CITY OF WOODINVILLE, WA REPORT TO THE PARKS 8g RECREATION COMMISSION rd Avenue NE, Woodinville, WA To: Honorable City Council From: Richard A. Leahy, City Manager By: Alexandra Sheeks, Assistant to the City Manager-k> Subject: Review of 2011 Summer Concerts Date: November 15, 2011 ISSUE: Shall the City Council review the 2011 summer concerts and discuss alternatives for future City-sponsored events? RECOMMENDATION: To review the 2011 summer concerts and identify priorities for possible reuse/reformatting of these events. BACKGROUND/DISCUSSION: The City has provided summertime entertainment to the community for several years. These events have included summer concert series. Fourth of July concerts, and outdoor movie screenings. In 2011, the City contracted with a private vendor to produce and manage its summer concert series, for a total amount of $13,675, plus $6,325 in corporate sponsorships. The series included a concert at Wilmot Gateway Park on the Fourth of July, and four summer noontime concerts at DeYoung Park. The Parks & Recreation Commission reviewed this matter at its October 6, 2011 Meeting to discuss possible improvements with the program. In general, the Commission suggested that: 1. The City consider evening concerts at Wilmot Park or other location; and 2. Suggested that the downtown business community should take a greater role in supporting the concerts. Attached is a list summarizing comments received from the Parks and Recreation Commission. ALTERNATIVES 1. To review and provide direction to staff regarding future summer concerts and events. 2. To request further information from staff. 3. To take no action. RECOMMENDED MOTION: For Discussion Only. Attachment 1: Summary of Parks and Recreation Commission Comments Regarding Summer Concerts 1
ATTACHMENT 1 City of Woodinville, Washington SUMMARY OF PARKS & RECREATION COMMISSION COMMENTS October 6, 2011 Summer Concerts Program 1. Noon concerts during the weekday have limited audiences 2. Evening concerts appear to draw larger crowds 3. Approach downtown businesses to fund the concerts 4. Wilmot Park is a better location it has lots of "through-traffic" and can better accommodate large groups of people 5. Consider "Arts & Crafts" events at DeYoung Park 6. Discontinue the concerts for a year and see what happens 7. Concerts were dead last in priority last time we discussed priorities 8. The expenditure is not worth the benefits 2
2011 Summer Concerts
Topics for Discussion Review of 2011 summer concerts Future of summer concerts
2011 Summer Concerts
2011 Summer Concerts Fourth of July concerts in Wilmot Park, few hundred attendance 4 noontime concerts, attendance each Contracted with Snohomish Artist Guild for full concert management Contract of $20,000; offset by $6,325 in sponsorships for total $13,675.
2011 Summer Concerts Pros Quality Talent Business community support Less staff intensive Cons Timing Contract management Weather Location/traffic
concerts in surrounding communities City/Park # of concerts Day/Time Avg. Attendance Cottage Lake 6 Thurs. PM 245 Bothell 8 Fri. PM 815 Location Cottage Lake Park North Creek Sports Field Kirkland 8 day/8 night Bellevue 30 Redmond 6 day/6 night Tues AM/ Thurs PM Tues, Wed, Thurs noon Tues noon/ Fri PM 600 Marina Park Various downtown plazas Redmond City Hall lawn
Alternatives how do we get the biggest bang for our buck? Continue summer concerts program as is Reformat summer concerts program Change location Change time Coordinate with Cottage Lake Concerts Discontinue and/or reallocate to other City events Community Summer Festival Discontinue City events altogether
Parks & Recreation Commission Comments Consider concert timing noon draws less attendance than evening Get business support Wilmot Park vs. DeYoung Park Discontinue, see what happens Concerts were low priority Expenditure not worth the benefits
