1 Minutes of meeting held on Wednesday 1 st October 2008 Present Alison Mitchell, Diane Penman, Lesley Wood, Gill Whyte, Elaine Malcolm, Elspeth Forsyth, Douglas Gardner, Marie Potter, Justine Wallace, Kim Hyslop, Lisa Easton, Gail Monour, Fiona Morrison, Ian McLauchlan, Karen McDonald, Kirstine Lehany, Mary Donachie and Laura Arbuckle, Apologies Anne Kerr, Teresa McPherson, Margaret MacDonald, Amanda Mooney and Christine Green. Minutes AGM minutes now been distributed. Minutes from last meeting had already been distributed, and there are no outstanding actions. Chairperson Alison Mitchell welcomed everyone and thanked them for giving up their time to come along tonight. We welcomed Alan Brown, who is the Chairperson of Maddiston Primary School. Alan had joined us to observe our meeting and share ideas/best practice. Disclosures Following SPTC guidelines disclosures are not to be photocopied and collated. Instead it should be recorded who has them. As a committee we decided to minute that we have a record of all committee members who hold a disclosure: this record shows the name of holder, date issued, and type of disclosure together with 2 office bearers signatures who have seen these original documents. ACTION: Anyone on committee who did not bring this to meeting should give it to Lesley/Alison. Treasurer Diane has developed an Accounting and Money Handling policy. This was sent out to committee members before the meeting by and passed around for helpers to read during the meeting. This will be put to the committee to be adopted at the next meeting. See attached statement for full financial update. ACTION: Anyone who has any comments on the Accounting and Money Handling Policy, or who wants to see a copy, please contact Diane before the next meeting. Fundraising This years target was previously agreed at 15, ,000 for IT equipment 5,000 for normal yearly expenditure including mini bus running costs, insurances and various class year gifts. QUIZ 1007 quizzes have been returned unsold. 624 have been returned completed. 202 families/staff have still to respond. So far this has generated income of XMAS PRIZE DRAW The first prize will be a Wii, Wii Fit and a Wii game. This has been very generously donated by Clark Robertson of Arinsdale Ltd/Tenys. We also have a confirmed day to sell Prize Draw tickets at the Howgate Shopping Centre on 8 th November. Letters have gone out asking businesses for other prizes. Alison thanked Karen for her help passing on information from last year s prize draw, which made this year s job considerably easier. Tickets have been ordered from G S Mutch (6000 at 1 each). We will ask parents/carers to help with issuing 10 tickets to all families after the October Break. ACTION : Lesley to organise names for Howgate day on 8 th November.
2 Flyers have been issued to all families to ask them to do their online shopping through easyfundraising to raise money for PAWS. Alison has done a referral to St Margaret s PA and Maddiston PA, and we will now receive 20% of any funds that they receive through the website. The first cheque will be received from easyfundraising at the end of January ACTION: Alison will give an up-date at the next meeting. BAG PACK Still need to get more volunteers although numbers are reasonably healthy. Grangemouth on 3 rd October & 4 th October This is at ASDA TRACKING PROGRESS A thermometer style tracker is to be put up on the front of the school to show everyone the progress we are making towards our 15,000 target. ACTION: Ian to organise. ECO-FRIENDLY BAGS Lynne Falconer (Primary 1 parent) has kindly researched the possibility of selling Wallacestone ecofriendly bags. These will make an approx profit of 1.60 per bag. ACTION : Miss Morrison to Wallacestone logo to Alison ACTION: Lynne to place 1 st order of 250. SPECIAL DECEMBER THEMED LETTERS This is an idea which has been recommended by St Margaret s PA. Details of these will be sent in sealed envelopes to parents to arrange for their children. ACTION: Lisa to template some ideas for next meeting. P1 TEA TOWELS Again this year P1 children will draw a picture of themselves and these will be sold to their parents as a memento of their year in P1. ACTION: Justine to organise through P1 teachers. THREE KINGS CABARET NIGHT This will be a tribute night, in March, (star to be confirmed!) and will generate profit of 5 per ticket sold. Tickets will cost 15 for a two course meal and cabaret show. We will also have a raffle or silent auction on this night to generate more funds. ACTION: Alison/Karen to investigate options with Three Kings. RACE NIGHT This will be an evening event, in May, run by an outside company. We will also have an auction on this night to generate more funds. ACTION: Gill/Elspeth to investigate options including various venues. SPRING FAYRE This will involve several outdoor events: possibly bedding plants, car wash and car boot. ACTION: Alison to investigate options, including dates, for Spring next year. PILATES Alison Bell has kindly offered her expertise and time to run a series of Pilate s classes in the school for parents/carers during school time. This will be an 8-week block in Jan/Feb and there will be approx 12 places at an approx cost of 50. ACTION: Miss Morrison to investigate suitable locations within school. ACTION: Alison Mitchell /Alison Bell to produce flyer to go out to parents/carers.
