Larry President s Report: presented by Andrea Speer - Nothing to report at this time Vice-President s Report: Eric Eckdhal - Parents as Partners: This will be a new program/sign up for parents who are willing to help with projects at school. This will allow parents to volunteer for projects that help the school but will not require a large or prolonged time commitment. Example projects could include stuffing bulletins, stamping, folding, or organizing items for Marti Gras or Brunch with Santa. A sign-up sheet was passed out for parents to sign up. Secretary s Report: Amanda Veeder - Minutes from April 26, 2018 (Spring General Meeting) were previously sent out for review. Heidi Brandt made a motion to approve these minutes and Sabrina Foley seconded the motion. Treasurer s Report: Marci Boss - Review of Account Balances According to the Budget Proposal, there is a net loss due to major expense to the capital budget. This expense was the purchase of new laptops for the computer lab, for a total cost of approximately $17,000. This expense was previously approved at Spring General meeting. Without the capital technology purchase there was a net income of $9,000 this is in part to a successful income section with Brunch with Santa making record profits and Mardi Gras going slightly over budget. Overall, operating expenses were kept down to create the income we needed to purchase the laptops for the computer lab Budget: School Income is mostly the same as budget, with an estimated income of $75,000 from Mardi Gras, Brunch with Santa, Cheese Days beer tent volunteering, Boxtops, etc. School Expenses are budgeted to be similar to last year. We are not planning any capital projects until after the Spring General Meeting.

2 Mr. Peters reviewed the basics of the school budget: The budget pays for items for the teachers (Teacherease (the electronic gradebook/weekly letter program), teacher s hot lunch, classroom supplies, flu shots, and professional development opportunities), wood chips for the playground, curriculum, technology supplies, etc. The capital projects are one-time expenses/projects which require consideration and approval of the organization. Reviewed that H & S fundraising helps to make our school better but simultaneously reduces the parish s monetary commitment to the school. Sabrina Foley made a motion to approve the budget and Heather Brandt seconded the motion. Principal s Report: Joe Peters -Safety Grant from the State of Wisconsin: The State of Wisconsin gave out $100 million in grant money across the state. The 1 st grant application was on June 1, In the first round of funding, our school received $19,441. This is being used for several projects: installing a shatterproof film to entry doors, new signage (including numbers in classroom windows and signs saying locked entrance ) and key fob system. The second round of funding was applied for before August 28, In the 2 nd round of grant money from the State of Wisconsin, the school was awarded a grant of $10,000 for the establishment of student safety teams in a school building. This will include purchase new set of doors by the library, new/better intercoms to the stage, library, and gym, and training staff for school safety (including safety training and on mental health issues training). In total, the school received $29,442 from the State of Wisconsin in order to cover these costs. Due to the large number of schools who require these services, many of these items have not been installed but will be installed soon. -Proposal from Knights of Columbus for staffing the Grandstand s Beer Stand at the 2019 Green County Fair: In the past, the Knights of Columbus has sold beer at grandstand at the fair. The organizer of this grandstand beer stand is looking for a parish organization to provide the volunteers for this event and sell beer in the grandstand. Beer sales occur during the grandstand shows on Wednesday, Thursday, Friday, and Saturday nights from 6-10 pm and Sunday afternoon. The profits from this event can range between $3-8,000 (depending on the weather and attendance). A survey was sent out to all families to determine the interest in this fundraising opportunity. Survey result highlights include: -53% of our families replied to the survey -75% thought it was a good idea -Concerns about getting enough volunteers and the image of the school selling beer Thoughts and questions from tonight s attendees:

