaison. AND will provide a grant for us to apply for to acquire this person. This person will travel to schools, events, etc. We will want to appoint someone who is diverse. The goal is to make us more conscience of our members. This
5 person will talk about food deserts, areas where we lack participation, etc. Wilmetta Neely, RDN was suggested, as well as, Dena Hampton, RDN. We could advertise this position in the TAND newsletter. What does the board think? We don t yet know how much time is involved or how other states are handling this position. Meeting adjourned.
