Hello CNH Presidents and Vice Presidents, Thank you for reading the second edition of the Presidents and Vice Presidents Newsletter. With the end of summer and the beginning of school approaching quickly, planning and preparing for the year are two very important keys to your success as a club leader. In this newsletter you will find an abundance of information to guide you through your term. Remember those goals you set at the beginning of your term? It is time to set those into action! Membership retention and growth, attendance at events, more funds raised, and more service hours are all excellent goals to achieve. What are small steps or benchmark goals that you can achieve now that will help you reach your overall goals? Brainstorm with your fellow officers creative ways to educate your school about Key Club. Encourage new members by sharing your passion for Key Club. With encouragement and education all members new and returning will be excited to begin paying dues on October 1st! 2 District News Executives: Secretary Lloyd Chen, Treasurer Cannon Joyce and myself attended International Convention July 1-8th. There, we had the opportunity to attend many workshops including a District Officer Training. Gathering information and training about Key Club s preferred charities, club-building and much more has given us the tools to train the Lt. Governors and club officers so that our district can continue to grow. Task Coordinators: In July, task coordinators were appointed to serve our district. The Sargent-At-Arms and Service EXPO Coordinators will be working with the district board and their mentors to ensure the safety of the members at Convention and all year as well as to host a successful Service EXPO at Convention. The task coordinators are listed below: EXPO Coordinator Sean Burris EXPO Coordinator Bea Dimaunahan SAA Coordinator Josef Madrigal SAA Coordinator Vyvy Hoang District Goals: With school starting up again, the fall brings the perfect chance to aim to achieve our district goals. On October 1st, dues may be paid. Every weekend brings new service opportunities and Fall Rally brings even more incentive to fundraise for the Pediatric Trauma Program. As a reminder, our district goals are: 46,000 members 800,000 service hours + $154,000 for PTP 1,000,000 reasons to serve I am very excited to see our District surpass these goals by our District Convention in March 2013! Please encourage your club secretary to continue filling out and submitting accurate Monthly Report Forms. InfiniBEEs: The District Board (InfiniBEEs) will attend the Summer Board Training and Meeting from August 3rd through August 5th. At this training conference, Lt. Governors will be educated on a variety of topics including the Kiwanis Family, International Convention, Club Bylaws, recognition, our preferred charities, and much more! At the next Division Council Meeting (DCM) quiz your Lt. Governor by asking him/ her all of your Key Club questions. International Convention From July 1st through July 8th over 100 CNH members had the opportunity to gather in Orlando, FL for Key Club International s 69th Convention. On the Cali-Nev-Ha District tour, we enjoyed the wonders of Universal Studios and Disney s Epcot. The hot and humid weather made the theme parks even more of an adventure. On July 4th, the International Convention began with a Meet and Greet where we had the chance to meet many Key Clubbers from all over the world. The next day brought Opening Session and Caucusing. All candidates running for International Office caucused to win our votes. That evening we danced the night away while supporting the Eliminate Project. With more general sessions and workshops throughout the weekend, all attendees had the chance to get educated on a variety of topics. Our preferred charities, Children s Miracle Network, March of Dimes, and UNICEF each hosted workshops on top of the leadership workshops hosted by the International Board. At the House of Delegates we were able to vote on amendments as well as candidates for International office. For more information on International Convention turn the page! 3 International Convention International Board Throughout the weekend, candidates gave speeches, answered questions, and worked hard to earn their position on the International Board. 4 Frequently asked questions: Q. Youth Opportunities Fund What is the Youth Opportunities Fund and where does the money come from? A. The Youth Opportunities Fund (YOF) is an endowed fund for Key Club International held within the Kiwanis International Foundation. This fund uses earned interest to help Key Clubs and Key Club members serve the world by providing grants for service opportunities. This fund also provides academic scholarships for higher education. The YOF is established through using $0.50 of your membership dues. Essentially, paying dues helps you better serve the world. Q. A. How much money can I get if I do receive the YOF grant? Clubs may request funding assistance from $100 to $2,000 to cover the partial funding of a service event. The event may be between Key Club and another organization. Q. What types of events will qualify for a YOF grant? $ The types of events vary but the focus should A. be on children. For example, collecting/ purchasing books to donate to local elementary schools, fixing playground equipment, or other projects may be done. Q. A. How and when do I apply for a YOF grant? You can download the YOF grant application from the Key Club International website at keyclub.org/service/fund/yof/yofgrant.aspx. After completing this form, mail it to Kiwanis International before October 15th. From there, the application will be judged and you will receive notice if you received the grant. **Please note that YOF grant applications should be submitted by a club not division. 