1 Association Committee General Meeting Minutes December 1, :00-10:50 a.m. Call to Order 9 a.m. AEC Present: Dave Shrock, Pam Betz, Karen Krsak, Scott Erwin, Paul Bodenshot, Greg Mohl, Thom Confer, Rod Larsen, Jay Miles, Jackie Callender, Monique White, Patti Petesch, Don Lawrence, Mike Hinz, Richard Messenger, Randy Hopkins, Lauren Primerano, Steve Vaitones Absent: Tish Hanna, Gary Morgan Dave welcomed everyone and introduced the Directors of the Masters Grand Prix, who spoke about the upcoming 2018 grand prix President Vin Lananna s presentation with Q&A Vin spoke about collaboration and his listening tour and his volunteer council, made up of reps of each committee, that share what s important to each ( your voice in the board room ). The President s role is to listen to all parts and he went to 24 associations in the past year. Vin introduced Bill Shelton, USATF Board Member for Associations and Masters Track & Field. Vin indicated that he wants to add value to membership; that we currently have 130,000 members, which he wants to increase to 1million. We need to provide benefits and need to help access tracks for athletes to use. Question: How do young people get involved in leadership roles? Shelton: Match young with mentors. Question: What is the procedure to bring people together without the strife? Shelton: Need to discuss and work together and get rid of in-fighting. Approval of 2016 Annual Meeting General Meeting Minutes (available in document library). Motion to accept by Greg Mohl; second by Larry. Approved unanimously. State of the Committee Report (Dave) Dave encourages everyone to reference the ARC to find all information and reports relevant to USATF - from Association presidents, vice presidents to region reps to accreditation evaluators, etc.

2 Association Workshop 2018: Beginning in 2018 and every 2 years thereafter, the Workshop s morning s session will emphasize leadership (Leadership 101) for newly elected officers, though it will be open to all. Association Grants: 14 associations applied and 12 will actualize these funds. Association Excellent Awards: The most outstanding for 2017 was the New York Association and most improved is the Mid-Atlantic Association. Accreditation SubCommittee: Purpose is to better serve the constituents. Grants In Aid: Developed to help associations send representative to the Annual Meeting. 10 availed themselves in Association Newsletter: Desiree said it s sent monthly to association officers. ARC: Luke continues to update Association Initiative: In 2018 a 2-year pilot program that will reach out to a number of associations to help with hands-on national assistance with the goal to increase membership and improve service to members. Hot Topics: 1. No personal data has been compromised 2. Dates have been assigned to avoid poaching by AAU. Working with Charles Oliver (CoachO@coacho.com) Masters USATF/AAU calendar is posted on Youth site and in the ARC. 3. Tracks/Venues - have an advocate represent your club/association on boards of schools; ask for not for profit rental rates; utilize 3 rd party insurance Dave Shrock and Desiree will work on a 3-fold flier to present to groups regarding facilities. Coach Martha Mendenhall offered to provide information, which can be downloaded (Pam has contact info) Association Sign-Off on National Bids. There needs to be association feedback component on all national championship bid applications. Complaint that the national office comes in to the event and removes all the locals, but if anything goes wrong, the local association gets the blame. Angela Harris states how this relates to Level 1 classes? They bring in a class and the local association is unaware that it is coming, but they want the association to promote it. Dave

3 responded that associations need to work with Coaching Coordinator Terry Crawford Legacy Accounts. Seems to be difficult to set it up. Luke could work on new step-bystep instructions to access and help. Action Required. Accreditations SubCommittee. (Paul & Greg) Updated the group on changes proposed: 1. Motion by Mark Bradshaw (West Texas) to modify the Officials standards. Second by Brian Osterleigh (NM). Passed Unanimously. 2. Motion by Dave Shrock to approve taking the annual meeting representation criteria to the board; second by Patti Petesch. After discussion and clarification, motion was passed Unanimously. Maria Johnson gave a report on Sports Medicine. Coaches Education and Coaches Advisory Report. Pat Pretty gave report on Coaches Ed and Dave gave a report for Dr. Martin Palavicini on Coaches Advisory Committee. Dave announced some of the award winners this weekend from the Association Committee: Lauren Primerano, Tish Hanna, Steve Vaitones, Desiree Friedman. Maria Solemia and Karen Krsak were also recognized for their accomplishments. Club Council. (Lauren) Chair Lauren Primerano said they were going back to Club Track & Field Championships in the 3rd week in July; starting committee/task force to deliberate on how to better promote Club T&F in the U.S. IAAF Women s Commission. (Karen) The commission is moving forward. They have an active Facebook page for information for women (and open minded men) Background on Grants. (Patti Petesch) Patti gives the background and overview of the Grants program which gives up to $2,000 for improvements to the association. Applications available in January and are due to be uploaded on an USATF Woofu site by August 31, The grant is payable in association were awarded to Alaska, Connecticut, Montana, Nebraska, New England, Pacific and Snake River. Some use of the grants have been equipment, infrastructure, programs, etc. Para Athletics. (Thom Confer) Thom reported that the first ever para meet was held in July. They have a 10-year plan to advance the program, including social media, etc. They ve held 2

5 meetings and have a new team of volunteers come out. All youth meets should plan to include para athletes in their events. Diversity and Leadership. (Irene Herman) Irene spoke about the Association Workshop on Diversity and Leadership, presented by Radious Guess, a 90-minute program well received by the attendees. Men s Track & Field. (Randy Hopkins) Talked about USA vs. England in London. Mike Armstrong presented on different levels of Officials. Women s Track & Field. (Monique White) Decided as a group to bring more people into the fold. Vin attended the meeting and tasked them to bring ideas to the table. There is a Decathlon and clinic in Grass Valley, CA (both men & women) June 30-July1. Cross County Council. (Steve Vaitones) Meeting spent discussing sending a team to El Salvador for the PanAm/NACAC Cross Country Championships. Many warnings against going, with no guarantee of safety; need full details on safety before there will be a decision on whether to go. Club XC nationally strong but needs to improve. 30 associations surveyed this year - multiple had only 20 competitors or less. Rules & Regulations. (Steve Vaitones) Except for 4, all were IAAF compliant Race Walk. (Tish Hanna) Standards have been set so that if 5 athletes don t make the minimum standards, there will be a performance factor to fill the five. The IAAF has developed an insole insert to judge laws of contact. Like to give it a try RW Site Selection has chosen the following: 50K, Santee, CA January 20 US Team Trials, Philadelphia, April Youth, Pit Lane has been brought into the youth program; encourage associations with youth championships to use Masters Track & Field. (Rod Larsen) In both the 2016 NWA and the 2017 US Masters placed 3 rd in medal count. Workshop Review. (Randy Hopkins) An amazing 51 people attended Radious Guess s workshop on Diversity and Leadership Randy thanked both Desiree and Jay for their assistance throughout the Workshop and Annual Meeting.

6 Leadership 101. (Dave Shrock) Dave reiterated the starting session for 2018 USATF Association Workshop will be Leadership 101. Asking all Regional Reps to assist and contact their associations boards to ensure new board members attend. Facilities. Another good way to reach out to venues - volunteer a club to assist at meets - high school, middle school, parks & recreation Association Assistance Grants. 10 associations will be targeted that the national office can assist in growing the association. Those involved are Luke, Dave, Jackie and Greg Ernie Mecca, Wyoming. Dave acknowledged Ernie s attendance. There was much back and forth and encouragement to continue the quest for association membership in USATF. All documents presented can be found in the Document Library.
