1 Winchester Fitness and Sports Club (WFS) Minutes of the Annual General Meeting held on Tuesday 21st November 2017 at Winchester s River Park Centre (RPC) 1. Attendance and Apologies 87 were counted although only 78 signed in the register. 9 recorded apologies for absence 2. The 2016 AGM Minutes were approved with no issues, and signed by the Chair. 3. The Chair s report Adrian Reeves opened the meeting at am, welcoming members in his first AGM as Chair and acknowledging Geoff Toogood was a hard act to follow. He suggested Geoff and Jean Toogood are made honorary members, which was unanimously supported by the attendees. There are opportunities for members to help more, especially in the sections of Tai Chi, Keep Fit and Yoga. The Chair outlined the RPC staff support for the club which includes help in setting up and responding to any issues. The May 25 th 2018 new Data Protection Regulations are looming. The main implication to the club is that that yearly updates will need to be made for permission from individuals for a record of their s and phone numbers. 4. Secretary s report Kim Adams welcomed members at AGM. Total membership is 450 Longstanding committee members now left club: Geoff and Jean Toogood relocated to South Gloucestershire. Current committee happy to continue, with Linda Messingham doing a sterling job as membership secretary New style committee meetings this year have been well attended and the role of and online transactions has increased. Thanks to everyone who has helped with the key rota duties, particularly Gill, Trish and Linda and the short tennis players who have done much of the putting away. The Tennis section has had some coaching provided free of charge. Other sections are invited to speak to their section representative, or another committee member, if they would like something similar. Swimmers Club lunch: Over 40 swimmers, friends and special guests Louise and Seth, both well-liked former employees of River Park, gathered at the Toby Carvery, Bishopstoke on 9th March. Thanks to Gill, Nova, Marian, and Cynthia for their continued dedication to the Aquacise and Swimmers group. Sherry party on Tuesday 12 th December: a show of hands indicated over 50 might attend. First half 2018 gym application list will go up on Tuesday 5th December Christmas closure- Adrian will put up information on the notice board. Kim is willing to organise merchandise for the club. A show of hands indicated only 15 or so interested in a club sweatshirt/polo (Retail under 15 polo and 25 sweatshirt with club logo. Colour light blue). To be discussed at next Committee meeting Thanks again to Adrian and Sue Reeves for organising the members attending the REACT games this year. 1
2 5. Treasurers report see Appendix 1 The accounts are summarised by the two columns comparing 2016 and 2017.The main difference is the surplus for the year, although income is similar. There has been a sharp drop in interest rates. Subsidies have been given to activities with paid instructors ( 10 pp.). The apparent deficits on Tai Chi and Pilates are the subsidies. Keep fit is a hot potato in that the deficits here exceed 10 per regular attendee. The Thursday Keep Fit deficit more than doubled but that is mainly because the subs collected here mistakenly took advantage of the subsidy when it was not intended should show a lower level of costs. An attendance register has been started for the large Tuesday class. With Yoga, the instructor collected fees directly, often at a loss, and the club had a lack of information on the class. This has been brought under the club umbrella since February. Membership is rising, and the fees may be reduced next year. Administrative fees have risen mainly from the reprint of leaflets publicising the club because of a change in website contact details. The website design and maintenance fees are yet to be invoiced. Other expenses include the donation in memory of Margaret Owen and a present for Geoff s retirement. We moved our bank account from Barclays to Unity Bank in June and so far we are very pleased with customer care and ease of use. The reserves are very high. The committee have had many discussions and have concluded that the fairest step is to reduce the sub for 2018 to 5. This will reduce income by 2k and may mean a start is made on reducing the reserves! There were several questions from the floor about the use of the reserves and reduction of subscriptions. A vote was taken with 23 supporting retention of 10 and the majority for a reduction to 5 as the fairest way forward. An increase in expenditure in publicity and marketing was suggested, together with new venues for leaflet distribution e.g. more GP surgeries. The accounts were approved, proposed by Alan Headley and seconded by Sheila Skipper. No one objected. Thanks to Ken Smith for performing an independent verification of the accounts and to Hugh Woodd as Treasurer. A list has been started for ideas on publicity. See appendix 2. Members are asked to any requests of venue or shortages of leaflets to the club. 6. Website update: a new committee member is to oversee this (see 8.) 7. Presentations The Chair expressed his thanks to the below: Bob Lack cup was presented to Anthony Cantelo for long, enthusiastic and very helpful support and advice to the club. As two very well merited nominations had been received for the Bob Lack cup, the committee had provided a new The Toogood Trophy in recognition of Geoff Toogood s nearly 14 years chairmanship of the club and Jean Toogood s all round support which had been much appreciated. This new trophy was presented to Cynthia Gostling in recognition of her hard work in supporting the swimming activities of the club. Vouchers were presented to: o Margaret Bloomfield for her organisation of outdoor and indoor bowls o Nova Houghton and Marion Trace for their help with Aquasize o Sue Bougard for her work in organising the Keep Fit classes. 2

Future of the River Park Leisure Centre Adrian wrote to Amanda Ford about the AGM inviting a WCC representative, this offer was not taken up. Adrian and other committee members have been in communication with WCC about Bar End, and attended public meetings about this. The committee has some reservations about the proposals: o Lack of public input into whether the leisure centre should move at all o The size and number of courts and size of some facilities o The split of some activities- e.g. bowls The HCC transport Strategy is still current, with Chesil St a major issue, and we can still send our views on this. A presentation was given by Mike Bennett about a proposed open letter he intends to send to WCC and possibly the Hampshire Chronicle voicing concerns as a club view. See Appendix 3. Discussion ensued on whether this represented the Club views. o Against included Anthony Cantelo supporting the move because of the larger picture especially reduced traffic in town centre. o For the letter of objection included Nova who voiced fears over adequate access and parking at Bar End o A vote was taken with mainly support for the letter: Who would use the new Bar End site if River Park was shut: Out of 87: No 20, Yes approx. 2/3 of the remainder. o Adrian to liaise with Mike Bennett re precise wording. Suggestions made that our concerns be taken up by Jackie Porter and Steve Brine. There is a local pressure group advocating no move. It is possible the joint venture of WCC with Winchester University is being led by the latter s demand for Olympic size facilities for their new courses. We need better information on club profile: Kim to liaise with Linda Carlin about publicity and a poll of members about their mode of transport and views on moving the club. 3
