1 OPEN FORUM FOR OWNERS 7:30 8:30 PM Facilitated by Jared Larsen The meeting was called to order at 7:32 PM TUSCANY TOWNHOMES September 9, 2015 The following Management Committee Members were present: Jared Larsen, Tyler Bodily, Sharon Roberts, Jack Duffy, and Bev Stephenson. Also, in attendance were Brian Brown and Ashlin Burton representing Parker- Brown and homeowners Kristen McNeice, Rudy Meza, Fred Talavera, and Jill Stoddard. Homeowners Issues: Introduce HOA Board and Parker- Brown The HOA Board and Brian Brown from Parker- Brown were introduced. Communication between Residents, the HOA Board and Parker- Brown The HOA Board s goal is improve the communication between the residents, the HOA Board and Parker- Brown. Improving communication will be added to each month s agenda. Input is welcome. The procedure for discussing issues was reviewed. Parker- Brown Appreciation Day Update Attendance was good at the Parker- Brown Appreciation Day held in August. Community Yard Sale The community yard sale sign will be posted at the West Entrance on September 9 th. Ads will be posted on KSL. Litter throughout Tuscany Update Residents are encouraged to pick up litter. Ant / Spiders Spray Update In August Tuscany was sprayed for ants and spiders.
2 Paint Front Doors and Frames It is the responsibility of homeowners to maintain the front doors and frames. All homeowners should inspect their front doors and frames for peeling paint and general weathering. If needed homeowners must paint their front doors and / or frames by September 30, Any door that the Association feels still needs attention after September 30, 2015 will be painted and the individual owner will be billed. Security Patrol Report The security patrol report stated community members have been receptive to the security patrol. The HOA Board unanimously voted to expand the security patrols during the non- swimming season to 6 visits per week. Outside Window Cleaning ProClean will be cleaning windows in September for a charge. Residents need to contact ProClean directly to set up an appointment and to pay. Tree and Shrub Trimming and Treatment Pigeons Update The HOA Board is waiting for more bids before making a decision. The HOA Board is waiting for more bids before making a decision. Pot Hole Repairs Brian Brown will follow- up on filling the pot holes. Swimming Pool Guest Limit Policy / 1 Signs Tabled till Spring 2016 Placing Individually Owned Items in Common Areas Sprinklers Bev Stephenson will follow- up to determine if it is still an issue. Brian Brown will follow- up on a sprinkler issue at one of the townhomes.
3 Stucco / Water Repair Update Residents Issues The stucco / water repair work has been delayed but should start within the week. Homeowners will be notified when their unit is being repaired by a notice placed on the garage door. A resident questioned whose responsibility it is to replace screens. It is the homeowner s responsibility. The issue of a late fee regarding a homeowner s monthly fee was resolved. Residents were concerned about outside light bulbs needing to be replaced and lights being on 24/7. Brian Brown will have them replaced and fixed. Issues with wood peeling on the exterior decorating of townhomes were discussed. Brian Brown will have them repaired. EXECUTIVE MEETING 6:00 7:25 PM 8:30 PM completion HOA BOARD MEMBERS ONLY Facilitated by Jared Larsen The meeting was called to order at 6:04 pm. Management Committee Members: Jared Larsen, Tyler Bodily, Sharon Roberts, Bev Stephenson, and Jack Duffy were present. Also, in attendance were Brian Brown and Ashlin Burton representing Parker- Brown and Randy Beyer and Brian Knowlton representing Knowlton General. The August 12, 2015 HOA meeting minutes were approved by Jared Larsen, Tyler Bodily, Bev Stephenson, Jack Duffy, and Sharon Roberts. UNFINISHED BUSINESS: Stucco / Water Repair Brian Knowlton and Randy Beyer representing Knowlton General apologized for the delay in starting the project and answered questions about the stucco / water repair process. Knowlton General will place notices on the townhome garage doors to notify residents when repairs will be done on their townhome.
4 Open Forum Issues Items submitted by homeowners for the Open Forum Meeting were discussed. (See Open Forum Minutes) The time limit for Open Forum issues were reviewed. Time limit for issues not submitted prior to the Open Forum Meeting is 3 minutes. There is no time limit for issues submitted prior the Open Forum Meeting. Financial Reports The Financial reports were reviewed. Delinquent Accounts The delinquent accounts were reviewed. Clubhouse Main Room Decorating Ideas LED Christmas Lights Brian Brown will get additional bids. Fountain / West Entrance Layout Update The HOA Board still needs a layout of the shrubs and flowers in the roundabout and West Entrance. Security Doors / New FOBS Tree Maintenance Ashlin Burton will follow- up on the cost for tree maintenance. Clubhouse Carpet Replacement / November Swimming Pool Damage Resident(s) questioned why they received a repair bill for damage to the swimming pool. The HOA Board, the swimming pool repairman and the resident(s) discussed the issue. The resident(s) will be notified in writing of the HOA Board s decision of whether the repair bill is valid in 1 week.
5 NEW BUSINESS: Three Board Approval Votes Needed The policy of having 3 HOA Board members approval votes before proceeding on any issue was reviewed. Assessment of New Cleaning Company Trash Bin Fine Signs Brian Brown will follow up on placing 2 fine signs on each trash bin. New Laminated Welcome to Tuscany Townhomes Signs with Correct Meeting Time Parker- Brown will follow- up on the signs. First and Second Annual - Election Meeting Dates and Times / The Meetings Notification / Budget Meeting Date and Time The Annual Meeting was scheduled for Wednesday, November 11, at 7:30 pm in the clubhouse. If quorum requirements are not met, the Annual Meeting will continue with the non-voting portion of the meeting. If needed, the voting portion of the meeting will be rescheduled to Wednesday, November 18 th at 7:30 pm in the clubhouse. The Executive Meeting beginning in October and continuing until the stucco repair project is completed will start at 5:45 pm to allow time for the Knowlton progress report. The Annual HOA Board Budget Meeting was scheduled for Thursday, September 24 th at 6:30 pm.
