4 1. Letter from the President Dear PMI MN Member, Thank you for your association with PMI-MN and support of the chapter s mission. In 2014 PMI MN continued to deliver value to 3,300 members located throughout Minnesota, western Wisconsin and North Dakota. As the chapter celebrated it's 30th anniversary, it is notable that PMI MN remains one of the largest chapters in terms of membership; and more importantly one that is respected locally and nationally for our extensive program delivery. Among the many accomplishments detailed in this report, here are a few that are significant for their immediate member value and long-term ability to serve membership more effectively: Promotion of PMI-MN events on LinkedIn. Launched education / certification programs specifically oriented to the non-it project manager. Launched our new website. Our premier annual PDD event was held at the RiverCentre in St. Paul with great success. Collaborated with other Region 2 chapters to develop new Mentoring program for launch in Celebrated a major milestone of 30 years as a chapter. The team of 20 lead by Garfield Bowen provided us fun, informative At our 2014 Fall Strategic Planning event, the board carefully evaluated the feedback we received from you and agreed upon the following strategic initiatives for 2015: Improve Volunteer Engagement, Increase Brand Awareness and Broaden Market Focus. Thank you to all our Volunteers in 2014 who contributed 12,000 hours and to their families who supported them. I d like to especially thank our 2014 Operating Committee chairs and our 2014 President Michael Green. The committee chairs and their teams delivered on a day-to-day, month-to-month basis. Michael was, and continues to be very dedicated to the growth and delivery of value to our members. He will be leading a strategic initiative to Improve Volunteer Engagement. It is due to the many volunteers that we are able to provide the education and networking events to our members. Finally, thank you to our members. Strategic Objectives The overall chapter strategic objectives for 2014 were: Identify and appeal to changing networking requirements of next generation Improve accessibility for delivered services Deliver only high value best in class (diversify and solidify revenue streams) Increase brand awareness and clarify value proposition Revisit Organizational Structure We executed on the first three items primarily through the introduction of web streaming of dinner and breakfast meetings. Brand awareness and value proposition will continue to be part of our focus in We executed on the organization structure strategy at the 2013 election and our first two Director-At-Large roles were elected in 2014 for two-year terms starting in Membership Overview PMI-MN has identified a number of programs for membership services that are in varying stages of creation and implementation. These include: Staffing of membership table and providing information about the chapter at chapter events. New member identification and orientation, including methodology for fast engagement into the chapter. A buddy program, which matches new members with existing members to help ease the transition into chapter activities Goals Conduct a general, current member survey to help determine existing level of member satisfaction and gather suggestions for areas of improvement Coordinate with all other chapter programs (e.g., Volunteer Services CAP, Prof Dev, PrCs, Outreach (Ambassador), Corporate Partners, etc.) to o Develop a comprehensive and engaging new member packet of chapter information o Uncover and pursue creative, new avenues for identifying and connecting with prospective members Continue to build on and add programs and processes to help make new members feel welcome get them involved in the chapter immediately, and find ways to participate and contribute. Examples are: o $10 off chapter event coupon for new members (included in their welcome letter) o New Member Orientation o New Member Buddy program o Longer-term member testimonials o Leveraging events like the Volunteer Fair and the Career Fair to recap/reinforce membership benefits Develop a viable retention program to follow up with members whose memberships are expiring to encourage chapter renewal Maintain process and schedule for staffing of Membership table at chapter events o Work with Marketing & Communications to ensure proper literature is always available and current Manage a schedule of event hosts for dinner, breakfast and other potential chapter activities. 12 Recognize varying levels of professional achievements/certifications by chapter members 6.2. Community Development The Paint-A-Thon provides PMI-MN members with an opportunity to use and enhance their project management skills while giving something back to the community. Although the most visible result of the project is a nicely painted house, the project is a lot more than this. The project is really about putting something positive into the lives of people whose life has given them significant challenges The Yourzak and Ana Alvarez-Holmberg Scholarships: Annual scholarships allowing individuals interested in project management to further their professional growth Student outreach at colleges and universities to further the understanding of project management Support for educational leaders that wish to improve curriculum, introduce a project management program or receive support for research. Provide mentoring for students. PMI-MN Ambassadors are trained project management professionals who will come to organizations to further the understanding of project management Finance The Finance Committee reforecasts the expected income and expenses on a quarterly basis, in order to provide a clear, timely snapshot of the financial health of the Chapter. Quarterly reforecasting along with monthly reporting enables the Chapter leaders to be more proactive in dealing with any fluctuations in our financial status. In 2014, the Finance Committee continued leadership of the Sponsorship Committee and provide increased value to members of the Partners Program. Page 11

