1 SCW Pickleball Club Membership Meeting 6:00 p.m. Wednesday, November 14, 2018 President - Donna Maloney Welcome & Call to Order Quorum was met members in attendance. Each member received a ballot as they signed in for the meeting. Motion to approve minutes of previous meeting October 24, 2018 as posted on Club website Motion made by Gary Giebelhaus, 2 nd by Toni Froese. Motion Passed Nomination Committee members - Sandy Woods/Johnson & Pam Bucher introduced as tally counters if needed. Ticket presented to president last meeting provided to VP. Ticket Announced - Ken Holtz Nominee for President - Gary Saelens Nominee for Secretary Laura Amundsen Nominee for Officer at Large - Denise Dunham-Zemberi. Request for any nominations from the floor - none for any of the positions. Vote requested to accept the ticket as introduced vote unanimous Congratulations extended to winner and thanks extended to Nominations committee. Treasurer Report - Bill Spiller Total income 108, Total expenses - $70, ($17,000 Sands Shade & $5,000 Dec payment Sands) Total Bank accts - $115, Membership - Sandra Cook - new membership tally 1,404. See attached document Sandra gave reminder on early renewal drawing - $100 if sign up before Jan 1, 2019 Made request for everyone to remember to Scan Rec Card/Sign-in sheets - every time member goes to the court. Vice President report - Ken Holtz Reminded members of Day for Charity & Ball Drop - Saturday, Jan 26th, 2019 Tickets can be purchased from members selling several listed Sponsor for the day is ABC & Sundome Plaza. The beneficiaries for SCW Foundation, Helping Hands & Posse

2 Reminders of Club Championship dates Tournament chairs are Tim & Betty Sullentrup Mixed - Wed Jan 23 Men - Tues Feb 5 Women - Sat Feb 9 New sponsor for Club Championship is Toni Froese, Realtor, Long Realty. Secretary Report - Linda Valencia Announcement made on volunteer for Eventbrite backup Eileen Freydberg Information shared with members on Policy document issued by the SCW Rec Center. On inappropriate behavior plain language on behaviors considered inappropriate on slide. (See attached.) Officer at Large - Cheryl Crawford Announcement that TV Monitor with the help of member Joe Sauer is now up and running. A walk through for members on how to use the Website and Smart Phone access to view court schedule and how to reserve a court using Hold my court system. Cheryl also announced that 12 teams would be playing in the first session of Team Play. She is hopeful to have 20 during the next session which is scheduled to start on Jan 19 th. Team sigh up will begin on Dec 10 th. Pickleskills - Bruce Wray Reminder that with the passage of the bylaw change the PS+ program would begin a Fee for Service Program. The will start on January 1, The Introduction to Pickleball will remain free. The Club has 30 instructors who receive no pay for their volunteer hours spent providing instruction to Club members. He reminded members that instruction sessions per Rec Center RR&P s will not interfer with club play. For all session registration will begin 2 weeks prior to the starting date of the training session. Registration will close 3 days prior to the starting date of the training session. Ratings registration time lines are the same. For the Club Championship members will need a rating thru the USAPA system a UTPR. You may self-rate and send a message to Bill Freydberg who will send a

3 recommendation message to the UTPR raters. FITS Tournament co-directors are Chuck & Jan Dominick Tournament dates are Mar 11-13th Donna pointed out Pre-tournament sales of Tournament shirt has begun. Sale table is in the back of the meeting room. Tonight, only cash will be accepted. credit cards work too. The first FITS Committee meeting will be held on Sunday, 12/ 2, Acacia Room 3 p.m. Officer at Large - Rosie Mullen Recognition of the Food volunteers for this meeting was given as well as a thank you Club balls will be the Onix Pure 6 Nets have been ordered through the Rec Center. The drainage tile used on the top of the fence line on the courts is in place. Officer at Large Donna for Susan Polizzi Vendor Day will be held on Sat Dec 8 from 8am to 10am or thereabouts. Save the date for the Christmas Party to be held on Sunday, Dec 9. More info to come. Volunteer coordinator - Mykee C. requested help for the December party. Sign up sheets were place on all the tables in the meeting room. Requested they be filled out and given to her. Safety Next Meetings - Board 1:30 p.m. Men s Club Stampede Room, Tues Dec 4th The Board would like to encourage members to attend these board meetings for more in-depth and forward-looking details of the club. POLICY STATEMENT L 1 Altercations, Inappropriate Conduct or Unsafe Conduct on Association Property 1.0 Policy: It is the Policy of the Recreation Centers of Sun City West, Inc. that all parties involved in any physical altercation or any other inappropriate or unsafe conduct on Association property may lose their privileges to utilize certain Association facilities and/or suffer other penalties. 1.1 This includes but is not limited to: Sexual harassment or abuse, disruptive actions or gestures, or unsafe or threatening action Use of inappropriate language, i.e., profanity Interfering with the enjoyment and reasonable use of facilities by others Continuous failure to follow reasonable instruction or request from Association Staff Violation of State or Federal statutes and/or Association Governing Documents Refusal to promptly pay fee or fine Any repeated voluntary or involuntary, action by any Association Owner Member, Associate Member, tenant or guest that jeopardizes the health, safety or security of themselves or other users of the Association facilities. 2.0 Procedure: The procedure for suspension of Member s rights is contained in the Association Bylaws. 3.0 Protest Procedures: If the suspension is not contested, the offending party may voluntarily elect to sign a consent agreement suspending the member or tenant according to the provisions of the Association Bylaws. May lead to suspension of Member s rights as contained in Assoc. bylaws. If suspension not contested offending party may sign a consent agreement suspending member or tenant. So just behave!

6 Attachment #2 Pickleball General Meeting November 14, 2018 Membership Report 50 New Members for Oct 2018 for a YTD new member total of 309 Total members as of Oct is 1404 Last year of Oct we had 256 new members for total of 1273 members. We are 131 members ahead of last year. Another reminder to swipe rec card at the courts. If you do not hear thank you sign in on the sign in sheet and contact Jeannine Cote or me so we can determine if we have the right rec number on file for you. Or if you have a key fob card, try to scan it. We are no longer going to track and publish tournament ratings on the club website. The new utpr rating system is going to be fluid and will update too often for us to keep up to date. We will continue to track and publish our club ratings. You can look up player ratings on USAPA website. Joining, renewing and updating your information with our club is going to happen online at scwpickbleballclub.com. Very easy for both new and renewing members. Online will also greatly reduce the workload of membership and reduce club operation expenses. You do not need a pay pal account to join or renew online. When you get to Pay Pal, it will give you the option to use a credit or debit card. New member dues until Dec 31 is $10 plus $9 for your badge. Get your renewals for 2019 done before Jan and you will be entered to win $100 early bird drawing. Reminder to include all the information requested including phone number, address, and street address etc. Note: member addresses have been removed from the online membership roster for privacy reasons. We will still collect the information but will not publish is online. In addition to being the place where you will join or renew your membership, our club website is a wealth of information. You can find information re: Events, Activities, Ladders, Pickleskills, Court Reservations, Membership roster etc.
