2 MILLIKEN ON THE MOVE OLDER ADULTS CLUB CORP Annual Report to Members For the Year ended August 31, Board of Directors At the 2016 AGM, the following were re-elected as Board of Directors: President: Secretary: Treasurer: Members: Titus Khor Jim Yeam William Leung Veronica Leung Rowena Kwan Eliza Leung (alternate to William Leung) Ivy Auyeung (alternate to Veronica Leung in February/March) For the past three years, the Board had been ably assisted by an Organising Committee, comprising: Theresa Fung Rebecca Hollinger Rebecca Yeam Ivy Auyeung Bill Man Grace Jones Peter Cheung These volunteers had done a great job over these years in organising the entire Club s events and parties, undertaken all administration work relating to scheduling activities time slot. The Committee retires at this AGM. 2. Membership: There was an increase in membership from 493 at the beginning of the year to 509 at the close of the year, showing a net gain of 16 members Change Non-Markham residents Markham residents Total Financials The Cumulative General Fund of the Club improved to 38,340 from 34,265 previous year, an improvement of 4,075 due to surplus of revenue over expenditure for the year. Dues collected from new members contributed to the surplus although major administrative expenses and assets purchases during the year under review, were lower due prudent treasury management. Other financial details are available from the Year End Financial Statements. 1
3 4. Activities MOTM prides itself as a volunteer-led social activity-based Club. With few exceptions all activities are staff and led by volunteers acting as Conveners and Volunteers. The Board takes this opportunity to thank all volunteers who have contributed so much to the Club over the years. The Club ran on an average some 60 programs a week at 3 local Community Centres- Milliken Mills, Armadale and Rouge River. Pickle ball was in its second year and Zumba added an additional session on Thursdays. This year, the Summer Schedule ran as normal as the Soccer Dome was rebuilt and opened for use. 5. Aaliin Community Centre (ACC) A new community centre Aaliin Community Centre (ACC) expected to be operational late this year or early next year, presented an opportunity for the Club to expand its operating base when necessary. Over the course of the year under review, numerous discussions had been made between the Board and ACC management on this partnership possibility, but unfortunately, they had not been fruitful, owing to ACC s requirement that its partner was required to run drop-in programs that were not compatible with MOTM s modes of operation. Nevertheless, a few members wished to pursue this further and formed a Subcommittee on July 26 to continue with the quest. The Subcommittee had been mandated by the Board to take all steps necessary and appropriate to investigate additional space requirement for individual activities, evaluate these requirements and propose a line of action for the Board to act in order to achieve the desired objective(s). The mandate was partially completed but the Subcommittee had unilaterally dissolved itself Celebrate Markham Funding Program The City of Markham approved 3,000 funding to the Club on May 18, 2017 to enable the Club to: Celebrate Volunteerism to honour members who had volunteered their time for the Club for the past year. All Conveners and Volunteers were invited to a Buffet Dinner on July 26, 2017; and Organise sport tournaments in Badminton and Table-tennis in various categories. All matches were played in May. The Champions in respective categories were: Category Badminton Table-tennis Men's - Single Chi Hin Fong Thomas Pang Men's - Double Frank Leung & Daniel Man Paul Phua & Thomas Pang Women's - Single Ada C Y Lin Pat Yan Women's - Double Ada CY Lin & Jacky Chan Divina Cheng & May Liu Mixed Double Chi Hin Fong & Annie Lam Jimmy Lam & Lisa Dousngmixay 2
4 Participation in this year s tournaments showed great improvement as compared to that of last year as more contestants entered in all categories. 16 entries were received in Badminton whereas Table tennis received 72 entries. Challenge Plaque and Trophies shall be awarded to the Champions at a ceremony planned for this coming Christmas Party. CelebrateMarkham Funding requires fund recipients to disclose the use of the fund received. The financial statement below summarises how the fund was utilised: Dinner and gifts for Volunteers 1,706 Sport tournament expenses 222 Trophies and inscription on plaques 409 Various electronic equipment 626 TOTAL SPENT 2, Club s interactions with Markham community The Club was involved in projects with the City and outside third parties. For example, members participated in the City s Older Adults Strategy Survey questionnaire survey to assist the City to formulate strategies to tackle ageing population in Markham. Our members attended the City-organised Health Week Expo at Milliken Mills in May as well as at Chats sponsored lecture series on health, safety, mobility and other issues pertinent to seniors and older adults, organised by the City at Armadale Community Centre in July. The Club contributed 500 to assist Milliken Mills Community Centre to purchase and install a few picture frames to decorate its passageway. The Calligraphy Group would undertake the responsibility to produce and replace the displayed art work from time to time. The Board had an intention to introduce outdoor activities such as hiking, biking or jogging as part of its array of activities. In June, we did contact Jane s Walk, an international social club and had a beneficial exchange of view on how to go about setting up such events. Co-operation between both organisations are not possible currently. 8. Social events The Club organised many social events for its members: 2016 Welcome back in September 2016 AGM in October 2016 Christmas Party in December 2017 Chinese New Year Buffet Lunch in February 2017 Volunteer Appreciation Dinner in July 2017 Year End Party in June 3

Milliken Mills Community Centre support The Board thanks the management and staff of Milliken Mills Community Centre for their support and assistance throughout the year; without which the Club would not function as smoothly. However, during the year, there were many changes at the City administration. We lost a few City staff who had helped tremendously: Lori Wells, the Community Recreation Manager retired; and replaced by Jason Tsein, who has been (and continues to be) our strong supporter. Arising from this management change, other changes include Shawn Hermans who has moved over to manage the ACC. Portia Lee has returned from Armadale to pick up where Shawn left off. Portia is no stranger to MOTM; having worked with us in the past. Chantal MacDonald, however, has left the City s employ and joined Brampton City Council. Shaun Pearl had ended his secondment meanwhile. Maria Cufre and Heloisa Lim did a great job in assisting the Club in membership registration and keeping our membership database updated. 10. Moving Forward Conveners First Aid Certificate Program has been organised for September 27, On September 29, we would have the 2017 Welcome Back Party to welcome new and returning members AGM is fixed to take place on October 28, The AGM shall deal with matters relating to adopting the Financial Statements and the Election of new Board of Directors..These are important matters that need your attention and action.
