2 ITEM # MINUTE OWNER 1. OPENING AND WELCOME Sandil welcomed the committee members and opened the meeting with the Serenity Prayer. Malcolm read the 12 Traditions. Sandil acting chairman 2. CONFIRMATION OF PREVIOUS MINUTES May minutes were confirmed by Colin and seconded by Tony B. New General Service Representatives: Lisa for Boksburg and Tony B for the new Benoni South Group. Airfield is currently needing a GSR. 3. APOLOGIES Mike, Yani, Suben, Donovan, Rod, Chan, Vincent, Koos. Comment was made that the alternatives to special service positions be informed regarding apologies. 4. MATTERS ARRISING FROM THE PREVIOUS MINUTES Larry has updated the Procedure document with regard to money split as agreed to at April meeting. 5. VACANCIES AND APPOINTMENTS Positions still vacant: General Service Office Conference Co-ordinator. National Webmaster IT Administrator These positions will be advertised on the East Rand Website. East Rand Area Literature Representative. Charlie from Phoenix will be sponsored into Treatment Facilities service position and was congratulated by committee members. There has been interest from Joanne C2C to be sponsored into East Rand Area Secretary position. The position will also be advertised in the Eastrander and website. Members are also requested to advertise service positions at their groups for both GSO and East Rand Area. 6. CHAIRPERSON S REPORT SINCE THE PREVIOUS MEETING Firstly I would like to tender my apologies for not being present at the July Area Meeting. A friends function in Durban is responsible for my absence. Literature sales for the month of June has soared mainly as a result of Book sales in excess of R While sales was high, so was our literature purchases mainly to replenish sold stock and obtain in excess of R7 000 stock for the Primrose rally. Stock purchases for rallies from GSO is no longer consigned but sold to the area. Unsold stock can be returned for credit. The Primrose rally was a huge success. Our gratitude goes out to the members of the Primrose group in hosting this rally. Discussed in the meeting: We are awaiting for the Primrose Committee to forward details of the rally- income and expenditure. Some AA Literature books given on credit are missing. literature must be paid for up front and procedures followed. Rally guidelines must be adhered to. Colin Tony B Vincent
3 Based on our adopting a treatment facility/hospital or clinic discussed at our last meeting, I was surprised to learn that there are no psychologists or physiatrists at Dalview Clinic. Nonetheless I dropped off our PIC packs at 3 doctors in close vicinity of the hospital. I am still to hear from them. I have also made contact with a few churches in our area with a view to actually discussing this issue with the priests. How did your group do? Please discuss. Discussed in the meeting: GSR s must get feedback from their groups regarding Doctors Packs. Ask members to assist in putting new posters up and Malcolm will also create a drive initiative form to regulate feedback. It was established that many churches are currently running 12 step groups covering many addictions. Malcolm will address a few interesting developments from the past month, in the area of PIC/CPC. Please ask your group members to assist in these projects for both the passing of the message to the still suffering and personal growth. On a sad note I would on behalf of the East Rand Area convey our condolences to Les s family on his passing. He was truly an inspiration to members of the fellowship, being over 90 years of age and continued making meetings. May his legacy live on. Yours in the fellowship Vince N Chairperson 7. DELEGATE S REPORT AND COMMUNICATION FROM GSO Suben In East Rand Area: We have many PIC opportunities, groups are encouraged to participate We have invited our Non-alcoholic trustees to run a Social Worker workshop, finalizing date, late August or Early September, at Howard Hall at the Benoni Methodist Church, we need help from our groups in inviting all social workers in East Rand Area, catering and administrative work for the day, target 120 social workers attending From GSO and other Areas: The following items was ed to our Area office, and is available from our Area office or the national website once logged in. Areas and GSO minutes of meetings, Board meeting minutes. George Forum, 7-9 August 2015 Sobriety tokens available from GSO at R30 each Summary of Conference 2015 decisions was mailed out 8. TRUSTEE S REPORT Nothing new to report. 9. SECRETARY S REPORT The Special Edition Regmaker will be available soon at about R per copy. Only copies will be available. Pre-orders can be made through Larry. Teresa will contact Ian W with regards to the Wellness Day at Carnival Rod Teresa
