1 Annual Saddlewood HOA Meeting Minutes Call to Order: 9:30 AM Roll Call January 10, 2015 Steve Savickas (President), Brian Wherry (Secretary), Lucy Enron (Treasurer), Joe Petersen (Board Member), Mark Wessbecker (Board Member) and Claudia Hill (Vice President) Visitors HOA Residents Meeting began with an Elizabeth Library spokesperson discussing the library and the various things they are doing and what is available for all Elbert County residents. Approval of Minutes From November 13 th 2014 HOA Meeting Old Business: Our president, Steve Savickas discussed fire mitigation, who takes care of the trees near the road and each homeowner s responsibility. New Business: Residents expressed concern that sometimes the communication link to send an to the board does not work on the website. We will ask our website designer to create an address next to the link in case it does not work. We will also have our website designer add a place for each resident s home address and phone number along with so HOA can easily communicate with all residents. Community information. Some residents requested that the HOA create a community phone book with resident information including address, phone numbers, and names of kids, pets and general information. HOA plans on talking about this possibility at our next meeting.
2 Another idea was to setup each resident with an login account like Gmail. This login would be different for each resident and allow HOA logins for each member. Occupation, and talent Another idea included using Survey Monkey to receive every resident s information. New Committee Formations New Committees were formed to help serve and contribute to our community. The following committees were formed and the following residents volunteered to be on each committee. Welcoming Committee: Joe Petersen and Joanie Wherry. Responsibilities include welcoming new residents, providing a gift pack and giving the residents general information etc. Social Committee: Becky McKee, Sunny Kalter, Lisa Lenderinik and Allyn Barclay. Responsibilities include creating social gatherings and providing entertainment so residents can get to know one another. Newsletter Committee: Tammi Pitchford and Claudia Curry Hill. Responsible for providing a quarterly newsletter for all residents updating them on Saddlewood happenings and important information. Cleanup Committee: Brian Wherry and Steve Savickas. Responsible for making sure Saddlewood s common areas and picnic areas are clean and maintained. Note: The idea was brought up to possibly pass out flyers to residents to create social committee ideas. Also an idea to break up the neighborhood into sections and designate an area representative from each section be in charge of a few homes to create a social atmosphere and keep neighbors informed. Election of New Board Members Four residents volunteered their time to become HOA board members. Kent Loweke, Tammi Pitchford and Allyn Barclay Existing Board Members who decided to retire from the HOA Board Joe Peterson Mark Wessbecker Dick Purswell John Abel
3 Thank you for your many years of service to our community!! Director of Emergency Communication One of our own residents, Brandon Lenderink is the Elbert County Director of Emergency Communication. He offered some great information on an upcoming April clinic at the fairgrounds on fire mitigation. We have a great resource in Brandon to ask about things like chipping and proper fire mitigation. Other Ideas that residents offered at the meeting. Note: All these ideas will be discussed at our next HOA meeting on April 9 th at Claudia Hill s home. Can we make the Website better? Remove clutter and add advertisements to create revenue? Can we look into allowing a cell phone provider to build a tower in our area to create revenue? Can we look into having one Trash Service for the whole community to save money for each resident? Tammi Pitchford has offered to look into this idea. Could we add a blog and or chat room on our website so residents can use social media as a tool to share information? Could we have a chipping day and hire a chipping machine? Could we provide residents with a designated mailbox where HOA Dues can be dropped off at the Kiosk? 4 Meeting Adjourn: 11:07 AM Official HOA Board Meeting Call to Order: 11:17 AM Swore in New Board Members Tami Pitchford Kent Loweke Allyn Barclay New Business Covenants The Board addressed the need to address the original Saddlewood Covenants. We feel that there are antiquated covenants that may be worth changing. For example the covenants on architecture. We hope to get Joe Peterson to lend us a hand on this project. Newsletter Discussed how often the Saddlewood newsletter should be delivered. Every month or every quarter. No decision made. Advertising on the website Steve and Brian will make sure old advertisers are removed and add others as requested and cleanup any other unnecessary items on the website. Need to add a budget item for newly formed committees and neighborhood cleanup. Lucy Enron our treasurer will work with the new committees to form budgetary numbers. Tami Pitchford with perform a survey of trash pickup rates to see if it is feasible to have one trash company for Saddlewood. Swearing in of Officers on HOA Board Brian Wherry (Secretary)