13 7. Capabilities 7.1. Events Professional Development (Education & Certification) Professional Development is responsible for certification, education, and PDU management. Director Julian Johnson led the Professional Development team. The team sustained some key ongoing programs such as: Held four PMP certification prep classes and four application-writing classes. Implemented a procedure for improving PDU reporting. Held five one-day seminars and eleven webinars Professional Development Days (PDD) The four-day event was held in September 2014 at the RiverCentre in St. Paul. The event was a financial success and was the primary contributor to the organization s revenue and net income gains in The event was also a critical success based on survey feedback from attendees. The Keynote speaker was Peter de Jager. Harry Spinks led the Professional Development Days Team with a team of over 20 volunteers who spent a full year planning for the event Community Outreach Hosted meetings for current and prospective PMI members in the following locations: Central MN, St. Cloud area - 4. Duluth, MN / Superior, WI - 4. Moorhead, MN / Fargo, ND - 4. Southwest MN, Mankato 4. Central ND, Bismarck 4. Initiated a new program/event in Grand Forks, ND. Colleges and Universities participating and sponsoring Outreach events: MnSCU in Mankato, St. Cloud and Moorhead St. Scholastica in Duluth, Fargo and St. Cloud St. Mary in Fargo and Bismarck North Dakota University in Grand Forks. 14 8. Committees 8.1. Board of Directors Board Directors are responsible for policymaking, governance, strategic planning, and committee oversight and fulfill all fiduciary responsibilities of the Chapter Operations Committee The Operations Committee has overall responsibility for all operational efforts and resource management and allocation in their assigned areas. Committee chairs are responsible to the chapter board of directors and President-Elect and provide leadership to the program managers assigned to them. They are appointed by the board and are ratified by the board on an annual basis Membership and Member Services Manages the membership directory, membership statistics, and member retention via the Chapter Reporting System (CRS), the member database information from PMI Global. Manages the Career Assistance Program, including the job postings on the Members Only portion of the Chapter website, the monthly meetings of the Career Networking Group and the Chapter's Annual Career Fair, which helps job seekers in the PMI-MN Chapter. Manages the New Member Orientation Program, the Buddy Program, and new member communications, all of which are designed to make new chapter members feel welcome. Owns the PMI-MN Privacy Policy, which is tightly aligned with PMI Global s privacy policy. Creates and distributes surveys for PMI-MN's membership to ensure the Chapter is meeting the membership s needs Professional Development (Education & Certification) Oversees the PMP Exam Certification Prep Courses, Seminars and Webinars. The team continued its established services with four PMP Exam Certification Courses, four Application Writing Sessions, five seminars and 11 webinars Programs Oversees Breakfast and Dinner programs and Practitioner Communities, and maintains the speaker repository. The team continued on its ongoing execution of eleven monthly dinners & eleven breakfast meetings. These events serve as conduits for member engagement, learning and networking. These meetings were held at alternating east and west metro locations in We continue to look for venues in other metro locations. The Practitioner Communities continue to experience strong interest and serve as a forum for professionals of like fields to share skills, challenges and gain competitive insights into the application of project management Page 13

15 Marketing and Communications The Marketing and Communications team provides a robust structure to effectively communicate and amplify the efforts, activities, and events of PMI-MN's organization through its committees and volunteers. Communications: Use of multiple channels to promote communications to both PMI-MN membership and potential members. Channels include blasts, newsletters, social media (Twitter, Facebook, and LinkedIn), PMI-MN Website, tradeshow booths, and member surveys. It also owns the general release schedule of electronic communications to the general membership for efficient and timely information sharing. Marketing: A primary goal is to protect the PMI-MN brand and to enhance brand awareness of PMI-MN within and outside the current membership. This is accomplished through consultation with PMI-MN's committees, public relations, branding, tradeshow presence, and PMI-MN promotional items, to name a few. Website Hub & Spoke: Launched the new website in May Accomplishments: Marketing and Communications promoted chapter events, classes, elections, etc. with: EBlasts (including surveys) 2. 1 Tradeshow 3. Social Media: Promoted PMI-MN events, communications, etc. via PMI-MN LinkedIn members Grew membership to 3,250 on LinkedIn to promote PMI-MN. Members participation in discussions and posts on LinkedIn and Twitter Community Outreach Oversees interaction between the PMI-MN chapter and the community at large, and also between the main body of the chapter (located in the Minneapolis-St. Paul metro area) and members in out-state Minnesota, North Dakota and Western Wisconsin. The committee supports several sub-committees, each of which focuses on a particular group of individuals Outreach Program The Outreach Program supports regional project management association efforts in Northern, Central and Southern areas of Minnesota, and portions of North Dakota and Wisconsin through: Outreach dinner meetings and events Student outreach at colleges and universities Recognition of outstanding project management Page 14