4 City. Please send special service reports timeously to Teresa and CC Larry or vice-versa. This will help with sending the minutes out on time. 10. TREASURER S REPORT The Report was discussed. There is no Telephone bill accounted for as double was paid in the previous month. 2 lots of 2GB packages at R will be bought per month as the package deal has increased. GSR s must gently request members of their groups to dig a little deeper for group contributions. 11. REPORTS FROM OFFICE Tony Larry The month of June has been a very busy and fruitful experience at the office. The new lunch time meeting has been growing even with the loss of some of the younger regular members (a few of them have started new jobs). However they continue to come to the evening meetings, which is good news. We enjoyed a visit from two members from the Secunda group who came to the office to pick up some literature and then promptly returned the following day to attend the lunch time meeting. Average number of people for the month of June - 8. The office has also had an increase in the number of members as well as new comers visiting on a regular basis. June has been the best month ever for literature sales this does not include sales for the Primrose Rally. To keep up the sales for literature I have asked Colin to set up a book advert on the web page. He has gone beyond my expectations and I am sure he will explain to Area on the new concept he will be starting. Thank you Colin/Mike. On a sadder note it with regret that we have lost a stalwart member in Les fondly known as Uncle Les to many this month. PIC: Events: McCains Volunteers Anil/Dylan and Sandil who on short notice was willing to help. Contact list of 11 people that spent time at the stall (list of names and phone numbers collected) Contact also made with Elim Clinic who was also in attendance. Awaiting report from Volunteers. Cloud Nine Girls Camp. Volunteers Adele/Neil This was a camp for girls between the ages of 12 to 20 years old. Adele shared with this group of girls for 15 minutes and answer questions for 15 minutes. This was well received thanks to Adele and Neil. New event for July Carnival City Wellness Day. Volunteers Tony who has done this previously and Ian W from the Johannesburg area. Teresa received a call from him asking if he could help. Alanon will also be participating. Suben is arranging a work shop for Social workers date and time still to be confirmed. Discussed at the meeting: The date must not conflict with the Edenvale 50 th Celebration nor The East Rand Rally. Committee
5 12. a b.) members were concerned that there seems to be a request to pay for the venue and food and there was controversy regarding this due to negative previous experiences. We will await further information from Suben and once this has been done GSR s must get feedback from their groups. 1. CPC pack 150 Distributed feedback need on what happen to them. 2. I have a request from Alicia from Viewpoint Recovery Centre for a donation of Big Books Area to decide. 3. The East Rand Bank Account incorrect debited of R59.99.This has been reversed. 4. The procedure Document has been updated in May for the split for monies to GSO/Area. 5. Report will follow for literature sales for the Primrose Rally at next meeting. 6. Groups are asked to please comply with the office procedures for the purchase of literature. I will forward the procedure to all GSR S via and also update the procedure document with the procedure. This will help in less errors on my part and will safe guard area as well as the purchaser. 7. N.B. I will be available at the office 1 hour before the start of all meetings for literature sales and any other office related business. This will be for the convenience of GSR S that are unable to come into the office in the week. Discussed at the meeting: Viewpoint requested free Big Books. It was agreed that all treatment Facilities must pay for books. It was agreed that Joe will pay R per book for the 5 books loaned during the Big Book meeting. REPORTS FROM SPECIAL SERVICES Archives: OCTOBER IS ARCHIVES MONTH!!!. Which is just around the corner! groups that have still not sent me their completed history forms, please bring to next Area meeting or leave with Larry at Area office or e- mail to me. I have attached a copy of the Group History Form for those that do not have one. Please still encourage your members, especially the old timers and long timers, to contribute copies of their shares, literature, tapes, etc. Also, just a suggestion, start preparing for, at least, in one of your group meetings in the month of October, a share or event relating to archives, for example, an old/long timer share from the group, a talk on the history of the group, etc. Treatment Facilities: The committee welcomed Charlie from Phoenix group to be sponsored into the position of Treatment Facility person. FELLOWSHIP EVENTS 23 August 2015 Edenvale AA group s 50 th birthday celebration at Dunvegan. 10:00am to 3:00pm. Shares. Teatimes. Bring and Braai. Braai packs will be available. 05 September East Rand Rally on track hosted by Kempton. Members are reminded that this is an East Rand Area event and that members from all groups should participate in the organising. Malcolm will let Teresa know when the next organising committee meeting will be held. A reminder that Alanon must be invited and need a literature table. 14. EASTRANDER AND WEBSITE Website Up to date over hits. Colin is busy trying to set up an AA literature bookshop whereby people can buy literature. Eastrander well with the Eastrander. Try to get thanksgivings dates in by the 26 th of each month. 15.