3 Concerns about walking up and down grandstand steps, getting the number of volunteers due to the overall decrease in community volunteerism, and how selling beer corresponds with the values and image of the school Mr. Peters also presented that this opportunity has arisen because the Knights of Columbus is having problems getting enough volunteers to staff the multi-day event. K of C will continue to sponsor this event, but Home and School will be providing the manpower/volunteers. It is likely that some K of C members who have assisted in the past will be willing to help in the future. It could be possible to have other community groups cover the shifts and we would share the night s profits with them. The school can commit to this event for one year then decide if we would like to continue this commitment in future years. The funds raised from this event could be used for technology needs (including replacement of laptops in the future, smart boards, etc.). Mr. Peters encouraged families to fill out the surveys (if not done so already). The H&S Board will continue to discuss the possibility and follow up with Mike Jerge and the KCs. -Catholic Schools Teacher s Convention: Occurring on April 22, 23, 24. St. Victor will not have school on those dates though public school will still be in session. Funding so that the teachers can attend this conference has come from Monroe school district, budget, and other sources. Fundraising Report: Michelle Wilson -SCRIP update: Eric Eckdhal Eric reviewed the Scrip fundraising process, including how easy it is for families to buy scrip at the school, parish center, or online. Reviewed that last year, the school and parish made approximately $330,000 in scrip sales for a $17,000 profit which benefits our families (through tuition rebate) and school. Online ordering was encouraged due to increased rebate levels. Discussed that Scrip can be purchased by family/friends/neighbors. Scrip also can be given as gifts (especially with Christmas coming) and used for online shopping. Encouraged to ask Eric Eckdahl if you have any questions and follow the school on Facebook. Carrie Mortimer was the winner of the $100 scrip card -Box Tops for Education: Michelle Wilson Reviewed that the school gets 10 cents per Box Top. These should be glued/taped to the sheets provided in the Wednesday envelope. Reviewed handouts which were included in the Wednesday envelope, including the Box Tops contest that will run from September t12 to October 17 and a list of products. Reviewed that there is an app available which allows you to scan your receipts. As well, the online program has coupons available. Lifetime earnings from the Box Tops program was $18,000. Last year, the school earned $1,300. Thus far this year, the school has earned $604.

4 -Milk Moola: Eric Eckdahl Kwik Trip has a Milk Moola fundraising system, where they will give the school 5 cents for milk/orange juice lids, milk/orange juice bags, and other items. Encouraged using Scrip at Kwik trip. -Brunch with Santa: Tasha Meier Date: December 8, 2018, at 9:30 and 11 am. Description: An amazing, magical Christmas event at gym with Christmas decorations, breakfast, music, and Santa s arrival. There are also games, crafts, face painting, and a silent auction. Board Members include Anita Stelter, Andera Speer, and Tasha Meier. The next meeting will be on Friday, September 27, and new members are welcome. -Mardi Gras: Brittany Klitzke Date: Saturday, March 2, There will be an information folder coming home at the end of November to review the event, distribute raffle tickets, request items needed, and discuss the new basket raffle. New committee members needed for this event and the meetings are on Wednesday mornings Hospitality Report: Anita Stelter -Grandparents Day: October 18th Children and Grandparents/Special Adults will attend Mass and then come to school for tour and program. Cookies, coffee and other drinks are also provided. A signup sheet was passed around for families to bring cookies the morning of the event. As well, the Wednesday envelope will have information for grandparents and a sign-up sheet for cookies as well. Social Activities Report: Jennifer Chapman -Table or Treat: October 31 at 2 pm Kids will walk across the stage to show their costumes. Then kids will be able to trick or treat at tables in the gym. Parents are encouraged to set up and decorate tables after 12:30. Parents can anticipate handing out candy for approximately 125 kids. There will also be a contest for best decorated table. -Turkey Skate: Wednesday November 21 from 4:30-6:30 pm. This is a free event at the Roller Den. Parish and school families are invited to have fun roller skating with friends. Msgr Larry: Campus Update -Construction stated on August 13 with the removal of trees, followed by the demolition of the parish center and house, and then digging of the large hole for the basement of the addition. Now the construction team is starting to pour footings/basement and will continue from there. The goal is to have the structure up before winter and to have the space ready before Holy Week of 2019.

5 Encouraged families to watch the highlights and get updates at the St Clare Facebook page or check out the August parish mailing for an illustration of what the project will look like. New Business -Mrs. Coplien St Clare of Assisi Chicken Dinner will be October 7, She encouraged families to attend and volunteer the event. Please consider making a desert for this event. Also, please sell and bring back your raffle tickets. There will also be 4 parish Fish Fries this spring. Volunteers will be encouraged to sign up on Volunteer Spot. - Parents as Partners New parent s volunteer opportunity this year, with a group of parents who want to help out. Discussed that this commitment would not be as large as belonging to the Marti Gras or Brunch with Santa committees, but would instead be an opportunity for parents to help with school projects. This could include stuffing bulletins, organizing handouts, or assisting with small tasks for the larger fundraising events. -Mr. Peters recognized Beckett Smith as a published book author. Lara Salyer Smith has books here for purchase. Reminders: Meetings minutes from the Home and School Board Meeting can be reviewed at the school website.
