2 Natinal Immunisatin Register The Natinal Immunisatin Register (NIR) is designed t retain all Immunisatins given t individuals n the current childhd immunisatin schedule (fr eligible patients). Medtech will send Immunisatin data t the NIR when immunisatins are entered crrectly int Medtech. (this is dependent n the site being setup crrectly fr NIR and that the Patient has an Opted On status. Users have the ability t use a Status Query within Medtech t btain the immunisatin status f an individual. The status query will send a message via Healthlink t the NIR and the NIR will return the Immunisatin histry fr that patient via Healthlink int the Prvider Inbx within Medtech. 2

3 Mandatry fields T ensure Immunisatin Messages are sent thrugh t NIR yu need t be aware f the Mandatry fields required in the Patient Registratin (F3) Tab 1 Name and address f patient Date f birth NHI Gender Ethnicity T lad mre than ne Ethnicity g t the Mre tab f the Patient Register and add as required: 3

4 Mandatry Fields - Next f Kin (NOK) Always enter street address f NOK in NOK tab 5 f F3 Screen Enter Relatinship in full (e.g. Mther, Father, Sister, Brther, Sn, Daughter, Uncle, Aunt, Nephew, Niece, Cusin, Grandfather, Grandmther etc.) 4

5 Mandatry Fields Immunisatin Screen Cmpleting all Mandatry fields, will save wrk later n. Medtech will prmpt yu if nt cmplete ALWAYS chse Crrect and update missing fields Mandatry Fields within the Vaccine Screen: Prvider: This must be a dctr and have a NZMC Registratin Number in Staff Setup, Vaccinatr: This must be a prvider at least and have a NZNC and Registratin Number in the Staff Setup if a nurse, Outcme, Rute, Site, Batch Number, Batch Expiry, Aut bill ticked t ensure that claims are generated. 6 Immunisatin Outcmes T pen the Immunisatin Screen, press the Functin 4 key (F4) r g t the Imms tab within the Patient Manager (F6). Yu culd als use the Imms icn Recrding Immunisatin Events. Enter the relevant utcme e.g. Given Recrding Vaccines Given Elsewhere (if given elsewhere in NZ then sites wuld generally d a Status Query and update autmatically with inf frm NIR). Declining Vaccinatins Nn Respnder Outcme Clsed by Prvider and Clsed nt Required Clurs Blue Due nw, Red Overdue, black due in the future Italics indicate a rescheduled vaccine 6

9 NIR Birth Nminatins Within the Prvider Inbx NIR Birth Nminatins Match the patient r find mther and d a family add When Birth Nminatins are accepted - F3 will be ppulated - Imms schedule ticked - NIR Opt n ticked 9

10 Immunisatin Updates NIR will send Immunisatin Update Messages via HealthLink t relevant prviders if a child has been immunised elsewhere. Open the message and match the patient Chse update and select the infrmatin yu want t update After selecting update, tw tabs are displayed: Detail tab Immunisatin tab Each tab displays a clumn with the NIR data and the Medtech data. Select individual fields OR Chse the Select All r Unselect All buttn t determine which fields within Medtech yu want t update with the NIR infrmatin. 10

11 Reschedule Errr Messages Rescheduling errr messages errr ccurred in sending data if rescheduled and NO reasn entered. Slutin nce sent Open the Recall (F5) and add a reschedule reasn. 11

13 NIR Opt n /Opt ff Get verbal cnsent frm parent/caregiver the first time yu see the baby/child/yuth t Opt On/ff NIR Opt On means the parent cnsents t the child s Immunisatin data being sent t the NIR. Opt Off means the parent desn t cnsent t the Immunisatin data being sent t the NIR When manually lading a new patient Medtech will prmpt t ask if they wish t Opt n t NIR Duble check t see if Opt On has ccurred Check in F4 screen Schedule Selectin 3 13

14 NIR Opt n /Opt ff If NIR Opt n is nt active then NIR will nt receive messages and this will result in: Inaccurate patient recrds Inaccurate Immunisatin cverage Unnecessary verdue messages sent frm NIR t Medtech Exceptin is HPV this is messaged autmatically but duble check t ensure pt n is selected If Parents Opt Off Parents are required t cmplete and sign an NIR2 frm which is sent t NIR. 14

15 Status Queries Use the NIR Status Query t get infrmatin frm NIR and ppulate a patient s immunisatin histry e.g. when a child enrls with yur practice that has previusly been living elsewhere in New Zealand. Chse the Status Query Icn frm yur tlbar, r select Mdule > Immunisatins > NIR Status Query Enter in as much infrmatin as yu have and chse the NIR Search buttn A message will be returned t the Prvider Inbx based n the match results - Status Query Single Match Status Query Result (if multiple matches fund) N Match 15

16 Status Queries - cntinued Status Query Single Match - If NIR can match the patient frm the details submitted then a Status Query Single Match will be returned t the Prvider Inbx with Immunisatin recrds which can be used t update the patient. Status Query Result If multiple matches fund this message displays pssible matches. The user must select the Search ptin and select the required patient befre activating anther search. N Match 16

17 Flu Imms Recrding Flu 65 Vaccinatins Add the Flu 65 Schedule t Schedule Selectin 3 (3 rd tab f F4) Duble click Flu65 within Imm Schedule 1 (1 st tab f F4) Recrding Other Eligible Flu & Travel Vaccines These are NOT n a schedule therefre give these imms thrugh the All Immunisatins (2nd tab f F4) give with the single syringe icn Yu can als recrd unsubsidized Immunisatins via the All Immunisatins tab (2 nd tab f F4) 17

19 Duble Syringe Versus Single Syringe Within F4 Screen ALWAYS use the Duble Syringe t give Grup Vaccines in F4, Immunisatin Schedule 1 tab. (Same as duble clicking) If yu use the single syringe the recall wn t be remved when the imm is given The nly exceptin is when part f a grup is given and the ther part f the grup is given later, then yu wuld use Single Needle t enter the secnd part f the grup. Als use Single Syringe in All Immunisatins Tab 2 t give Travel vaccines and Other Eligible Flu 19

20 Inactivating an Incrrect Immunisatin If yu have recrded the wrng Immunisatin Open the Immunisatin by duble clicking it and tick the Inactive bx Yu will need t add back in the Recall (F5) fr this imm as it desn t autmatically cme back. Use the filter icn within the Immunisatin screen t view inactivated imms 20