3 MOBILE PHONE RE-CYCLING We can receive 2.50 for each unwanted mobile phone that is handed into the school through a recycling programme. Miss Morrison said this would not be in conflict with the programme that is running in school at present. ACTION: Karen to investigate details for implementation after Xmas. GOLF DAY OUT Richard McLuckie (Parent and General Manager at Linlithgow Golf Club) has very kindly volunteered the facilities at Linlithgow Golf Course for a Golf charity day in aid of PAWS. ACTION: Ian to investigate details, including dates, for May/June next year. XMAS CARDS There was discussion around if it was too late to organise Xmas Card printing with children s drawings as it was felt this was an idea many parents would be interested in. ACTION: Laura to investigate before next meeting. At the end of the meeting, everyone went into groups to discuss forth coming events. Thanks to Gill for running a discussion on the Christmas Fayre to generate ideas and suggestions, and for putting a lot of time and effort into producing a Christmas Fayre Pack with all of her past knowledge and experience. Thanks also to Elaine for running a discussion on the disco in November. Elaine has put a lot of time and effort into producing a Disco Pack which can be used by anyone in the future to organise a disco. ACTION: Gill to feedback about Fayre progress at next meeting. ACTION: Elaine to circulate Disco Pack for comment once it is completed. There was also a discussion which took place between Miss Morrison, Dougie and Kirstine to agree on the way forward for a PAWS website. Kirstine has very kindly agreed to start building a PAWS website with all of Dougies suggestions and ideas. ACTION : Kirstine to feedback on PAWS website at next meeting. AOB A very quick discussion re communication. ACTION: Alison to put out another newsletter to all families to up-date everyone on PAWS progress next week. Next Meeting The next PAWS meeting will be on Tuesday 4 th November at 7.30pm in the staff room. (Please feel free to come along from 7.00pm onwards for tea/coffee first.)
4 Treasurer s Report Wednesday 1st October 2008 PAWS account balance as at 30 th September is 4, This includes income from the Quiz Sheets Fundraising Event and payment of the school minibus road tax, as agreed at the last meeting, for which Mrs MacDonald sent her thanks on behalf of the school. The deposit has also been paid for the November Disco for which Elaine has set the wheels in motion. (Bank Reconciliation Sheet is available for info if required) Funds reserved for known annual expense:- (based on 2007/08 figures) October Minibus MOT and service November Minibus Insurance 1, February SPTC Insurance May Risograph Insurance , Fundraising Target We have already raised nearly 10% of our 15,000 target. If we can manage approx one good event per month and have fun doing it we will achieve our goal. Quiz Sheets - There have been steady returns over the past couple of weeks and at 3pm today out total raised is 1, ( 1, less 50 prize money), with 1018 sheets returned unwanted. Over 600 completed entries have been returned ready for Friday s draw, final number of entries still to be counted. Bag packing Grange Centre Playgroup have very kindly allowed us to borrow their donation buckets for the bag packs on Friday and Saturday and our labels will be on them. (Thanks for the labels Justine) Disco 2,500 Glosticks are now in our storage cupboard ready for the first Disco next month. This bulk purchase cost (payment still to be made) and will raise in excess of 500 profit for funds. (Thanks to Alison for sourcing and ordering these) Prize Draw Alison will give us details of the top 3 prizes tonight, all of which have been donated which is a superb achievement in just 4 weeks. 6,000 tickets have been ordered at a cost of for printing ready for issue approx end of October.
