2 1. OPENING AND WELCOME Donaven welcomed the committee members and opened the meeting with the Serenity Prayer and Edward read The 12 Traditions. 2. CONFIRMATION OF PREVIOUS MINUTES March minutes were confirmed. 3. MATTERS ARRIVING FROM THE PREVIOUS MINUTES Confirmation that Malcolm will do both Co-operation with the Professional Community and Public Information special services Koos will run the Correctional Facilities special service. Sandil will be put forward for nomination for World service Delegate by East Rand Area. 4. VACANCIES AND APPOINTMENTS Positions still vacant: General Service Office Conference Co-ordinator. East Rand Area Literature Representative. Treatment Facilities 5. CHAIRPERSON S REPORT SINCE THE PREVIOUS MEETING Greetings to all. Unfortunately I will not be able to attend this month s meeting as I have a wedding to attend in Durban. I ve asked Donovan to chair the meeting in my absence. The Jozi convention was a huge success. The shares were unbelievable thanks to the committee for putting on a great convention. It was time to meet new friends and cement old relationships. There was a buzz around every session. Well done Jozi! I was sorry to hear that Mike is vacating the Treatment Facilities portfolio. I wish to thank him for the work he has done in creating a link between treatment facilities and the East Rand Area. I would like to wish him well in his future endeavours. On request from the Area I met with Kevin from the Primrose group and he assured me that the representative from the group could not attend Area meetings due to logistical problems. They have elected a new representative who will in future attend our meetings. On the literature query, Kevin advised that the only reason they get literature from JWRA is due to availability of stock and he could walk in to the JWRA office, pick the literature he requires and thereafter do a bank transfer. I offered him the same service from our East Rand Office. I also advised that should he order literature in excess of R500 which we do not have in stock, we would place a special order for him. I need the Area meeting to approve this concession and minuted. The only reason the group has not contributed to Area over the past few months is due to the start-up of the Saturday Germiston meeting which required capital outlay for the purchase of an Urn, refreshment utilities and rent. Once the meeting is self-sufficient they will start contributing. Also I would like to thank Sundil and Fatima for starting up the new Sunday meeting. Now every AA member in the East Rand has the opportunity to make 7 meetings a week. Marvellous East Randers, Keep going! On the literature stocks, the adjustment approved at last month s meeting has been processed with a positive variance of R Due to the Literature price increase, our stock has been re-valued to the latest stock prices from GSO R Furthermore where price increases resulting in cents i.e. R3.30 each increased by 10% to R3.63 was rounded off to the nearest whole number of R3.60. DELEGATE S REPORT AND COMMUNICATION FROM GSO In East Rand Area: Conference is end of next month, any feedback to be taken to conference may be submitted to me before then. New groups opened Germiston on Saturday and Spiritual Sunday in Boksburg We need service champions to co-ordinate service portfolios at Area level, please note it is every member in the East Rand Area s responsibility to volunteer their services to fill these positions, what is involved is to talk about what you are doing at your group in this service portfolio and learn and share knowledge acquired from other groups in the East Rand Area with us. We have an office administrator to make calls and co-ordinate the initiatives that Area undertakes. TRUSTEE S REPORT Nothing to report 8. SECRETARY S REPORT groups please to encourage members into service positions. 9. TREASURER S REPORT The income and expenditure report was discussed. The Telephone account was late (due to postal strikes) and not reflected although it has been paid. In future an average will be displayed. the groups were thanked for their group contributions. 10. Stock adjustments made. New price list revised and now needs to be accepted by Area. N.B. Please ignore the existing price list that was sent out. A new price list to be finalized. 5. Office Telephone request was arranged by Suben who has changed existing contract for a new option. Suben advised that this would mean that we pay up front for the new contract. The cost would double for the new month. Existing Contract R per month, new contract R per month. 6. Hedeilberg Group to receive the library pack for the month of April. Courage to Change completed. House of Mercy (Starter Packs) completed. 7. Post Box Renewal done for the New Year. Very little post being received. 8. N.B. I will be available at the office 1 hour before the start of all meetings for literature sales and any other office related business. This will be for the convenience of GSR S that are unable to come into the office in the week. REPORTS FROM SPECIAL SERVICES Archives:. Treatment Facilities: Vacant Correctional Facilities: Koos followed up with the NA member, who is keen to help AA with prisons. There should be more information by the next Area Assembly as reports have been sent out across S.A. Suben and Larry will also give Koos further information. Co-operation with professional communities: No Report. Public Information: No Report 12. FELLOWSHIP EVENTS 2015: 3 rd to 5 th April - Jozi Convention A great success! Some constructional feedback from members were that road markings were poor and parking space was a big problem. 10 June 80 th Gratitude Dinner. Plantation Group will be hosting this event. Please bring a plate of eats to share. July Primrose Rally. Primrose has requested that Lenny manage the literature table. August Edenvale Group 50 th Birthday celebration. September East Rand Rally GSR s must encourage members to attend events and get feedback on these events. Profits from fundraising events will be divided as follows: 70% to Area and 30% towards helping fellow members in need of Big Books. Profits from rallies will be divided as follows: 70% to Area and 30% to GSO. 13. EASTRANDER AND WEBSITE Website We had over 15,000 hits for last month March. Average is just over 14,000 a month now.