5 Fall Rally Fall Rally Information Why should I attend Fall Rally? To experience motivational programs, participate in Division spirit rallies, meet new people, help save lives through fundraising for the Pediatric Trauma Program, and to have a blast! Fall Rally NORTH Saturday, October 27, 2012 Price: $31(advanced purchase) Order Deadline: October 5th the Chabot Stadium What is the Pediatric Trauma Program? The Pediatric Trauma Program (PTP) is a Cal-Nev-Ha Kiwanis Foundation project as well as the Governor s focus for the Key Club year. It focuses on raising funds to save children s lives from traumatic accidents by training doctors and also providing preventative safety means to communities across CNH. What can I expect at Fall Rally? Imagine one full day of Key Club spirit, smiles, and new friends. As the gates open the park gets flooded with Key Club members in their respective division s t-shirts and the theme park becomes overwhelmed with the sound of cheers and laughter. During the rally sessions, your Key Club spirit will be put to the test and everyone will have so many things to cheer for. The day will be spent with some of the best Key Club members out there and the day will be dedicated to the lives that we change through the money fundraised for the Pediatric Trauma Program. Fall Rally SOUTH Saturday, November 10th, 2012 Price: $27 (advanced purchase) Order Deadline: October 19th the Golden Bear Theater Will you be able to save your Lt. Governor from being auctioned off? Begin fundraising for PTP now so that your division can have enough funds to save your Lt. Governor. CNH KEY CLUB PAGE 5

6 Steps to Being a Leader Training This coming fall, with all of the back-to-school business, Key Club activity, sports, and college applications for seniors to worry about, it is important to keep all of your ducks in a row by staying on top of your work and defeating the beast procrastination. 1. Prepare. Make sure that all meetings and events are planned well in advance to avoid lastminute mishaps. This also helps you keep the members informed in a timely manner. 2. Think. Have you taken every little detail into consideration? Go beyond covering the who, what, when, where and why by thinking of how all things will be executed. 3. Notify. Notify the members that you serve of all upcoming events so that they can plan to attend. The members should be notified of an event at least two weeks prior to the event date. 4. Prioritize. It will be hard to make time for all of the activities that you participate in. Make sure that you stay focused on your goals by prioritizing important tasks, family, and school. 5. Breathe. Don t let the fall rush past you. Take time each day to enjoy yourself and appreciate all that you do. Me time is a good way to relax and it will reward you for all of t h e T h e r e i s n o s e c r e t f o r m u l a to membership development. Membership development takes work, determination, creativity, and enthusiasm. But, most important, it takes a plan. Although club members should always be on the lookout for students who would make good Key Clubbers, Key Club International recommends that your club have two membership drives: one occurring at the beginning of your school year, the fall drive, and one occurring at the end of your school year, the spring drive. The reason for suggesting a membership drive in the spring, as well as in the fall, is very important. It will strengthen your club in the summer, so it will be in full operation when school starts. Approaching prospective members can be done by using various methods. Many clubs open their membership to all interested students and by means of posters, school announcements, and displays at orientation meetings invite interested students to attend New Club-building New Club-building an informational meeting. Hanging posters and flyers in areas where students congregate is very important. You cannot over-advertise a meeting. Make sure the word is out! Sometimes, membership is difficult to build through the year. Using a "gimmick" to provide incentives for people might help get people to the informational meeting. Advertise this gimmick to encourage attendance. A gimmick can be anything from a friendly conversation to a drawing for free tickets to an upcoming school event. While you have the prospects at the meeting, make sure you provide information about Key Club in a motivating and exciting manner. Share your passion for Key Club!! 7 Service Fall Service Ways to help your home, school, and community Plan a service event Volunteer with an after-school program Tutor kids at a local elementary or middle school Help your school prepare for the new year (ask your librarian to help with textbook distribution, offer your help to teachers setting up classrooms, etc.) Hold a school supply drive and donate the supplies to underprivileged children Hold a clothing drive and donate the clothes to underprivileged children so they can have new school outfits Participate in a Kiwanis Family project (ask your local Kiwanis clubs to find out what they need help with, volunteer with a local Builder s Club or K-Kids, etc.) *Make sure that all hours get reported to the club Secretary so that your club gets recognized for all of the hard work that the members put forth. Fundraising Get ahead on donations for PTP, The Eliminate Project, or other causes: Ask a local restaurant to sponsor your cause Eat for Service! Collect donations for merchandise School merchandise Designed text book covers Club gear Hold a walk-a-thon for your cause Host a cook-off Did you know Key Club International updated the definition of a service hour? Planning an event can now count toward your service hours! (Jan. 2012) Help your Lt. Governor organize a division-wide event for a great cause. (BEE sure to plan ahead and complete an Event Request Form and have the event properly approved) SUPPORT OUR PREFERRED CHARITIES: Hold an event that will help Key Club s Preferred Charities: For even more ideas contact your sponsoring Kiwanis club and your Key Club Lieutenant Governor! Although these are a few ideas, remember that there are no limits to all of the wonderful projects that you can plan, organize, and participate in! Ask your sponsoring Kiwanis club for more ideas or work with your Lieutenant Governor to have a division-wide service event or fundraiser! 8 Resources Member Reflectors Although our District is large and our clubs vary in size, socio-economic levels and personalities, you are not alone: we are one organization one ohana who support each other! Join any of these reflectors to gain more information about Key Club, what s happening on the District Level and much more! I suggest that you assign each board member to participate in the reflector that aligns more closely to their position so that your club can grow even more. Not only are these reflectors for the officer and appointed board members, members are welcome to join as well! These reflectors will give all members a voice. BEE sure to advertise these to the members that you serve.