16 Community Services Program PMI-MN is the Chapter That Cares and participates in community service throughout the year. Paint-A-Thon events The Yourzak and Ana Alvarez-Holmberg Scholarships, which are annual scholarships that allow individuals interested in project management to further their professional growth Sponsorships and Partners Program Coordinates and oversees the matching of interested sponsors with PMI-MN sponsorship opportunities; plans and implements available sponsorship opportunities, such as sponsorships for dinner meetings, PDD, the web site, etc.; prepares sponsorship kits for distribution to potential sponsors. The Sponsorship Team continues to extend the value of our brand to our Partners and Industry Vendors by making available access to events such as Volunteer Gala, PDD, Regional Meetings and Career Fair. A key deliverable of 2014 was the creation of a Sponsorship brochure of costs for each event. The Partners Team works with a variety of corporate, industry and educational partners through employee memberships, learning forums, volunteer hours, and sponsorship opportunities Volunteer Services Coordinates the matching of interested volunteers with opportunities within the chapter based on interest, skills and availability; creates and oversees volunteer recognition programs; prepares volunteer kits to orient new volunteers to the chapter. Matches members interested in volunteering with the chapter to volunteer openings based on availability, interests and skill levels Special Projects Temporary committees that take on special, one-time projects. In 2014, a special project committee covered: Planning for the 30 th Anniversary celebration: o Gala event Science Museum o Past Presidents panel September dinner meeting o Trivia contests at each dinner meeting 8.3. Nominating Committee The Nomination Committee conducted the process to nominate and elect our 2015 Leadership. The Nomination committee was led by Alexandra Wincell and included Betty Ingram, Oded Galili, Jesse Freese, Annette Peterson and Michelle Moodie. Suzanne Schanno was the board representative for the committee. Page 15

Bruce Sandison President s Award The W. Bruce Sandison President s Award is presented annually at the PMI-MN Volunteer Recognition Event in honor and memory of W. Bruce Sandison, PMP. Bruce volunteered his time and talents towards a number of roles including: 1996 PMI-MN Chapter President 1997 Council of Chapter Presidents Co-Chair 1998 Council of Chapter Presidents Chair PMI, Intl. Certification Process Committee Numerous additional PMI, Intl. Committees Author of past PMI Assembly of Chapter Presidents (ACP) structure PMI-MN s criterion for this award includes: Presented to a PMI-MN member not serving on the Board Shown unparalleled devotion of their time in quality efforts toward building professionalism in project management, both in and outside our Chapter, through their contributions and activities Nominated by board members or past presidents and voted by the board The recipients of the 2014 W. Bruce Sandison President s Award were Joe Perzel and Judy Juhl. Joe has a long volunteer history with PMI MN and is the Chair Sponsors/Partners. Judy has an 8- year volunteer history with PMI-MN as New Member Buddy Program Lead, PMI-MN Operations Chair, PDD Operations Chair and currently Director Governance/Board Secretary President s Volunteer of the Year Award The Minnesota Chapter of the Project Management Institute President s Volunteer of the Year Award is presented to the Volunteer that has provided significant time and effort to better our Chapter while demonstrating best-in-class project management skills. PMI-MN s criterion for this award includes: Award to recognize exceptional service in 2014 Significant contributions on behalf of PMI-MN that support the recognition of the Chapter as the leader in project management Significant contributions to the activities of the Chapter Nominated by any PMI-MN member Page 16

18 The recipient of the 2014 Volunteer of the Year award was Hakki Isik. Hakki has been volunteering with PMI MN since Hakki served as Chair IT in Colleague of the Year Award The Minnesota Chapter of the Project Management Institute Colleague of the Year Award is presented to the member(s) that has/have demonstrated leadership and provided sustained contributions to our Chapter. PMI-MN s criterion for this award includes: Current PMI member in good standing Sustained and uninterrupted service to PMI-MN for a minimum of 5 years Nominated by any member and at least one Chapter Colleague PMI-MN Board will select nominees whose contributions benefited the Chapter as a whole, it s members and the profession The recipient of the 2014 Colleague of the Year Award is Chuck Stakston. Chuck has been volunteering with PMI MN for over 14 years and served as Chair Programs in Team Award The Minnesota Chapter of the Project Management Institute Team Award is presented to the volunteer team who exemplifies the following criteria: Team initiative (s) which provide innovative, long-term, and sustainable value to PMI-MN members or a Team initiative (s) which provide innovative, specific/single purpose, and shortterm value to PMI-MN members. Strategic direction which meets and exceeds goals that align with PMI-MN best practices Teams who are committed to achieving common objectives while producing high-quality results through interdependencies Demonstrated team collaboration skills o Diversity and inclusion amongst team members o Attracted volunteers o Accomplished a common goal o Strong leadership and team building The recipient of the 2014 Team Award is the Ana Alvarez Holmberg Scholarship Team. Team members were Chris Doyle, Kim Johnson and Carolyn Scott Chapter Recognition In 2014 PMI-MN was recognized for the celebration of their 30 th Anniversary as a chapter. PMI global honored the chapter by providing a $2,000 scholarship to a chapter member. Page 17

19 10. Partnerships PMI MN leverages partnerships as a way to generate affinity and promote the organization. PMI MN classifies Partnerships as Corporate, Industrial or Educational.
