5 Area Chair s Report April 2016 Since our last meeting I have arranged with the Bartow Parks and Recreation Department changing the date of our May meeting from Mother s Day to the week before, May 1 st. Article XIII, Additional Guidelines, Item C requires us to hold an Area Service Inventory meeting. While I believe this should be a separate meeting, this is a We program, not an I program. By show of hands who prefers a separate meeting; who prefers holding the Area Service Inventory in conjunction with our May meeting? Please have your Service Inventory s ready for the meeting and notify your groups of the meeting. I attended the GSR Assembly on Saturday March 26 th, and half of the RSC meeting on Sunday March 27 th. This was my first time at a regional function and it was both informative and eye opening. There was considerable time dedicated to the topic of being an effective GSR as well as a facilitator or Chairperson. This would make a great addition to the Area Service Learning Day and I would encourage the Ad-Hoc Committee to explore its inclusion in the agenda for the Area Service Learning Day. The eye opening portion for me mainly focused on the RCM Report section of the RSC. A good number of RCM Reports included information about their Area Helplines like number of calls answered, various activities that were held or being planned, and about the number of H&I presentations in a given area. Unfortunately, our Area could not report this information because some of our Area subcommittees don t report this type of information. I would encourage subcommittee Chair s and the RCM to discuss what type of information would be valuable to report. Finally, I wish to express my gratitude to our Alternate Secretary for her efforts in getting the minutes out within a day of the Secretary advising us that he hadn t even started working on them as of that date despite the Alternate Secretary having offered to help a week earlier. The minutes are not only a record of what we do here they also the vehicle through which we disseminate information to the Groups we serve, ask them to make decisions AND elect Area Trusted Servants. The thought of us not being able to fill these positions because groups didn t get the information per policy is disconcerting to say the least. I have spoken to the Secretary and am hopeful that this situation will not be repeated. In loving service, Tim S. Area Chair April 2016 HASC Secretary s Report The HASC minutes for March were completed by the HASC alternate secretary on March 30 and ed to the HASC Chair for review and approval. The minutes were approved for distribution and were ed to the recipients, RSO, and webservant by the HASC Chair on March 31st. The invoice from the RSO shows a cost $67.96 which is an increase of $16.75higher than the current monthly average. I would say that I am deeply sorry for the long delay in publishing the minutes. As the HASC Secretary I fully admit fault in this. The Alternate Secretary did offer to help about a week after area and I declined at the time. From that point my life was very busy trying to balance recovery, work, fatherhood to 3 children, loss of internet services, moving, and getting fairly sick. I realized that I was overwhelmed and asked for the Alternate Secretary to complete the minutes which were promptly completed within a couple days before distribution. I have a very difficult time asking for help and have become accustom to doing the minutes on my own but this certainly was an exceptionally challenging month for me. I wanted to also acknowledge the wonderful work Sheila did in coming to my/our rescue and to The HASC librarian who also offered to help, especially once the inflammatory started. It is my intention to finish my role as HASC secretary in the next 2 months with help and support from the alternate secretary. We can divide the workload in half to expedite the minutes. I will not seek any further area level commitment in the short future and I have been honored to serve the Area. It has been an exceptional experience for me in getting to know the larger Heartland Area especially at a time where there was a desperate need for servants. I would like to fulfill this commitment I made and look forward to what the future holds. Thanks again to the GSRs that receive their minutes via and to the subcommittee chairs who submit their reports in Word format. Also, please make use of the GSR Report and Motion Forms that are attached to the minutes you receive as this will help reduce the cost of photocopying them for use at the meetings. Please review the contact sheet being passed around the room and make updates or changes if needed. Please announce at all meetings that our area is in need of an ALT. TREASURER and PR CHAIR. In Loving Service, Kurt S. HASC. Secretary
6 POLICY REPORT 4/4/16 Policy Subcommittee met Opening with Serenity Prayer Roll Call: Present were Ken B, Joe HM, Merle D, Tanya T, Bart S and Bob C. Absent were Teresa E (first) and Shane (third). Topics discussed in open forum included, The policy report and the role of GSR s as trusted servants in representing their groups group conscience. How far does that trust go? Old Business: The disk with policy revisions and track changes was located and recovered from the RSO. Also, From May of 2015 to present, there has only been one change to policy of note. New Business: No motions sent from Area to Policy. Closing with Serenity Prayer In Loving Service, Ken B HELPLINE The helpline meet on March 28th at 6:30 pm. There were four members in attendance. We made out our phone carrier schedule for April and discussed the recent meeting changes and additions to the heartland area. Also, we discussed how we would describe an "open" or "closed" meeting on the meeting list. We decided to talk to the web servant about how much space we would have on the meeting list to differentiate between the two types of meetings. Once we know how much space we have, we will proceed. That way, newcomers or those unfamiliar with NA language will know what these types of meetings are. We would also like to request information from GSRs about whether or not their meetings welcome children. There is an abbreviation on the meeting list for this designation but only one or two groups have it listed. We were wondering if children are indeed not welcome at these meetings or if people are unaware that "children are welcome" can be included on the meeting list next to their format. Our thinking was that newcomers might shy away from going to certain meetings, thinking that they cannot bring their kids with them. Otherwise, all is well with the helpline. In loving service, Helpline Hello Heartland Area Service Committee, The convention this year is quickly taking shape. We have chosen are artwork and will presenting it today. We have passed out fliers for our up coming fundraiser. Please announce this event and display this flier for all the folks that attend your home groups. Please remember we are limiting the number of fundraisers this year, so it is very import you support the ones we have vigorously!
